The South West Food Collective was granted charitable status on 18 July 2018, under charity number 1179238. It is constituted as a community interest organisation, the constitution having last been updated on 10th July 2018. 

## **Structure** 

The charity trustees are responsible for the general control and management of the charity and its activities. The trustees give their time freely and receive no remuneration or other financial benefits. 

The charity has no paid employees; all charitable activities were carried out by the trustees and volunteers. 

## **Appointment of trustees** 

There were no changes to the board of trustees this year and SWFC is satisfied that the existing board represents a satisfactory range of skills and competencies for the administration of the charity..

## **Activities** 

## How our activities deliver public benefit 

SWFC’s primary activities of collecting and redistributing surplus food directly address its charitable aims of relief of disadvantaged people (whether by economic circumstances or otherwise, depending on the recipient charities) and the protection of the environment through the reduction of food waste, a major contributor to climate change. The trustees consider that these activities therefore provide meaningful benefit to both the recipients of the food and the wider public. 

## Events scheme 

Summer 2021 saw a welcome cautious return to large events, and SWFC was able to restart its charitable activities and put our planned partnership with Festival Republic, provisionally agreed the previous year, into practice. Namely, we worked at Camp Bestival and, for the first time, Reading Festival, which was by some margin the largest event we have tackled to date. 

Unfortunately, due to the uncertainties stemming from the Covid-19 pandemic, these were the only two events we were able to attend this year. However, thanks to a combination of a large quantity of high-value chilled food from Camp Bestival’s food hall and a huge take of long-life food from attendees at Reading, were able to collect a total of 4.7 tonnes of food between the two events, with an estimated retail value of £17,800, and corresponding to nearly 20 tonnes of CO2 saved. This therefore represents a record year for SWFC despite the challenging circumstances with many festivals still being unable to go ahead and significant challenges in our planning due to uncertainty. We look forward to the full return of the festival circuit next year and to topping this total once again. 

## **Use of volunteers** 

SWFC’s activities are largely facilitated by volunteers, who take on the majority of the manual labour involved in food collections and deliveries, and without their contribution our activities would not be possible. By partnering with festival organisers, we are able to compensate festival volunteers with free attendance at the festival, providing an incentive to participate. This year around 30 volunteers participated in SWFC’s activities.

Our trustees also give their time freely to the administration of the charity and management of operations. 

## **Fundraising** 

This year, all operating costs such as transport, insurance, and web hosting were covered by in-kind donations. 

## **Future plans** 

In the coming year we expect to take on new festivals working with Festival Republic, and to establish a funding model for these events which we can generalise to other partnerships in the future. Due to the increasing workload for trustees, this may include administrative fees to cover some of this workload, either by trustees with the agreement of the board and in line with Charity Commission guidelines, or by employing e.g. more experienced volunteers on short-term bases.

## **Summary** 

The financial statements again show no financial activity, with expenses continuing to be covered by in-kind donations. However, due to our expected expansion in the coming year, we are now looking to formalise a model of fundraising in the form of a charging model for events, which should be in place for the coming festival season.
