Doncaster Lions Club Data Protection Policy 2025

Doncaster Lions Club communicates between member, suppliers, applicants and applicant representatives by Email, text, messaging, telephone and verbally.

We do not use data for any purpose except for actioning applications, grants and requests

The information will be stored on Lions personal devices (phone computers etc.) A printed copy may be retained by the Lions Club treasurer for audit purposes

Acceptance of the policy is mandatory for any requests made to Doncaster Lions Club before they can be activated: non-acceptance means that the Club will not be able to respond to the request.

DONCASTER LIONS CLUB PUBLIC BENEFIT STATEMENT

The club has an established process for reviewing and implementing requests for assistance This considers each of the possible causes or applications for funding and carries out a process of due diligence on each of the possible beneficiaries, including assessing the worth of the beneficiary to the community. Donations are made for the benefit of needy people, groups and organisations in the central, eastern and southern areas of Doncaster.

In addition the club may make donations to Lions Club Multiple District sponsored appeals and internationally through the Lions Clubs International Foundation (relief of poverty,responding to disaster relief or help people with disabilities), thereby extending the public benefit overseas.

After due diligence, a recommendation is made to the club members who will vote on each request for assistance/donation.

The club also has a number of regular events which provide support and involvement for various sectors of the local community. These include:

The annual Santa Sleigh run around the central, southern and eastern areas of Doncaster.

The annual Fun & Sports day for people of all ages with a wide range of disabilities.

The annual Christmas party for children with a wide range of disabilities and special needs

SAFEGUARDING POLICY

Policy Statement

Doncaster Lions Club (the Charity) is committed to safeguarding the welfare of children (under the age of 18) and vulnerable adults whilst they are:

Application of the Policy

The Charity will designate a club member as its safeguarding representative who will have responsibility for co-ordinating compliance with its safeguarding obligations. This includes giving appropriate instruction, training and guidance to the members of the charity and other volunteers who may be assisting the charity with its activities. The designated member will be reviewed in July at the start of each new Lions year.

In particular, the Charity will ensure that these persons are fully aware of, and trained to, the requirements of the Lions Clubs International Multiple District 105 Safeguarding Children & Vulnerable Adults Policy which is appended to this policy. Note that the sections relating to Northern Ireland and the Republic of Ireland are no longer applicable as from 1 July 2019 when those areas separated from MD 105.

No member of the charity, or other assisting volunteer, is permitted to be involved in any charity related activity with children or vulnerable adults unless;

• They have been vetted by, and registered with, the Independent Safeguarding Authority’s Vetting and Barring Scheme. This is the successor to the Criminal Records Bureau (CRB) check,

OR

• There are two or more persons in attendance. These may be Lions Club members, other suitable adults, or relatives or carers of the vulnerable person/s.

Compliance with this policy will provide protection for charity members and other assisting volunteers as well as children and vulnerable adults.

Financial Review

Monthly accounts in line with bank statements are distributed to members for approval at the next meeting.

Spending is allowed up to £150 with the approval of two or more members. Anything above that limit must be approved at a club meeting

Reserve funds are held in a 90 day interest account. No other investments are allowed
