Trustee Selection Information:- Original Trustees were selected from parties interested in original set up of Clwb Bwthyn Bach. Future selection will be taken from recommendations from current committee members and Clwb Bwthyn Bach staff. New trustees will be invited for interview with no less than two current members present.

Organisational Structure Overview:- Clwb Bwthyn Bach is supported by a volunteer committee/trustees. Mrs.S Clisham is the Headteacher of Ysgol yr Esgob. Ms.Catt is an ex-Chair/Parent Governor of the Ysgol yr Esgob Governing body and Miss K Pierce is a Foundation Governor at YE as well as Safeguarding Link Governor. Miss K Pierce has direct day to day contact with the CBB staff and attends to any general admin/finance assistance.

The CBB Committee meets Annually to discuss year end finances, annual staffing overviews, building management and objectives for the following school year. The CBB committee also undertake annual staff appraisals and are on hand to support our staff members with any issues they bring forward and to support them in their ongoing performance objectives. Throughout the year the CBB Committee are in regular contact, and when possible, meet face to face, to discuss any ongoing issues/changes/staff/finances etc… Miss K Pierce also meets regularly with the Early Years Wales, umbrella organisation rep, Elaine McCulloch, to discuss any improvements that need to be made. This information is fed back to the rest of the committee in a timely manner.

The CBB Committee also review any issues with the building and any changes or improvements that need to be made. The building is rented from Ysgol yr Esgob (as custodians) and owned by Flintshire County Council. Ysgol yr Esgob have their own ‘building governance committee’ within the main Governing Body. Rent is invoiced and paid on a termly basis to Ysgol yr Esgob.

Objectives and Activities

Clwb Bwthyn Bach aims to :

Clwb Bwthyn Bach follows the National Minimum Standards for Childcare.

Day to Day Activites – Clwb Bwthyn Bach opens daily from 11.30am until 6pm on a termly basis. A holiday club is offered during the summer break over a two week period. Children attend CBB from Ysgol yr Esgob (Caerwys) and it’s federated school. Ysgol Lixwm, from where children are transported by the Playgroup Leader. These children are collected by parents at the site in Caerwys by 6pm. Sessions cover the afternoon until 3pm for pre-school children and then an After School Club until 6pm for all primary school age children. Children over three only can attend this session.

Daily activities range from planned arts and crafts themed sessions, free-flow indoor and outdoor play with numerous resources and Storytime. Independent skills are encouraged as well as toilet training support, good hygiene skills and good behaviour practices. Children with ALN are welcomed and supported and in turn the staff are supported with this from the ALN Co at Ysgol yr Esgob Primary School.

Grants and Fundraising

Grants are obtained mainly through the Welsh Government (Small Capital Grant scheme, Childcare Funding etc.) or other independent bodies. We have not needed to undertake any fundraising this year as our intake has been good and there has been no financial concerns. During this period Clwb Bwthyn Bach received a local authority ‘small capital grant’ to add further resources to improve and make the outside playspace more interactive. This has been a valuable addition. The indoor space has also been upgraded with a large interactive screen and other resources to widen the play possibilities.

Achievements and Performance

Child Numbers:- Pre-School = 19

After School Club = 17

During this period we have had a healthy number of attendees for After School Club and an increasing number attending the Pre-school Session. Both saw a further increase from September 2024 when some changes were made to the way sessions were run and a wider variety of resources made available.

Parent surveys undertaken received extremely positive feedback regarding changes made to the service. No concerns were raised.

Staff attended all mandatory training required during this period.

Financial Review

During this financial year Clwb Bwthyn Bach experienced a loss financially of £10,837.73. However this included a large payment for an outdoor canopy extension where the grant had been received during the previous financial year. A small pay rise in the staff wages, extra staff when needed, general price increases of consumables, toy replenishment and improvements to the outdoor space are attributed to the loss.

To counteract future cost rises the fees per session have been increased.
