## Report of the Trustees 

## for the Year Ended 31 August 2025 

The trustees present their report with the financial statements of the charity for the year ended 31 August 2025. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019).

## **OBJECTIVES AND ACTIVITIES** 

## **Significant activities** 

We had another momentous year as a church, celebrating our 7th birthday and sending Duncan & Lorna off on their first sabbatical. This took great planning as a church, especially amongst our leaders, and has enabled us to develop &  widen the leadership structures across the churches various ministries. 

We started the year by finishing off the renovations on our Church Centre, replacing the degraded and old driveway with modern block paving, then ran courses aimed at equipping our members - Parenting Teens for a Life of Faith, and School of Kingdom Ministry (SoKM), to help people develop their discipleship & faith. In total 27 members have completed SoKM Module 1, with 10 completing Module 2. The SoKM Team then served by leading a Healing Room, and worked with our sister Vineyard 61 church to offer prayer for Healing on the Streets in Balham. 

Our Sunday gatherings at Blenheim High School continue to be well attended growing to an average of 90 (including kids & youth), plus an average of 50 at our twice monthly Evening Services, which tends to have a younger average age. Sunday Mornings have are supported by the - Hospitality Team, Welcome Team, AV Team, PA Team, Kids Team, Youth Team, Worship Team, Notices Team, Ministry Team, Communion team, Setup Team, and House Managing Team. We have around 80 members who volunteer regularly to allow our various ministries to flourish. We support the Leaders of these teams with a Termly Leadership Meeting where they receive input & training. We also develop our Leaders through the Essentials Leadership Training, offered by Vineyard Churches UK&I, and at Regional Training Events. 15 of our Leaders attended the Vineyard Leaders Gathering - a 2 Day conference aimed at equipping and empowering a wide cross section of leaders. 1 adult and 3 youth were baptised. 

Our Senior Pastors continue to receive input & support from their Area & Regional Leaders. And our Pastoral Staff Team spend time twice a year working on vision, strategy & fine-tuning direction. 

EV Youth continues to grow it's discipleship of the 11s to 18s. Over the Summer we took 41 Youth to the Vineyard Youth Festival - Dreaming the Impossible. 25 of those youth, come from families who aren't connected to churches, and have been invited by their friends to EV Youth - they continue to be a very welcoming & inclusive group! We offered financial support for this event who could not ordinarily afford to attend. We've run Youth Alpha twice over this year, and now have 2 Youth Worship Bands that lead our times of worship at our Evening Services, with 10 saying yes to Jesus for the first time. Three of our youth attended the Youth worship School at Winchester Vineyard, which was also supported by Sonya Marriott in her Youth Pastor role. EV Youth also ate more Pizza, hot dogs, and snacks than in any previous year! 

## EV Kids 

Several new families have joined EV over this year, and we've had some new babies within the congregation. 

## Young Adults 

Our 18-30s attended the annual 'Cause to Live For' Conference, aimed specifically at equipping and releasing this generation into their gifting and callings. 

## Mens & Womens Socials 

We run social events which are open to all in our community. Our Men do a monthly 'Walk & talk' aimed at connecting men & helping improve mental health. Our Women organised some great Women focussed socials, such as Wreath Making, breakfasts, and 'Crafty Saturdays'. 

We've run a regular Community Brunch throughout the year, inviting members of the community to enjoy a free brunch with us monthly. We run a weekly Toddler group, supporting parents, carers & child minders. And we ran our first The Bereavement Journey Course, supporting those in our church & in our community struggling to process grief. We also blessed our community through our first Light Party, and the Christmas Extravaganza, both hosted at Epsom Metropolis. Both events were attended by around 100 children, along with their parents, grandparents, and carers. We also gave away 150 Bags of Kindness and over 1000 advent calendars - trying to reach families who have been affected by the cost of living crisis. We ran a Macmillan Coffee Morning as well. 

We had 8 Life Groups for most of the year, with SoKM functioning largely as a 9th. Our newest Life Group started in June 2025. Our primary Pastoral Care is conducted from within these groups, allowing their members to feel like they belong both to the groups, and to the wider church. We hosted monthly Prayer Meetings (online), to fuel the life of Epsom Vineyard Church.

## **OBJECTIVES AND ACTIVITIES** 

Two more part-time members of staff were employed throughout the year, 1 day per week Bookkeeper (which was previously a volunteer role), and 2 days per week Administrator. These really helped to reduce the burden on the existing staff and have seen great improvements in our processes since the start of their employment, and also supported the wider church, alongside giving Epsom Vineyard's Trustees great assurance during Duncan & Lorna's Sabbatical. 

Our Christmas Season was a huge success, hosting our usual array of 'Beer & Carols', Christingle Service, No Rehearsal Nativity Service, and Carols by Candlelight on Christmas Eve. 

We also hosted our first weekend conference, inviting Steve Nicholson (one of the founding Fathers of the Vineyard Movement, and former Senior Pastor at Evanston Vineyard in USA) to teach, minister, and equip members from youth age upwards. This was an amazing spiritual boost for us as a church family. 

Duncan led 2 funerals this year, saying goodbye to much loved friends & family. Duncan & Lorna also had the privilege of speaking at and celebrating the marriage of two much loved members. 

We concluded the year, with our usual array of 'Summer of Fun' Activities, getting to know new members, and socialising with old friends! 

## **Public benefit** 

In planning the activities, the Trustees have applied the guidance on public benefit issued by the Charity Commission. The charity acts for the public benefit by providing practical help and education via the CAP courses, via donations to Blenheim High School, the Epsom foodbank and the Besom project to needy members of the community, to national initiatives led by Vineyard Churches UK, and in provision of spiritual services available to all. We ran 1 CAP course in a school and the Bereavement journey. 

## **Volunteers** 

Volunteers help at all the events hosted by the church and provide almost all the income (excluding the income from WEEC). The church's attendees provide a variety of services in the community free of charge in addition to the specific functions within the church. 

## **FINANCIAL REVIEW** 

## **Financial position** 

The charity had income of £276,115 (2024 £760,897) and expenditure of £271,114 (2024 £265,251) in the year giving a surplus of £5,001 (2024 £495,646). £415,000 of the income last year was a gift of the church building at 23 Lansdowne Road valued at £400,000 plus some equipment valued at £15,000 which have been treated as unrestricted funds. West Ewell Evangelical Church also gave a gift of cash of £125,397 which was treated as restricted funds as the cash was specifically given to cover refurbishment costs of the building and missionary work in the local community. The balance on restricted funds at the year end was £42,266 and unrestricted funds of £551,228. The charity ended the year with net assets of £593,494. 

In 2025, the charity consolidated its activities, given the exceptional previous year that included the gift of the church centre building and associated restricted cash funds, to ensure its maintenance and renewal. 

Additional expenses were incurred by the charity as a one-off in supporting the senior pastors to take a 3 month sabbatical, having run the church for 7 years; this was in accordance with the established principles of Vineyard Churches UK. Expenses incurred included additional administrative support during the period, as well as payment of expenses related to study and associated travel. 

Despite the growth in expenses of 50% for support services to cater for the increased church size, overall giving also increased by 25% (excluding gift of church centre) and the church again registered a positive net income of £5,001.

## **FINANCIAL REVIEW** 

## **Reserves policy** 

As at 31.8.25 the policy was 

The trustees have determined that the charity should aim to hold unrestricted net current assets of no more than the higher of £100,000 or 50% of the charity's annual unrestricted income (£142,766) (after excluding assets donated by WEEC) and no less than the higher of £50,000 or 25% of its annual income (£71,383), or about 6 months' of unrestricted expenditure (£116,759), so that the charity could continue to operate should income and / or expenditure vary adversely. At the year end, the charity held unrestricted net current assets of £127,957. This is healthy but is considered prudent given the increase in paid staff and the economic situation. The charity's surplus free reserves are to be used to expand the charity's activities. 

## **Going concern** 

The trustees have considered going concern. The balance of reserves is considered sufficient to continue operation should the economic situation affect voluntary giving into the next financial year. 

## **FUTURE PLANS** 

From January 2026 we plan to meet every Sunday Morning at Blenheim High School, and aim to host weekly services for the first time over the summer in August 2026. We'll host more Alpha Course to support those searching for faith, meaning and purpose. We'll also host more Bereavement Journey Courses, to support those grieving. Duncan & Lorna also plan to roll out the 2026 Vision, centred around helping everyone across the Area know that They Are Loved! And the cyclical outworking of Invite, Belong, Become. 

Duncan & Lorna increased their days to 4.5 days each per week from September 2025. 

We also plan to focus on increased giving from our larger congregation and if successful, hope to employ a Children & Families Coordinator to start in 2026. We are also offering the Vineyard 'Discipleship Year' to our 18-25s in Sept 2026. 

## **STRUCTURE, GOVERNANCE AND MANAGEMENT Governing document** 

The charity is controlled by its governing document, a constitution, and constitutes a charitable incorporated organisation, company number CE014228, a charity registered as a body corporate under part 11 of the Charities Act 2011. 

## **Recruitment and appointment of new trustees** 

Responsibility for setting policy and for determining the parameters within which the charity should operate rests with the trustees who meet regularly to monitor the activities of the charity. Responsibility for the day to day operation of the charity has been delegated to a leadership team led by Duncan and Lorna Owen. New trustees are recruited and appointed by the existing trustees and receive relevant training. 

## **Organisational structure** 

EVC was commissioned and 'planted out' by Sutton Vineyard on Sunday 3rd June 2018. Financially and governmentally EVC is an independent congregation. EVC is an independent congregation led by Duncan and Lorna Owen who are personally licensed by Vineyard Churches UK and Ireland (VCUKI) to use the Vineyard church brand according to the VCUKI bylaws. 

## **Induction and training of new trustees** 

All new trustees read the document 'The role and responsibilities of trustees', have a chance to attend trustees meetings and are fully appraised of the requirements of being a trustee. 

## **Related parties** 

Remuneration was paid to two trustees which is permitted under the Constitution and Merrill Skinner was paid for bookkeeping services. All related parties left the trustees' meeting when this was discussed to ensure there was no conflict of interest.

## **STRUCTURE, GOVERNANCE AND MANAGEMENT** 

## **Risk management** 

The trustees have a duty to identify and review the risks to which the charity is exposed and to ensure appropriate controls are in place to provide reasonable assurance against fraud and error. They have undertaken a review of the risks to the CIO and have taken steps to mitigate these. 

With the commencement of face-to-face Sunday meetings at Blenheim School in September 2021, the trustees initiated the generation of appropriate risk assessments to ensure that risks including safeguarding issues around the provision of activities for children were considered. 

The church has set up safeguarding arrangements according to current best practices and following advice of the Thirty-One Eight charity, an expert organisation, to ensure that children and vulnerable adults are properly cared for and protected. 

The arrangement for hire of Blenheim School facilities is on an ad-hoc basis at a favourable charity rate and no long-term agreement has been entered into, so there is no unusual financial liability or lease agreement to be disclosed. 

With the increase in church membership over the period and consequent income increase, the trustees have imaintained the hours of employment of the pastors at 8 days a week between them to cover their increased workload; the financial impact of which the trustees judge do not impose risk to the charity's financial stability for the foreseeable future given the solid cash position in the reserves.This was increased to 9 days per week from September 2025. 

## **Responsibilities of trustees under charity law** 

The trustees are responsible for preparing the trustees' annual report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice). 

Charity law requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of the affairs of the charity as at the balance sheet date and of its incoming resources and application of resources, including income and expenditure, for the financial year. In preparing these financial statements, the trustees are required to: 

1.  select suitable accounting policies and apply them consistently; 

2.  observe the methods and principles in the Charities SORP; 

3.  make judgements and estimates that are reasonable and prudent; 

4. state whether the applicable accounting standards have been followed, subject to any material departures disclosed and explained in the financial statements; and 

5. prepare the financial statements on a going concern basis unless it is inappropriate to presume that the charity will continue in operation. 

The trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time  the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011 and the Charity (Accounts and Reports) Regulations 2008. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Independent Examiner's Report to the Trustees of EPSOM VINEYARD CHURCH 

I report to the charity trustees on my examination of the accounts of EPSOM VINEYARD CHURCH (the CIO) for the year ended 31 August 2025. 

## Responsibilities and basis of report 

As the charity trustees of the CIO you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act'). 

I report in respect of my examination of the CIO's accounts carried out under section 145 of the Act and in carrying out my examination I have followed all applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

Independent examiner's statement 

Since the Charity's gross income exceeded £250,000 your examiner must be a member of a body listed in section 145 of the 2011 Act. I confirm that I am qualified to undertake the examination because I am a Member of the Institute of Chartered Accountants of Scotland, which is one of the listed bodies. 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the CIO as required by section 130 of the Act; or 

2. the accounts do not accord with those records; or 

3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination. 

I draw attention to Note 15 to the accounts where it is noted that the spouse of a trustee was employed when this was  not permitted by the governing document. I have reported this to the Charity Commission and the charity are applying to the Charity Commission for permission. 

Other than the matter referred to in the above paragraph, I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the financial statements to be reached.

## **1. ACCOUNTING POLICIES** 

## **Basis of preparing the financial statements** 

The financial statements of the charity, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention. 

## **Going concern** 

The trustees have assessed whether the use of the going concern basis is appropriate and have considered possible events or conditions that might cast significant doubt on the ability of the charity to continue as a going concern. The trustees have made this assessment for a period of at least one year from the date of approval of  the financial statements. In particular the trustees have considered the charity's forecasts and projections and the possible implications should projected income and / or expenditure vary unexpectedly. The trustees have concluded that there is a reasonable expectation that the charity has adequate resources to continue to operate for the foreseeable future. The charity therefore continues to adopt the going concern basis in preparing its financial statements.The charity meets the definition of a public entity as set out in FRS102. 

## **Income** 

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably. Recoverable gift aid is recognised when the related donation is received. Gift aid that has not been recovered by the balance sheet date is included as a debtor. The charity did not receive any material income from any one separately identifiable activity. In preparing these financial statements the trustees have relied on a professional valuation to value the property donated by WEEC and have looked at comparable market prices to assess the value of donated furniture. 

## **Expenditure** 

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure includes value added tax and is accounted for on an accruals basis. Expenditure incurred directly on activities is grouped by activity; expenditure that cannot be allocated to any one activity is grouped under the heading 'Support Costs'. 

The Charities SORP requires charities with income over £500,000 to allocate costs to various activities undertaken by the charity. Though expenditure has been grouped across various broad headings in the Statement of Financial Activities, the trustees consider that all expenditure has been incurred for just one overarching charitable activity, which is the advancement of the Christian faith. All expenditure is considered to have been incurred for this one activity. 

No grants were offered subject to conditions which had not been met at the year-end date. 

## **Governance costs** 

In addition to the fee payable for the independent examination, the charity paid Stewardship £933 (2024: £756) for the payroll bureau services. 

## **Taxation** 

The charity is exempt from tax on its charitable activities. 

## **Fund accounting** 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. 

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.

## **Pension costs and other post-retirement benefits** 

The charity operates a defined contribution pension scheme. Contributions payable to the charity's pension scheme are charged to the  Statement of Financial Activities in the period to which they relate. 

## **Donated goods** 

Facilities, services and goods donated for the charity's own use are recognised as income when receivable at  their value to the charity. When donated facilities, services and goods are consumed, an expense in respect of those items is included in the Statement of Financial Activities. Donated fixed assets are capitalised. The charity relies on volunteers to carry out many of its activities however, in accordance with the SORP, the value of these services has not been included in these financial statements as they cannot be reliably measured. 

## **Tangible fixed assets** 

Items purchased or donated for the charity's own use are capitalised when the cost of purchased items, or the fair value of donated items, is more than £250 and the item is expected to benefit the charity over more than one accounting period. Depreciation has been applied at the following rates:

## **6. GRANTS PAYABLE** 

During the year the charity paid grants to institutions totalling £31,467 (2024 £29,268). Of this £4,000 (2024: £7,000) was contributed to DTI, £5.000 (2024 £2,500) was contributed towards Vineyard Leadership Group and £13,467 (2024 £10,768) was contributed to supporting the Vineyard church movement in the UK and internationally, being 5% of income (excluding designated gifts and restricted funds). 

Grants paid to other institutions were £1,000 (2024 £nil) to St Pauls, £1,000 (2024 £nil) to Kingdom Vineyard Church, £500 (2024 £nil) to Buddy Up, £1,000 (2024 £nil) to Spinnaker Trust, £nil (2024 £1,000) to Besom, £4,000 (2024 £4,000) to Blenheim High School, £nil (2024 £1,000) to Christians Against Poverty, £1,000 (2024 £1,000) to AtaLoss, £500 (2024 £1,000) to All Saints West Ewell, £nil (2024 £1,000) to Gwynedd Vineyard. 

In addition the charity paid £973 (2024 £1,221) to various individuals for hampers, gift vouchers and uniforms.

The building at 23 Lansdowne Road was valued on 22.7.24 by Scrivener Tibbetts, Chartered Surveyors at £400,000. This is the value of the site only as, in arriving at their valuation, the surveyor assessed the value of the site to a property developer. For this reason, no depreciation is being charged.

The money donated by WEEC (the Church Centre fund) was specifically provided to be used in making improvements to the property so has been treated as a restricted fund. 

## **15. RELATED PARTY DISCLOSURES** 

Except for the reimbursement of expenses incurred when acting as agent for the charity, or incurred when undertaking employment duties, no expenses were paid to or for the trustees (2024 None). 

During the year the charity received donations totalling £47,058 (2024 £42,796) from related parties. There were no conditions attached to these. 

The wife of one of the trustees was employed as a bookkeeper and received remuneration of £5,188 (2024 £nil). Although the employment was in good faith it came to light during 2026 that the charity's governing document does not permit the employment of trustees or connected persons, except for the role of Licensed Senior Pastor. Therefore, this employment was in breach of the governing document. The charity are seeking permission from the Charity Commission to allow this employment to continue.
