Trustees Report
This is the sixth Annual Report of the Friends of St Peter’s, Alvescot (FoSPs).
With a complete change in trustee team, there were some new events this year. Elfridges (Christmas gift event) was introduced successfully, the Christmas bazaar was changed to a mini baazar after school and KS1 and KS2 discos took place. FOSPS provided refreshment stands at all school evenets, nativity and carol singing. As well as the Christmas card making that is traditional. This resulted in a record breaking Christmas period income as well as a lot of enjoyment for the community. As well as the aforementioned, we have enjoyed a new May Day fete, Mother’s and Father’s day workshops, two Rags to Riches collections and lots of tuck shop and ice cream Fridays.
This year also saw successful grant applications to Tesco, Nationwide Building society and Thames Police. Resulting in over 3 x the income of the previous year.
We ended the year with three trustee resignations, and now undergo a time of rebuilding, with the opportunity to welcome new trustees and fresh ideas. While giving thanks to the volunteering and hard work given by our outgoing trustees.
Achievements and performance
Fundraising Highlights
During 2023/24, FoSPs has generated over £23,000 of income. We have transferred over £23,336 in funds to school (Including some funds carried over from the previous year) - covering a variety of educational resources including outdoor explorer lessons, reading resources, music lessons, community engagement, outdoor area improvements, panto ice creams, leavers hoodies, software subscriptions and more. The remainder of the funds raised this year are being set aside and will go towards funding plans for the 2023/24 academic year.
Our Christmas events raised £1,970, our fantastic Friday Tuck Shop and Ice cream Fridays raised over £1,900 and our May Day Fete raised over £670.
We introduced some new events this year, including Elfridges, May Day, BBQ and Grant applications, and hope to try other new ideas in the next year.
Objectives and Supporting Activities
FoSPs’ primary objective is to help ‘advance the education of the pupils at St. Peter’s Primary School, Alvescot’. Our organisation, which was created in 2018, is a Charitable Incorporated Organisation and it comprises of both members and trustees.
To be able to fulfil our objective we work hard to:

Develop effective relationships between staff, parents and others associated with the school

Engage in activities, or provide/assist in the provision and funding of facilities and equipment (that is not provided by ODST or the LEA).
At the beginning of each academic year, FoSPs discuss with the Head Teacher and the wider school team the specific objectives for the coming school year and the funding that is required to fulfill these objectives. These proposals are then discussed and agreed in principle by the trustees.
Numerous fundraising events are held throughout the school year in pursuit of the agreed fundraising objectives.
We will be rebuilding a trustee team under new leadership, while welcoming members, and volunteers alike. Thinking about what new events we can run – both to keep events current and to appeal to all the pupils at St Peters, from ages 4 through to 11. Now is an opportunity for others in our community to join the team, with fresh ideas. So we can work together to grow and provide benefits for the wider school community while fundraising.
Constitutional Matters Membership
Membership is optional and is open to:

All parents and carers of pupils enrolled at St. Peter’s School, Alvescot who will be asked to indicate on school induction documentation if they wish to become members

Teaching, support staff and governors of St. Peter’s School, Alvescot
-
Any other person who expresses an interest in supporting the objectives of the Friends of St. Peter’s, Alvescot.
Members are encouraged to attend meetings wherever possible, and are able to vote on decisions. Members are also encouraged to actively participate in fundraising and generally support the FoSPs’ cause.
The Board of Trustees
Our Board must consist of between three (minimum) and five (maximum) trustees. Trustees are elected on an annual basis at the AGM; retiring members shall be eligible for re-election without further nomination.
We make our decisions in line with our FoSPs’ Constitution, at meetings of the charity trustees, by resolution in writing or by electronic form, using a majority vote.
Due to the resignations of three trustees in the last school year we have opportunities to become a trustee. Advertisements for the roles are attached to the invitation to the AGM. To enable prospective trustees to make informed decisions about the commitment required and the election process, the FoSPs’ Constitution is available to any interested parties. Trustee role descriptions for the 3-5 roles are also available and current trustees make themselves readily available to answer any questions those considering an application may have.
Treasurers Report
On the following page you will find our Accounts, which have been prepared on a Receipts and Payments basis. In total £23,000 of Income (including grants) has been received in the 2023/24 academic year, we also had funds carried over from the previous year. After deducting all of the event costs and a small sum for charity insurance and also a Small Society Lottery Permit, we have been in a position to issue funding of £23,336 to school within the year. Some of which was for funds raised in the previous year.
At the end of the year, our cash balance is £3,218.12. This is made up of funding yet to be issued to school, our £500 minimum bank balance (per the constitution) and a total of £1,000 of grant funding yet to be spent.
