Trustees Report
This isthefrfth Annual Report of the Friends of St Peterf5. AlvescotlFoSPsl.
As a trustee team. we have seen a lot of thar￿e in team thos year. The earty part of the year saw
successful Harvest and Christmas events. led by a lon8Standing team. Followin8 the last AGM in
FebrLsary. two new TNstees j(Nned. This is the first year wst pandemtc that all legacy events have
happened. As well as the aforementioned, we have enjoyed 3 new K52 Chrlstmas diKo, a FIFA World
Cup wall chart competition. an Easter Fayre. Motherfs and Fatherf5 day workshops. two Ra8S to Riches
collections. a fabulous Year 6 Leavers Disco and lots of tuck shop and Ice cream Fridays.
We ended the year with three trustee resignations. and now undergo a time of rebuildin8, with the
opportunity to welcome trustee5 and fresh ideas. Whlle 8ivin8 thanks io the many years of
volunteering and hard work given by our oJt8oin8 trustees.
Achlevements and porformance
Fundrnlslng Hlghllghts
Durlng 2022123. FOSPS has 8ènèrated cNer £8,636 of income. We havè transferred over £9,760 In
funds to school Ilncluding some funds carried ¢)ver Irom the previous year) covering a variety of
educational resources includln8 32 Ipads, panto Icè trtams. leavers gifts. software subscriptions and
more. The remainder of the fund5 raised this yèar are being set aside and wlll go towards a sheltered
outdoor ltarnlng area, whlch will be purchased In the 2023124 acadèmlc year.
Our Chrlstmas raffle and event ralsed £1,318, our fantastlc Frlday Tuck Shop and Ice cream Frldays
ralsed over £1,800 and our Easter Fayre raised over £8CQ. We have also been genèrously awarded
two grants from Bampton Village Communlty Shop totaling £2,080.
We introduced 50mÈ new ￿entS this year. Includin8 Bln80 and a Dlsco, and hope to try other Trew
Idèas in the next year.

FoSPs' prlmary objective lsto help'atfvance the educatSon of the pupils at St. Peterf5 Primary School,
Alvescov. Our organlsation, which was created in 2018. is a Charitabk In￿rPOrated Organisation and
it comprises of both members and trustees.
To be ableto fulfll our objective we Work hard to:
Develop effectNe relationships between staff. parents and others assotSated wlth the scho
Engage in activities, or providela5SiSt in the provision andfundln8 of facilities and equlpment
(that Is not provided by ODST orthe LEA).
Atthe be8innin8 of each academi¢year. FOSPS dlsojss wlth the Head Teacherandthe widerschool
team the speciflc objectives for the comin8 school year and the funding that Is required to fulfil
these objectives. Thèse proposals are then dlscussed and agreed in principle by the trustee5.

Numerous fundraising events are held throughout the school year in pursuit of the ag￿ed
fundraSslng oblectives.
We will be rebuildirg a trustee team under new leadership, while welcoming members, and
Voluntee￿ alike. Thinking about what new events we can run- both to keep events cuirent and to
appeal to all the pupils at st Peters. from ages 4 through to 11. Now is an opportunity for others in
our comm¢Jnlty to loin the team. with fresh ideas. So we can work tO8ether to 8row and provFde
benefits for the wider school community while fLtndrajs1r￿.

The Board of Trustees
Our 8oard must ¢onslst of between threè Imlnlmuml and five Imaximuml trustees. Trustees are
èlectèd on an annual basés at ihe AGM,. retlrbng members shall be ellsible for re.electlon wlthout
further nomlnztion.
We make our dec15i0ns In line wlth our FoSPs' Constltution. at meetln85 of the ¢harlty trustees, bv
resolutbon in writin8 or by elertronic form, using a maJo￿ty vote.
Due to the resl8notions of three trustees in the last school year we have opportunitles to become a
trustee. Athertisements for the roles are attached to the Inv4tation to AGM. To enable
prospectlve trustees to make Infomied decisio￿ alx)ut the tommitment required and the election
pr(xess, the FoSP5' ConstttLrtion is availabl* to anyinterested parties. Trustee role descrlptlons forthé
3-5 Tole5 are a150 available and current trustees make themselves readily available to answer anv
questions those conslderlt)g an applicatlon may have.
Treasurers Report
On the followin8 page you wll find our Accounts, which have been prepared on a Receipts and
Payment5 basis. In total £9.420.17 (rf IntLNne lintluding grants) has been received in the 2022123
academicyear, we also hadfunds ￿rrIed over from the previous year. Afterdedurtingall of the event
costs and a small sum for charity insurance and also a Small Sotiety Lottery Permlt. we have been in
a ￿SItIon tQ i55ue funding of £9.761.60to s¢hts)I wthintheyear. Some of which wa5 for funds ralsed
in the pre¥iou5 year.
At the end of the year, ourcash balan￿ is £3,798.83. This is made up of fundinqyet to be issued to school,
our £500 minimum bank balan￿ (per the con5titutionl and a total of £1.080 of 8rant funding yet to
be spent.

Memberships 

Attendees were asked to  complete a membership form if they wish to vote - if attendees wish to vote any motions during the course of the meeting they must be registered as a member of Friends of St Peter’s in advance. Membership forms were handed out, completed and collected _._ 

## **Chair and Treasurers Report for the year ending 31 August 2023** 

Report was read to attendees and recent changes in team shared. July 2023 saw three members of the team resign - in the interim Aily Slade was acting chair. 

2022/23 FoSP’s generated £8636 income, this has gone towards 32 iPads, Panto Ice Creams, Leavers Gifts and Software Subscriptions and many more. 

Leftover funds are being set aside and will go towards a sheltered learning area. 

FoSP’s introduced new events which were a success and hope to run these again whilst coming up with some new ideas. 

It was communicated how parents can get involved with helping at events, these included Tuck, Lotto 50/50 and Easy Fundraising.

Trustee Natalie Rainey - showed her interest in becoming trustee and was voted in by all attendees, Aily Slade to follow up with necessary paperwork. 

## **Any Other Business** 

## _Events_ 

Christmas Raffle 

As there is a new team and reduced numbers, a Christmas Bizarre will not be held this year and instead FoSP’s will hold Christmas Disco and Elfridges as well as the Christmas Raffle. 

## Christmas Discos 

8 December x 2 discos one for KS1 and KS2 - no siblings allowed who do not attend the school due to capacity and health & safety 

## Elfridges 

8 December, help required. Children will be able to buy a gift for anyone - Parentmail will be sent with instructions of how to order. 

## Raffle 

Raffle tickets will be sent home in book bags and money to be handed back to school - Raffle prizes will be shared via Parentmail and date for when the raffle will be drawn in discussion. Possibly hold a Christmas bake sale on a Friday before term ends. 

## Christmas Bizarre 

Some attendees would have liked to have the bizarre in 2023 and will happily run / organise for 2024. Church has been informed that Christmas Bizarre will not take place this year.
