## **Chair's Statement and Trustees' Report for the year ended 30 September 2021** 

## **Our Charity** 

The Greystoke and District Sports Association was set up to establish and run a recreation ground and swimming pool and to promote it for the benefit of the inhabitants of and visitors to Greystoke and surrounding areas. In April 2018 we became a Charitable Incorporated Organisation, moving from the sports association model that had served us well for many years. 

We operate an open air heated swimming pool in the village of Greystoke in Cumbria along with its changing rooms and café. We also maintain two children’s play areas and the playing fields which are used by the village football team and the local primary school. 

In accordance with Charity Commission guidance the organisation is able to demonstrate our public benefit in carrying out our objectives. The swimming pool facility, sport pitch and children's play areas have benefitted the inhabitants of Greystoke and surrounding areas and visitors to the area by providing healthy, outdoor social activities.

## **Report for 2021** 

This is our third formal annual report covering a full 12 months of operation as a charity. 

## _Achievements and Operating Performance_ 

Following on from 2020, when we had to remain closed throughout the year, 2021 was also an unusual season. As with so many other businesses and charities, we were unable to operate fully as normal due to Covid -19. 

The good news was that during the 2021 season we were able to re-open our swimming pool facilities on a gradual basis. We at last started to reap the rewards of the major refurbishment project for the changing rooms and café that had been completed back in March 2020. 

The early part of 2021 started with a burst pipe in the very cold weather of February. Fortunately the damage was not as serious as it might have been. We were able to repair leaks and damage and get ready for a new season. In 2021 there was extra preparatory work as we decided that the walls of our main pool needed to be repainted. A dedicated team of committee members and volunteers carried out the hard work of sanding down the surfaces and repainting in April. The pool area was cleaned and then the pool was filled during April and May in preparation for re-opening. 

During the first part of 2021 as England moved out of lockdown and as the levels of vaccination rose, there were uncertainties about when and how we could open the pool. The safety of our users, lifeguards and volunteers was a paramount concern. In the end we opened in a phased way. 

In phase 1 during May we opened the pool to our **adult swimming club** members only. This meant that at last the pool could be used, even though the new changing rooms were not open to or used by adult swimmers. There was strong demand for adult season tickets and we quickly sold a record number of season tickets. Over the whole season we had 145 adult season ticket holders who swam a total of 2,437 sessions. As a result of Covid, we introduced the innovation of an online app-based booking system (Team App). This venture into the digital world proved pretty successful after a few teething problems and a big thank you to Stuart Lowthian who set it up and administered it. 

Phase 2 of re-opening happened in June, when on the 12th we finally opened to the **general public** . Due to Covid restrictions, we had to limit the numbers of pool users to maximum of 15 at any one time, visitors could not sit in the café and track and trace requirements were followed. The reopening to the general public co-incided with some really excellent weather and the country moving out of lockdown so there was strong demand. Managing user numbers required close cooperation between our volunteers and lifeguards. Unlike some other pools in Eden, we decided not to introduce an on-line booking system for the general public to maintain maximum flexibility. 

Finally, we returned to normal capacity on 19th July, when pool operations pretty much returned to business as usual. As we do every year, we closed the pool at the beginning of September (the 5th). 

In spite of Covid restrictions, **the pool was very well used** over the summer. There were around 3,050 visits recorded by members of the general public for the 84 days we were open (of which only 48 days were for normal operating times and capacity). The visits were made by an estimated 950 different people. Therefore we had a total of 950 plus 145 adult swimming club member or around 1,100 separate users during the season (adult swim club members and the general public). This compares very favourably to the 3,300 recorded visits by the general public during 2019 when we were open in all for 117 days or the 4,000 visits during 2018 (a very hot summer) when we were open for 100 days. We were of course closed throughout 2020.

There was some particular notable changes and development over the last 12 months: 

- We have built **outside family changing room facilities** . These are simple outside changing rooms and have proved very popular and useful with the adult swimmers in particular. The committee extends a very large thank you to Andy Rushton who built these for us. 

- The **dosing system** that we had installed in 2020 was finally put into full operation. It provides an automatic feed of chemicals to retain the Ph balance and chlorine levels. This means that the chlorine levels are kept at a constant level and will not peak as they have in the past with hand administered chemicals. This new system has led to a marked improvement in water quality and, most importantly, has meant  that the pool could be used outside public opening hours by an extra 5 hours a day. 

- The **café** re-opened in June and at last visitors could really appreciate the new facilities. Led by Judith Nicol, the design and layout and furnishings in the café were dramatically improved. We also purchased a proper coffee machine that has proved a great success. 

- The **official opening** of the new facilities took place in August where we were very grateful to receive a cheque for £500 from Roy Fisher the Chair of the Parish Council towards our facilities. This was attended by a number of people who had been involved with the pool and sports association over many years. 

- The **Beer Festival** is back. This year it was a slimmed down affair on one Saturday night in September. A lot of hard work went in to setting it up and running the event. Our thanks to Robin and Rosie Illingworth who led the organisation of the event this year and all the other volunteers who helped. It was attended by over 100 people and, even though there was no sponsorship this year, the event made a profit to contribute to the pool. 

On a less positive note a leak in the pool was identified early in the summer which we were unable to fix during the season requiring more regular topping up of the water levels. However, we are hoping that we can find an answer and fix it before opening for 2022. 

Our local football club Greystoke FC have invested heavily to improve the playing surface of the football pitch (supported by successful efforts to obtain grants). They had a particularly successful season culminating in their winning the Westmorland FA Junior Cup Final in June. 

A number of longer serving committee members and Trustees left during the season. Judith Aris who has been a stalwart of the swimming pool over many years resigned as did Judith Nicol who had served on the committee for seven years and had been Treasurer for five of these. Stephen Nicol resigned as Chair and as a Trustee in August having delivered his three main objectives for the pool. Janice Weatherill-Timmins has kindly agreed to step in as temporary chair. Louise Chance, previous Chair and long-standing Committee member has resigned and will be sadly missed. Stuart Lowthian also resigned having been a major help in setting up new systems for the Committee. New Committee members have joined and are learning how we work before becoming Trustees. 

## _Financial Performance_ 

As the attached accounts show there is a healthy cushion of monies held. 

The account records some final element related to the build project from the previous year. We received the final grant payment of some £9,400 from the Cumbria Fells and Dales LEADER programme. 

Thank you to Judith Nichol who stepped down as Treasurer mid-2020, for all her efforts over the past few years. 

A strange year to take over as Treasurer, whilst still in the midst of a global Covid-19 pandemic! Our winter fundraising efforts were quashed due to countrywide lockdowns in November 2020 & again in January 2021, followed by further restrictions on people movement, limited numbers for gatherings, social distancing and much general uncertainty as to when we might see normality again.

**1. Developments in our financial systems** 

An iZettle card reader was hastily purchased and set up just in time for opening the pool & café to the public mid-June to enable us to take contactless payments for pool admissions and café sales. After a bit of head-scratching to set it up, and a few of our volunteers being a bit anxious about using this new technology, it has proved very useful: 

- easy to use with the tablet 

- popular with our customers 

- much less cash handling & banking as in previous years 

- from the iZettle programme, it’s a really useful tool to extract reports on sales. We continue to encourage the use of on-line bank transfers for income & expenditure which is an easier way to trace our funds. 

## **2. Financial Highlights** 

We were very fortunate to have received a number of grants from Eden District Council totalling £9,431.00 These were grants awarded to help local businesses survive the winter months of lockdown during the pandemic and have helped us to cover what we would normally gain through fundraising events. 

The telephone contract with BT was updated to a broadband package with Wi-Fi to enable a card reader to work in the cafe, and the business line listing was cancelled, giving us a better deal for 2 years (average of £34 per month, compared to £63 per month last year). 

Our Waterplus accounts have been amalgamated into one single account (usage, wastewater & surface drainage) and regular meter readings being sent through online, which should give us a clearer idea of water spends during the season.  Water costs were high this year at £3,040.54 with the pool being constantly topped up due to the leak. This is a 51% increase against a comparable year (£1,808.65 water cost in 2018/19). 

Operational income (season tickets, café sales & pool admissions, pool hire and annual grants from Eden District Council) was £31,542.40 an increase of 32% on 2018/19 season. 

Estimate £180 per day (86 day season) to operate, compared to previous years £92 (2017), £90 (2018).  Includes cost of electricity, water, insurance and lifeguards. 

The Monthly Draw income was less than in previous years £2,925, (compared to £3,295 last year) possibly due to social distance & lockdown measures in place.  Hopefully, we can increase this again next year. 

Some caution is required for next year with electricity costs rising significantly, the pool leak to consider and the purchase of a 2[nd] heat pump as a back-up should the one in situ suddenly fail on us. 

As of 30[th] September 2021, our 2 bank accounts have a total of £29,222.86 – a healthy pot to carry forward. 

Overall, the Sports Association therefore ended the year in a healthy financial position after the completion of the rebuilding project and face 2022 well equipped to deal with whatever challenges and opportunities it brings. 

As ever, there is an enormous debt of thanks to the other committee members and all those who volunteer and help at the pool.

Pool equipment and buildings amounts reflect the depreciated value at 01/10/18 and expenditure since then. The charity prepares receipts and payments accounts and therefore does not make provision for depreciation.
