Latitude Festival 2019
After many months of trying, and almost giving up hope, we were invited by the Latitude Festival team to bring an orchestra to perform on the Waterfront Stage on Sunday 21st July 2019. SMART Sinfonia was born!
With just 6 weeks to arrange a programme, musicians and rehearsals, we set about mobilising the County Music Service alumni and received an amazing response. This was just the event we needed to really kick start the charity, raise funds and increase our membership.
Over 70 musicians and helpers came together on Saturday 20th July to rehearse an eclectic mix of well known orchestral pieces that we believed would attract a crowd. Some people played their instruments for the first time in years, whilst others were professional musicians. Vince Taber and Frankie Ayers volunteered to conduct and set about bringing everybody together in just a few hours.
On the day, SMART Sinfonia, plus all of their instruments (including timpani), were squashed onto a stage that was floating in the Henham Park lake! Our set began at 11am after a quick rehearsal. This was perfect timing to draw a big crowd, as people came into the Festival from their campsites. The audience very much enjoyed the Can-Can dancers that Will had somehow managed to recruit and join in with, and familiar favourites such as Land of Hope and Glory. We were also able to publicise the charity and collected donations.
The County Music Service lent us instruments and equipment free of charge. Latitude paid us a fee for performing which enabled us to hire a van and purchase T-shirts for all of the performers; they also gave us free entry for the day and some weekend passes. We made a small profit which has enabled us to start awarding grants.
Friends of Suffolk Youth Music (FoSYM)
FoSYM was a charity with a similar object to SMART that became inquorate and was wound up in 2010. Unfortunately, the charity’s funds were not reassigned at the time and County Music Service made us aware that there was a large amount of money still in bank accounts in the FoSYM name and asked SMART if we would take responsibility for these funds. In June 2019, a meeting of former FoSYM trustees was convened and they agreed to transfer these funds to SMART with the proviso that the original charity’s object was used in relation to the funds.
FoSYM Object: To advance the musical education of young people living in, or educated within, the County of Suffolk particularly by supporting the charitable activities of the ‘Suffolk Youth Ensembles’ [FoSYM rules define ‘Suffolk Youth Ensembles’ as; Suffolk Youth Orchestra and similar County ensembles managed by the Suffolk County Music Service (SCMS) or its successors].
A total of £35,376 was transferred to SMART in October 2019.
Grant Making
With a small amount of money in the bank from membership donations, small fundraising activities and Latitude, and the very large amount received from FoSYM, we set about developing our Grants Policy and advertising the availability of individual grants. We considered our first applications and made two grants in March, just before the Covid-19 lockdown started. Subsequently, one of these has been returned as the activity did not go ahead and the other has been deferred until September.

We are very keen to distribute funds from the FoSYM and have set grant sub-committee dates with the County Music Service to coincide with the points in the year at which ensemble and tour fees are made.
We need members to promote SMART, so that more people are aware of the charity and start to apply for grant funding.
Membership
Ensuring that our supporters become members of SMART, is important so that we can disseminate information about the charity. Membership of SMART was made a prerequisite of attending Latitude. We made free membership an option for all new joiners and decided to continue with this, as people were not renewing when their membership expired. We currently have 122 members.
Events and Publicity
We have a number of fundraising events scheduled for the Spring and Summer 2020, but believe that the Covid-19 lockdown and restrictions will mean that these are cancelled.

Statement of Financial Activities for the year ending 31st March 2020
Treasurer’s statement
Income:
This past year we generated an income of £979 through membership by donation.
The Paypal Giving Fund has generated a further £25.
Our playing at the Latitude Festival gave us a fee of £3,000 with another £205 collected on the day in buckets from those listening.
By far, our greatest income has been the acquisition of the funds from Friends of Suffolk Youth Music - mentioned earlier. This amounted to £35,376.
A Gift Aid repayment claim for £486 for the financial year has been made but not yet received.
Costs:
Our greatest expenditure was for Latitude. This amounted to just over £1,200 - this was for hire of music and a van plus t-shirts for our members to wear.
Other major outgoings were £174 insurance and £212 for collection boxes and an electronic counter top device for collecting donations.
Grants:
Having now amassed a substantial balance we have been able to consider grant applications. Our first grant of £100 has been given.
Savings:
In view of our current bank balance we have invested most of our balance in two Fixed Term Deposit Accounts (6 months and 18 months), to give us the best return that we could obtain.

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“The Act”)
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all of the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
INDEPENDENT EXAMINER’S STATEMENT
In connection with my examination, no material matter has come to my attention which gives me reasonable cause to believe that, in any material respect:

The accounting records were not kept in accordance with section 130 of the Charities Act; or

The accounts did not accord with the accounting records; or

The accounts did not comply with the applicable requirements concerning the form and content of

accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
No other matter has come to my attention in accordance with my examination to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
