Notes of the Trustees Meeting 13 November 2025 – Annual Summary

Summary of the Year
50[th] Anniversary
The Group celebrated its 50[th] anniversary with a lunch in April 2025; 40 past and present members attended and long-service awards were presented.
Pupils
We have completed another enjoyable and positive year for the schools, children and volunteers. Children from Palmerston School attended from November 2024 to April 2025, riding very successfully and achieving awards in both riding and horse care. Our usual schools took a short break over the summer and we resumed in September 2025 with Palmerston School again. We continue to be very happy with the quality of instruction given to the riders and the ongoing diligence of coaches in updating their logbooks.
Trustees
Following the February 2025 AGM, Trustees confirmed that risk assessments had been reviewed and updated, and the governing document was confirmed without change. The policy framework – including equality, safeguarding, health and safety, data protection (GDPR) – was also reviewed and confirmed. The Trustee annual checklist was reviewed and compliance agreed, and Trustees completed conflict of interest forms and acceptance forms. DBS checks were completed as required across the Group and Trustees confirmed that all volunteer checks were up-to-date. Trustees noted that the role of organiser continues to be divided between two existing Trustees because this is working so well.
Volunteers
Our current team of 14 volunteers continues to provide excellent support to the Group. The South Wales AGM in November 2025 was attended by a volunteer coach from the group who presented the annual report.

Report of the Treasurer
All Trustees received and accepted the last set of accounts (see statement of income and expenditure on page 3) for the period to 1 November 2025. The group always works within its available funds; although our bank balance is healthy at year-end, we all acknowledge the need to continue to fund-raise.
Next Meeting
Our next meeting will be 12 March 2026 and will be the Annual General Meeting.

We also thank Cardiff Riding School for their support of our group and their kind assistance with the weekly lessons. Lastly, we are hugely grateful to all the organisations and individuals who provide much-needed donations towards our work.
