Notes of the Trustees Meeting 30 November 2023 – Annual Summary

Summary of the Year

Pupils

We have completed an enjoyable and positive year for the schools, children and volunteers.

We welcomed Ysgol-Y-Deri School and Palmerston School during the year; all pupils settled in well and continue to enjoy their lessons and develop their skills.

Pupils were successful in passing their Riding and Stable Management Grade 1, which is excellent progress.

We have introduced a new approach of our Coaches visiting the pupils at their schools to assess their competencies prior to commencing with the group; this ensures they are appropriately managed and achieve the maximum benefit from their activities.

Overall, we are very happy with the quality of instruction given to the riders and we note the diligence of coaches in updating their logbooks.

Trustees

Where appropriate, Trustees completed conflict of interest forms and acceptance forms.

One long-standing Trustee retired from the role of group organizer; they were thanked for their long service and commitment to the group. The role is now being divided between the existing remaining Trustees.

Trustees have completed a review of the governing document and constitution; these were circulated at the meeting.

A safeguarding course was held by Zoom on 12 October 2023 which was very well attended. The new documents are stored for group members to peruse.

DBS completed as required, including refresher certificates.

The Trustee annual checklist was reviewed and compliance agreed.

Volunteers

A number of new volunteers joined the group during the year and have fitted in very well.

The South Wales AGM on 01 November 2023 was very well attended and proved very helpful and informative to both new and existing volunteers.

Trustees noted that they should check service tenure for volunteer long service awards in the next year.

Report of the Treasurer

All Trustees received and accepted the last set of accounts (see statement of income and expenditure on page 3) for the period to 1 November 2023. The group always works within its available funds; although our bank balance is healthy at year-end, we all acknowledge the need to continue to fund-raise throughout 2024.

Next Meeting

Our next meeting will be 29 February 2024.

We thanked all of our volunteers and coaches for their hard work and for giving up their time so freely. We also thank Cardiff Riding School for their support of our group and their kind assistance with the weekly lessons. Lastly, we are hugely grateful to all the organisations and individuals who provide much-needed donations towards our work.
