Trustees Meetng April 2025

Venue: Sheerness East Working Men’s Club 

Shut down training was decided that the local Academy 3g will be used for the month of June and part of July dependant on how long the pitch renovation work takes. Next seasons winter training will be decided at a later date due to the fact that while the prices are on shut down then work on surrounding areas of the pitch has been carried out. 4 additional flood lights have been installed at no cos to the club as the lights and poles were scored by a sponsor and the electrical work was carried out by one of the managers and his company. This allows for further areas of the pitch to be used in the winter so training can stay at the East longer this should reduce the academy cost or we can start back earlier into 2027 again reducing the cost of te academy as this seasons bill equated to over £8,000. 

1. Registration was agreed by all to stay at £25 for 2024/25 season, however subs to £12.50 and £25 for those playing matches. Which is still cheaper than all other teams on the island. We are fully aware of the cost of living crisis and families so keeping it as low as we possibly can 

2. Pithces have been scarified twice this season and virtual drained Will continue to do so regularly as this is certainly helping with the pitch improvements conditions etc. The Golf club are also currently cutting the grass now once a week or as needed 

3. 90% of children’s subs are now paid via bank direct debit so less cash is handled by the managers and coaches. Which is also easier to track who is up to date or not as the case may be. Letters are sent out to the parents who are considerably behind on payments of monthly subs and their child will miss match time but still allowed to take part in training. 

4. The balance sheets are to be continued to be completed monthly and then emailed out to every trustee coach and manager with a spread sheet that builds each month of the accounts. A break down sheet is also included on a regular basis which tells of generic monthly income and then expenditure and current commitments.  A record of monthly payments made by players is kept and sent out via WhatsApp group so managers can chase any outstanding subs or letters can be sent for large owing amounts so that reminders can be sent out. Regular meetings are held with coaches and managers where balance sheets are available and questions can be asked if required. 

5. Kent FA continuing to provided funding Via the pitch improvement plan and then the football federation fund. This will maintain the yearly work on the pitches which is carried out at the end of the season. June this coming season as the 11v11 pitch cannot be played on through this month. Last year’s amount was over £6,000 each year the amount gets changed depending on circumstances.  The work is carried out by a qualified groundsman. 

6. No discrepancies have been found throughout the year regarding any of the finances. 

7. Managers will continue to try and gain sponsors for their team’s kits. 

8. New goals have been purchased for the 9v9 pitch that are movable and next season new goals will be looked into for the 7V7 pitch.  We will look at purchasing new wheeled ones for the 5v5 pitch ready for next season. 

9. Two fun days are planed for the end of the season to boost funds and a quiz night was held to help boost funds another will be planned for later in the season 

10. Finances are healthy not carrying over too much into the next financial year due to providing activities and gifts for the children and managers coaches through the season for example at Easter, Halloween, Christmas, and end of season trophies and presentations, days out this will continue to happen or any special event. 

11. Aaron gained funding and sponsorship for the club to purchase a variety of equipment, including a VEO camera so teams can film their games and watch back as a training aid kits and training kits for the teams, along with some companies paying to put up some advertising boards around the perimeter. More can be added. Any funding that comes in via sponsorship receive a letter of thanks and notification as to what the money was spent on. 

12. There has been a grub hub set up in the kitchen of the main building of the venues grounds that we use these runs on a Saturday and Sunday mornings providing hot and cold food and drinks which will continue next season.
