Report of the Trustees
For the Year Ended 30th June 2024
The Trustees present their annual report together with the financial statements of Moving Memory Dance Theatre Company for the period 1 July 2023 to 30 June 2024. The Trustees confirm that the Annual Report and financial statements of the company comply with current statutory requirements, the requirements of the company’s governing document and provisions of the Statement of Recommended Practice (SORP), applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) as amended by Update Bulletin 1 (effective 1 January 2015).
Since the charity qualifies as small under section 383, the strategic report required of medium and large companies under The Companies Act 2006 (Strategic Report and Director’s Report) Regulations 2013 is not required.

The Trustees, who are also directors of the charity for the purposes of the Companies Act 2006, present their Report with the financial statements of the charity for the year ended 30 June 2024. The Trustees confirm that the report complies with the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities.
Public Benefit / Impact
Moving Memory produces performances, workshops and training, offers guidance to others and contributes to research so that people across the country perceive ageing differently. Our experience as older people, and the techniques we have developed, resonate with, and have proved valuable to other marginalised communities.
The work the company produces – and the way it is produced – shows that getting older can be liberating and life enhancing. Through working intergenerationally, Moving Memory demonstrates the richness, value and importance of older people’s lives and their contributions to local communities. The company’s unique Moving Well collaborative practice engages people of all ages and backgrounds with the creative process and is designed to enable participants to work together to tell the stories they want to tell, express their individual identity, and have a voice in wider society.
The Trustees remain satisfied that Moving Memory Dance Theatre Company delivers a clear public benefit through the work it does to challenge ageism, and to bring health and well-being benefits to participants.
The company undertakes a range of ongoing monitoring and evaluation activities which help to measure how well it is succeeding in achieving its aims, how it can improve and how it can increase its impact.

During the year:
We implemented Year 2 of our Strategic Plan 2022-25 and adopted a 3 Year Growth Plan devised with the support of The Considered Ask.
We reached audiences of 1353 people including work by community participants and 12 performances of core company shows The Devil’s Doorbell and Cracking the Crinoline .
We delivered 65 workshops involving 758 participants in shopping centres, arts centres, community halls and libraries.
We delivered 25 training and professional development sessions involving 227 participants.
Our team of 4 Creative Facilitators led Moving Well projects in Southborough, Gravesend, Chatham, Whitstable, Dover, Maidstone and London.
We were joined by 3 new Trainee Creative Facilitators supported by Active Kent & Medway.
We provided over 500 hours of freelance work for our Creative Facilitation Team.
We worked with 63 volunteers and 4 students on placement with the support of the Philip and Connie Phillips Foundation.

Our online social engagement, website use and e-newsletter subscriber base grew by 25% over the year with a particular increase in Instagram, Facebook and LinkedIn followers.
2023/24 Activities
Organisational Development
2023/24 was Year 2 of our Strategic Business Plan 2022-25 and Year 1 of a Growth Plan devised with The Considered Ask. Significant achievements of the year, in line with our Action Plan, were the establishment of Groovin Well groups in six key locations in Kent; Dover, Gravesend, Chatham, Maidstone, Southborough and Canterbury District and the production of our first indoor theatre show for three years with funding from Arts Council England, Kent County Council and Age Unlimited.
The Devil’s Doorbell
The Devil’s Doorbell drew upon the lived experience of our core performance company of older women aged between 55 to 94 years. The show was developed and rehearsed with the support of the School of Arts at University of Kent and premiered at The Horsebridge, Whitstable before touring to The Woodville, Gravesend and Trinity Theatre, Tunbridge Wells. In each location, the show opened with a curtain-raiser

performance from local Groovin Well groups in Whitstable, Gravesend, Chatham and Southborough bringing together the core company with Creative Facilitators and community participants to unite all aspects of Moving Memory activity. As one of our Creative Facilitator’s said of the experience:
“Moving Memory have enabled ordinary people to become extraordinary performers. We’ve seen them grow, have pride in their achievements, and everyone’s experience is the richer for it. The level of pride we all felt at all three theatre venues was affecting and life enhancing. Definitely one of the most important projects I’ve ever been involved in.”
We’re keen to continue this method of working with the development of a professional show alongside community participation to celebrate age and ageing and give voice to a wide range of lived experiences. Through this model, we were able to meet our strategic objectives of reaching more people through performance and involving more people through workshops and participation. Importantly, it enables us to keep the work relevant and reach out people who do not ordinarily take part in creative activities or feel that the arts are for them. Audience feedback for the Devil’s Doorbell included:
“It made me feel like I belonged.”
“Made me feel GOOD about getting older.”
“You continue to inspire me and make me feel excited to see what I can embrace as I age. If this is ageing, bring it on!”
Cracking the Crinoline
We were commissioned by Applause Rural Touring and 1 Degree East to ‘reshape’ our much-loved outdoor show Cracking the Crinoline for touring in summer 2024 across the South East of England.
Reshaped for a cast of 5 performers, the show has been extended to 20 minutes with its usual blend of wickedly funny walkabout interactions and a high energy performance with a sting in the tail. The show is usually performed 3 to 4 times in one day and audiences are invited to take part in a workshop with the company after the show to learn some of the moves, have a laugh and get to know the company:
“It was great fun and I loved learning the moves at the end of the show – it’s harder than you think! Such a lovely way to bring everyone together.”

Cracking the Crinoline premiered at South x South East Festival at the Gulbenkian Arts Centre, Canterbury in May before touring across Kent, Sussex and South London. Described as a “wonderfully witty performance. A real firecracker!” the show remains on the Applause Rural Touring menu and we will keep it ‘in rep’ for future touring opportunities.
Staffing
In order to support the expansion of our work, we increased the Creative Director post to full-time and combined the Fundraising Manager and Administration Manager roles into a four day per week Development Director post with the support of The Considered Ask. Cathy Westbrook, a founding member of the company who worked with us for 12 years, left the organisation at the end of September 2023 to pursue new adventures. Cathy’s commitment to the strategic development of Moving Memory has been instrumental in securing our long-term success and we offer heartfelt thanks for her fundraising skills, wise counsel and unwavering support.
We were also able to offer continued freelance work to our four Creative Facilitators on expanded Groovin Well and Damn It! Dance It! programmes and began to train three new Trainee Facilitators with the support of Active Kent & Medway.
The investment in staffing and resources offered by The Considered Ask has meant a 46% increase in incoming resources to £133.5k in YE2024 compared to £91.7k in YE2023. Resources expended have increased by 21% and we’ve increased engagement by 20% with a thriving cohort of older people across Kent & Medway taking part in our work.
In July 2023, we moved into a new Office on the North Staircase at The Grand in Folkestone at the invitation of Grand Arts CIC with a view to sharing space and resources with like-minded artists and creative health practitioners. This has led to Moving Memory taking a leadership role in the formation of CHAFF – Creative Health Alliance for Folkestone – alongside other creative health organisations and practitioners in Folkestone.
In acknowledgement of the growth of the company, we contracted Iconology Ltd to provide external IT/telecoms support and cyber security in order to professionalise our systems and safeguard the organisation against fraud and cyber-attack. YE 2024 therefore includes £3,123 in respect of Telephone and Internet costs; a cost not recognised in previous years' accounts.
From April to June 2024, we engaged fundraising specialists, Chell Perkins, to boost our fundraising activity and provide advice and training to the staff team.

Governance
We invited Nick Ewbank Associates to facilitate an Awayday for the Board of Trustees and staff as part of the December 2023 Board meeting and AGM. This was an opportunity for us all to come together in person for the first time since the global pandemic and gave us focused time to review the strategic plan and growth plan in the light of continued austerity and a challenging environment for the generation of funds.
Dr Kirsty Lloyd stood down as Chair at the AGM after a brilliant three-year term of office and we welcomed Georgette Purdey as our new Chair supported by Pamela Hardiman as our new Vice Chair. Four Trustees resigned their office during the year after ably steering the company through COVID, strategic planning and staffing changes and we offer them our heartfelt thanks for their commitment and wise counsel. We launched a Trustee recruitment campaign in January 2024 and were delighted to welcome four new Trustees at the Board meeting in March.
We reviewed all of our governing policies in 2023-24 with a particular emphasis on Safeguarding; Equity, Diversity, Inclusion & Belonging; and Codes of Conduct to reflect our expanding programme and diverse community. We updated our overall Safeguarding Policy and introduced a new Safeguarding Policy for Adults at Risk. We initiated two new Board sub-committees – Health & Wellbeing chaired by Victoria Sheath and Performance Management chaired by Terry Sahathevan – to underpin our long-term welfare and sustainability.
Growth Plan
At the AGM in December 2023, we adopted a three-year Growth Strategy 2024-27 which commits us to engaging more older people in high quality, collaborative and inclusive movement and physical performance activities that support living healthier, happier independent lives.
In the last five years, Moving Memory has performed to over 10,000 people and involved over 1,000 people as participants. We’ve proved our model works and demand now far exceeds our current infrastructure and capacity. In order to continue our vital work, we now need to invest in scaling our operations and increasing our impact.
In 2023-24, we provided the groundwork with revitalised governance, staffing, policies and infrastructure. In 2024-26, we aim to embed six Groovin Well centres across Kent & Medway with ambitions to expand to eight centres in the following years.

Governance & Personnel
The Trustees are committed to fulfilling the expectations and legal responsibilities required by the Charity Commission and have been diligent throughout the year in considering and implementing appropriate policies and working practices.
Risks
The Trustees are committed to ensuring good governance across the whole organisation to ensure that all areas of potential risk are regularly reviewed and mitigation strategies are in place. We now have a risk register and policies on Health & Safety; Privacy; Safeguarding and Equity, Diversity, Inclusion & Belonging are in place to mitigate risks in these areas. Policies are regularly reviewed and the Trustees recognise the importance of strong administrative and governance systems in successfully delivering the most effective public benefit of the charity.
Note on Reserves
The charity remains largely project-funded. We continue to fundraise to grow unrestricted and core funds and aim to develop a stable foundation from which we can grow the charity’s work. Our three year strategic plan sets income generation targets. In the long-term we will be seeking to accrue reserves sufficient to cover three months’ activity.

FINANCIAL POSITION
The statement of Financial Activities shows net outgoing resources of £6,177 (2023: net outgoing resources £23,526).
At 30th June 2024 the total funds of the charity totalled £10,027 (2023: £16,204) comprising restricted and unrestricted funds of £1,707 and £8,320 (2023: £7,925 and £8,279) respectively.
Trustees’ responsibilities statement
The Trustees (who are also directors of Moving Memory Dance Theatre Company for the purposes of company law) are responsible for preparing the Trustees’ report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).
Company law requires the Trustees to prepare financial statements for each financial year. Under company law the Trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the state of affairs of the charitable company and of the incoming resources and application of resources, including the income and expenditure, of the charitable company for that period. In preparing these financial statements, the Trustees are required to:

Select suitable accounting policies and then apply them consistently;

Observe the methods and principles in the Charities SORP;

Make judgements and accounting estimates that are reasonable and prudent;

Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charitable company will continue in operation.
The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charitable company’s transactions and disclose with reasonable accuracy at any time the financial position of the charitable company and enable them to ensure that the financial statements comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charitable company and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Independent Examiner’s report to the Trustees For the Year Ended 30th June 2024
I report to the charity Trustees on my examination of the accounts of the charity for the year ended 30 June 2024.
This report is made solely to the charity’s Trustees, as a body, in accordance with Part 4 of the Charities (Accounts and Reports) Regulations 2008. My work has been undertaken so that I might state to the charity’s Trustees those matters I am required to state to them in an Independent Examiner’s Report and for no other purpose. To the fullest extent permitted by law, I do not accept or assume responsibility to anyone other than the charity and the charity’s Trustees as a body, for my work or for this report.
Responsibilities and basis of report
As the Trustees of the charity (and its directors for the purposes of company law) you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 (‘the 2006 Act’).
Having satisfied myself that the accounts of the charity are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of the charity’s accounts carried out under section 145 of the Charities Act 2011 (‘the 2011 Act’). In carrying out my examination I have followed the directions given by the Charity Commission under section 145(5)(b) of the 2011 Act.
Independent Examiner's statement
I have completed my examination. I can confirm that no matters have come to my attention in connection with the examination giving me cause to believe:

Accounting records were not kept in respect of the charity as required by section 386 of the 2006 Act; or

The accounts do not accord with those records; or
-
The accounts do not comply with the accounting requirements of section 396 of the 2006 Act other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination; or

The accounts have been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)).
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1 ACCOUNTING POLICIES
1.1 Basis of preparation of financial statements
The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) – (Charities SORP (FRS102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Companies Act 2006.
Moving Memory Dance Theatre Company meets the definition of a public benefit entity under FRS 102. Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy.
1.2 Company Status
The charity is a company limited by guarantee. The members of the company are the Trustees named on Page 1. In the event of the charity being wound up, the liability in respect of the guarantee is limited to £1 per member of the charity.
1.3 Fund Accounting
General funds are unrestricted funds which are available for use at the discretion of the Trustees in furtherance of the general objectives of the charity and which have not been designated for other purposes.
Designated funds comprise unrestricted funds that have been set aside by the Trustees for particular purposes. The aim and use of each designated fund is set out in the notes to the financial statements.
Restricted funds are funds which are to be used in accordance with specific restrictions imposed by donors or which have been raised by the charity for particular purposes. The costs of raising and administering such funds are charged against the specific fund. The aim and use of each restricted fund is set out in the notes to the financial statements.
1.4 Incoming Resources
All income is recognised once the charity has entitlement to the income, it is probable that the income will be received, and the amount of income receivable can be measured reliably.
1.5 Resources expended
Expenditure is recognised once there is a legal or constructive obligation to transfer economic benefit to a third party, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably.
All expenditure is inclusive of irrecoverable VAT.

1.6 Tangible fixed assets
Tangible fixed assets are carried at cost, net of depreciation and any provision for impairment. Depreciation is provided at rates calculated to write off the cost of fixed assets, less their estimated residual value, over their expected useful lives on the following bases:

The carrying values of tangible fixed assets are reviewed for impairment when events or changes in circumstances indicate that the carrying value may not be recoverable.
1.7 Interest
Interest on funds held on deposit is included when receivable and the amount can be measured reliably by the charity; this is normally upon notification of the interest paid or payable by the Bank.
1.8 Cash at Bank and in hand
Cash at bank and in hand includes cash and short term highly liquid investments with a short maturity of three months or less from the date of acquisition or opening of the deposit or similar account.
1.9 Liabilities and provisions
Liabilities are recognised when there is an obligation at the Balance Sheet date as a result of a past event, it is probable that a transfer of economic benefit will be required in settlement, and the amount of the settlement can be estimated reliably. Liabilities are recognised at the amount that the charity anticipates it will pay to settle the debt or the amount it has received as advanced payments for the goods or services it must provide.

Moving Memory Dance Theatre Company is a company limited by guarantee in England and Wales. The address of the registered office is The Grand, Folkestone, Kent CT20 2LR. Details of the principal activities are included in the Trustees’ Report.
