The Trustees present their annual report together with the financial statements of Moving Memory Dance Theatre Company for the period 1 July 2021 to 30 June 2022. The Trustees confirm that the Annual Report and financial statements of the company comply with current statutory requirements, the requirements of the company’s governing document and provisions of the Statement of Recommended Practice (SORP), applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) as amended by Update Bulletin 1 (effective 1 January 2015).

Since the charity qualifies as small under section 383, the strategic report required of medium and large companies under The Companies Act 2006 (Strategic Report and Director’s Report) Regulations 2013 is not required.

The Trustees, who are also directors of the charity for the purposes of the Companies Act 2006, present their Report with the financial statements of the charity for the year ended 30 June 2022. The Trustees confirm that the report complies with the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities.

Public Benefit / Impact

Moving Memory produces performances, workshops and training, offers guidance to others and contributes to research so that people across the country perceive ageing differently. Our experience as older people, and the techniques we have developed, resonate with, and have proved valuable to, other marginalised communities.

The work the company produces – and the way it is produced – shows that getting older can be liberating and life enhancing. Through working intergenerationally, Moving Memory demonstrate the richness, value and importance of older people’s lives and their contributions to local communities. The company’s unique Moving Well collaborative practice engages people of all ages and backgrounds with the creative process and is designed to enable participants to work together to tell the stories they want to tell, express their individual identity and have a voice in wider society.

The Trustees remain satisfied that Moving Memory Dance Theatre delivers a clear public benefit through the work it does to challenge ageism, and to bring health and well-being benefits to participants.

The company undertakes a range of ongoing monitoring and evaluation activities which help measure how well it is succeeding in achieving its aims, how it can improve and how it can increase our impact.

COVID-19

The repercussions of the global pandemic continued to affect our work, as people, venues and organisations who we would normally work with struggled to get back to regular activities with suitable funding.

2021/22 Activities

The repercussions of the pandemic presented challenges as two planned projects had to be curtailed. However, as is so often the case, what looked like catastrophe was turned around by creative thinking and the year ended with our capacity increased, a significant piece of organisational review and planning undertaken and an important action-research project – DamnIt!DanceIt! - underway.

1. Organisational development

Support from The Big Ask enabled us to commission external market research from Flying Geese Arts Marketing and Development Consultancy which helped define our strengths and the challenges we need to address. This work formed the foundation for a three year strategic plan which sets clear targets and defines the resources need to achieve those targets. The plan, which was completed and approved by the Trustees in September 2022, sets out:

Moving Memory’s vision is for a society where older and other marginalised people are fully included in, and valued by, society.

Our mission is to use our experience as older people, to employ the arts, specifically dance and movement performances and workshops, to empower other people, release their creativity and offer them a voice - so that being older is valued as a creative, fulfilling and liberating stage of life.

In order to fulfil our mission, our aims are:

Support from the Breaking Barriers project, managed by Social Enterprise Kent, provided external advice on fully incorporating diversity and inclusion in our working methods and enabled us to undertake training in safeguarding.

2. Volunteering

Past Moving Well workshops and other projects have resulted in people who want to have an ongoing connection to the company’s work. This year we piloted opportunities for people to become volunteers and get more involved in helping to deliver our work.

By using our own networks and advertising on volunteer recruitment websites, we had interest from 19 potential volunteers, mainly older women. Of these, 10 engaged with training workshops (online and inperson) and a group of 7 went on to support activities, including the delivery of 6 workshops at Age UK Faversham, King Edward Court in Herne Bay, and Manktelow and Petman Courts in Broadstairs.

Led by our professional team (Creative Director, trained facilitator and access coordinator), volunteers worked alongside residents, encouraging and supporting participation in Moving Well activity. The workshops encouraged skill-sharing and creative ways of expressing views, personal stories and ideas. Each session involved physical warm-up exercises, creative movement activities, simple choreography & social time. Volunteers identified benefits for participants and for themselves:

“…The rewards when we go out to care home environments are plain to see with the residents who join us, but, even more, the reward is personal to me…”

“I loved being around older women and feeling like I belonged. I felt that my opinion was valued and I didn't feel as anxious as I normally do in a group of people because the activities were based around movement. The group made me feel excited about getting old because it's the start of new opportunities.”

Volunteers are a valuable part of the Moving Memory team and have gone on to help in an informal way at other workshops and public performances by the core performance ensemble. In the long-term we plan to develop the full resources necessary to fully support a volunteer team, including a Volunteer Co-ordinator role.

3. Training the Trainers

This project aimed to encourage facilitators working with a variety of community groups, including elderly people and people experiencing long-term mental health challenges, to incorporate Moving Well into their established practice. It upskilled facilitators to deliver a co-created approach, which can often mean sustained engagement and a stronger sense of purpose, belonging, renewed sense of self and mental and physical wellbeing amongst participants.

Working in partnership with Ideas Test (with funding from Kent Sport) the project involved two “taster” sessions followed by a series of seven training workshops. Staff from the Medway public health team, the Domestic Abuse Service, Sateda, Faversham Age UK as well as independent Medway-based community and movement practitioners attended sessions.

At the end of the programme, participants concluded that they had learnt practical skills that they would be able to include in their own work. They agreed they had benefited from being participants themselves – normally they are leaders, but this experience gave them the opportunity to remember what it feels like to participate. They were then able to reflect on the experience and, especially by using the Moving Well online learning resource, they were able to critique what they were doing and think about how to incorporate techniques into their own work in the future. They spoke about learning new skills in giving more ownership of the content of the work to participants, and learning how to intervene and guide, without imposing. Three of the participants went on to further develop their skills as trainee facilitators for the DamnIt!DanceIt! project (see below).

4. DamnIt!DanceIt!

DamnIt!DanceIt! is Moving Memory’s response to the SBRI[1] Healthy Ageing Challenge and has been funded by UKRI[2] to test the viability of placing creative, movement workshops, for and by older people, in shopping centres. The aim was to find a replicable model of activity which responds to the need to sustain physical activity in older people and support their social connections. The project also addresses the wider pernicious effect of ageism by providing public performances which demonstrate the positive capabilities of older people and encourages audiences to reassess what it means to be older.

We wanted to test whether placing a version of our practice in shopping centres has benefits in terms of:

The project began in spring 2022 with six workshops at two shopping centres - The Pentagon, Chatham and The Royal Victoria Place, Tunbridge Wells. The sessions developed differently, reflecting the different populations served, but in both locations a regular group of committed participants developed and, within 6 weeks, had developed their own choreography and become comfortable presenting it in the public areas of the shopping centres.

Governance & Personnel

The Trustees are committed to fulfilling the expectations and legal responsibilities required by the Charity Commission and have been diligent throughout the year in considering and implementing appropriate policies and working practices.

Risks

The charity does not have any long-term commitments that pose significant financial risk, and even in the pandemic emergency, our low overheads and flexibility meant we were able to be resilient.

The Trustees work with the Development Director to monitor individual projects against budgets and review all financial matters, identifying any financial risk, at quarterly board meetings. The Trustees seek to develop multiple income streams and deliver on the fundraising strategy.

The Trustees are committed to ensuring good governance across the whole organization to ensure that all areas of potential risk are regularly reviewed and mitigation strategies are in place. Policies on Health and Safety, Privacy, Safeguarding, and Diversity & Inclusion are in place to mitigate risks in these areas, and are regularly reviewed. The Trustees recognise the importance of strong administrative and governance systems in successfully delivering the most effective public benefit of the charity and that commitment has a financial cost.

Note on reserves

The charity remains largely project-funded. We continue to fundraise to grow unrestricted funds and aim to develop a stable background from which we can grow the charity’s work. Our three year strategic plan sets income generation targets. In the long-term we will be seeking to accrue reserves sufficient to cover six months activity.

FINANCIAL POSITION

The statement of Financial Activities shows net incoming resources of £28,554 (2021: net outgoing resources (£21,584)).

At 30th June 2022 the total funds of the charity totalled £39,730 (2021: £11,176) comprising restricted and unrestricted funds of £27,398 and £12,332 (2021: £4,045 and £7,131) respectively.

Trustees’ responsibilities statement

The Trustees (who are also directors of Moving Memory Dance Theatre Company for the purposes of company law) are responsible for preparing the Trustees’ report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

Company law requires the Trustees to prepare financial statements for each financial year. Under company law the Trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the state of affairs of the charitable company and of the incoming resources and application of resources, including the income and expenditure, of the charitable company for that period. In preparing these financial statements, the Trustees are required to:

The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charitable company’s transactions and disclose with reasonable accuracy at any time the financial position of the charitable company and enable them to ensure that the financial statements comply with the Companies Act 2006. Independent Examiner’s report to the Trustees For the Year Ended 30th June 2022

I report to the charity Trustees on my examination of the accounts of the charity for the year ended 30 June 2022.

This report is made solely to the charity’s Trustees, as a body, in accordance with Part 4 of the Charities (Accounts and Reports) Regulations 2008. My work has been undertaken so that I might state to the charity’s Trustees those matters I am required to state to them in an Independent Examiner’s Report and for no other purpose. To the fullest extent permitted by law, I do not accept or assume responsibility to anyone other than the charity and the charity’s Trustees as a body, for my work or for this report.

Responsibilities and basis of report

As the Trustees of the charity (and its directors for the purposes of company law) you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 (‘the 2006 Act’).

Having satisfied myself that the accounts of the charity are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of the charity’s accounts carried out under section 145 of the Charities Act 2011 (‘the 2011 Act’). In carrying out my examination I have followed the directions given by the Charity Commission under section 145(5)(b) of the 2011 Act.

Independent Examiner's statement

I have completed my examination. I can confirm that no matters have come to my attention in connection with the examination giving me cause to believe:

  1. Accounting records were not kept in respect of the charity as required by section 386 of the 2006 Act; or

  2. The accounts do not accord with those records; or

  3. The accounts do not comply with the accounting requirements of section 396 of the 2006 Act other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination; or

  4. The accounts have been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)).

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1 ACCOUNTING POLICIES

1.1 Basis of preparation of financial statements

The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) – (Charities SORP (FRS102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Companies Act 2006.

Moving Memory Dance Theatre Company meets the definition of a public benefit entity under FRS 102. Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy.

1.2 Company Status

The charity is a company limited by guarantee. The members of the company are the Trustees named on Page 1. In the event of the charity being wound up, the liability in respect of the guarantee is limited to £1 per member of the charity.

1.3 Fund Accounting

General funds are unrestricted funds which are available for use at the discretion of the Trustees in furtherance of the general objectives of the charity and which have not been designated for other purposes.

Designated funds comprise unrestricted funds that have been set aside by the Trustees for particular purposes. The aim and use of each designated fund is set out in the notes to the financial statements.

Restricted funds are funds which are to be used in accordance with specific restrictions imposed by donors or which have been raised by the charity for particular purposes. The costs of raising and administering such funds are charged against the specific fund. The aim and use of each restricted fund is set out in the notes to the financial statements.

1.4 Incoming Resources

All income is recognised once the charity has entitlement to the income, it is probable that the income will be received, and the amount of income receivable can be measured reliably.

1.5 Resources expended

Expenditure is recognised once there is a legal or constructive obligation to transfer economic benefit to a third party, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably.

All expenditure is inclusive of irrecoverable VAT.

1.6 Tangible fixed assets

Tangible fixed assets are carried at cost, net of depreciation and any provision for impairment. Depreciation is provided at rates calculated to write off the cost of fixed assets, less their estimated residual value, over their expected useful lives on the following bases:
