## **TRUSTEES' REPORT**

## FOR THE YEAR ENDED 31 MARCH 2025

The trustees present their annual report and financial statements for the year ended 31 March 2025.

## **Registered Charity Number:** 1176395

**Principal Address:** 116 Midhurst Gardens, Uxbridge, UB10 9DW

**Trustees:** Mr Julius Joseph MBE, Mr Clive Lindo, Mr George Agbugba

## **Governing Document and Organisational Structure**

Ball Out Community is governed by a CIO Constitution dated 20 December 20217. The trustees are responsible for the overall governance of the charity and are appointed in accordance with the provisions of the constitution.

The charity is led by the trustees, supported by volunteers and delivery partners. Day-to-day operations are overseen by the lead trustee.

## **MAIN OBJECTIVES**

Ball Out Community exists to harness the power of basketball as a tool for youth development, community engagement, and social inclusion. The charity’s objectives for the 2024–25 financial year were:

- To provide accessible basketball opportunities for young people across London and surrounding areas.

- To foster community cohesion by bringing diverse groups together through basketball events and programmes.

- To create sustainable pathways for young players to progress into competitive basketball and leadership roles.

- To recruit and work with volunteers to support Ball Out Community events and signpost to vocational courses.

## **ACTIVITIES IN 2024–25**

During the financial year, Ball Out Community delivered a wide range of impactful activities:

## **Community Engagement:**

- Organised local tournaments and showcase events, attracting families and fostering community pride.

## **National Events:**

- Continued to host the Ball Out 3x3 National Tour, recognised as the UK’s premier 3x3 basketball competition, providing opportunities for players of all levels.

- Collaborated with Basketball England and other stakeholders to promote 3x3 basketball nationally.

## **Volunteer and Leadership Development:**

- Recruited and trained volunteers to support events and coaching, providing valuable skills and experiences.

- Empowered young leaders through mentoring and involvement in programme delivery.

## **Partnerships and Funding:**

- Secured new sponsorships and funding streams to support growth and sustainability.

- Strengthened relationships with local councils, schools, and community organisations.

## **Reserves Policy and funds held:**

- As a small CIO operating on receipts ‑ and ‑ payments basis, the charity aims to maintain sufficient unrestricted reserves to meet short ‑ term commitments and support operational continuity. At year end, unrestricted reserves were £2,064 and restricted reserves amounted to £Nil.

## **Risk Management**

The trustees regularly review the key risks facing the charity, including financial sustainability, event delivery risks, safeguarding, and compliance. Appropriate controls are in place, including financial oversight, insurance, safeguarding procedures, and contingency planning for event operations.

## **Financial Review**

- The charity’s income for the year consisted primarily of sponsorship receipts, event income, and trustee loan support. Expenditure related to event delivery, equipment, venue costs, and operational expenses.

- The trustees consider the financial position to be stable. The charity continues to rely on sponsorship income and trustee support to manage cash flow during peak delivery periods.

## **Trustee Remuneration & Related Party Transactions**

- No trustee received any remuneration or benefits from the charity during the year (2024/25). No expenses were reimbursed to any trustee.

- During the year, trustee Julius Joseph provided loan funding to support the charity’s cash flow. A loan of £19,800 was advanced during the year, and a balance of £18,300

was brought forward from the prior year. This resulted in a total outstanding balance of £38,100 owed to the trustee at the year end.

- The loan is interest-free, repayable on demand, and was approved by the trustees in accordance with the charity’s conflict-of-interest policy. Other than this loan, there were no related party transactions.

## **Going Concern Review and Assurance**

- The trustee, Julis Joseph, has formally confirmed to the board that he will not seek repayment of the outstanding balance of £38,100 for the foreseeable future, and that repayment will only be requested when the charity’s financial position allows it to do so without jeopardising its ability to continue operating.

- This assurance has been taken into account by the trustees when assessing the charity’s ability to continue as a going concern.

## **Statement of Trustees’ Responsibilities**

The trustees are responsible for preparing the Trustees’ Annual Report and the accompanying Receipts and Payments Accounts in accordance with the Charities Act 2011 and applicable regulations. The trustees must ensure that the report and accounts give a fair reflection of the charity’s activities during the year and comply with the requirements of the charity’s governing document.

## FOR THE YEAR ENDED 31 MARCH 2025

## **INDEPENDENT EXAMINER’S REPORT TO THE TRUSTEES OF BALL OUT COMMUNITY**

I report to the trustees on my examination of the accounts of Ball Out Community (registered number 1176395) for the year ended 31 March 2025 which are set out on pages 4 to 16.

## **Respective responsibilities of trustees and examiner**

As the charity trustees of the Trust, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).

## **BALL OUT COMMUNITY**

## **NOTES TO THE FINANCIAL STATEMENTS**

FOR THE YEAR ENDED 31 MARCH 2025

## **1. Accounting Policies**

The principal accounting policies adopted by the Charity, which is a public benefit entity, in the preparation of the accounts are as follows.

## **1.1 Basis of preparation**

These accounts have been prepared under the historical cost convention, as modified by the inclusion of charitable properties and fixed asset investments and investment properties at valuation.

These accounts have been prepared in accordance with “Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)” (effective 1 January 2019) - (Charities SORP (FRS 102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Charities Act 2011.

These accounts are presented in pounds sterling and rounded to the nearest pound.

## **1.2 Going concern**

The Trustees have prepared financial projections, taking into consideration the current economic conditions and have, at the time of approving these accounts, a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future. Thus, they continue to adopt the going concern basis of accounting in preparing the accounts.

During the year, the charity entered into commercial agreements to support delivery of its charitable basketball programmes:

The charity received income during the year under several fixed-term sponsorship and partnership agreements. These arrangements provided commercial partners with rights such as branding visibility at events, advertising opportunities, promotional activations, hospitality benefits, and joint marketing activity. All sponsorship and partnership income are recognised on a receipts basis when cash is received.

In addition to monetary sponsorship, the charity also received a small amount of non-cash support in the form of meals and vouchers, which were distributed to participants and volunteers during events. These benefits in kind were valued at £500.

## **11. Transactions with related parties and trustees**

During the year, the charity received a loan of £19,800 from trustee Julius Joseph to support the cash flow requirements of the Charity.

A balance of £18,300 was brought forward from the prior year.

This results in a total outstanding loan balance of £38,100 owed to the trustee at the year end.

No interest was charged on the loan, and the transaction was approved by the trustees in accordance with the charity’s conflict-of-interest policy. No trustee received remuneration for their role as trustee.
