Chair’s report 2021

We have seen some key changes to staff and the position around our premises.

Staff

We have employed a replacement Warehouse Coordinator for our stores following retirement of a long serving stores manager. The handover process was smooth and successful.

We are in the process of recruiting a new Customer Services Coordinator and have appointed subject to positive references.

We should have in place a strong staff team.

Volunteers

We remain hugely indebted to our volunteers without whom we simply could not operate. Whilst we have 3 staff members, annual leave and sickness means that there are significant proportions of time when we need volunteers to step up and coordinate sessions. 4 volunteers have recently been trained to oversee distribution. We need a similar number to be trained to oversee sorting in the store.

We have had a healthy number of expressions of interest from people seeking to volunteer. We held an intake session in the Autumn and one in January this year.

Trustees

Following the retirement of 2 trustees we have a need for some new members. 3 people have expressed an interest. We have prepared an information pack that we can share with potential trustees together with a copy of our constitution and a simple application form. We will send that out to potential trustees shortly. The intention is that we look at the skills of applicants and try to appoint new trustees with skills in areas where we are currently weak.

Premises

We had expected a local church to commence their building project to include a bespoke space for us. That looks increasingly unlikely. We may be offered a space, but not one that is large enough to be our main store.

Our current premises are short term: the fixed period of the lease ends in March 2022, and the Council could give us notice from then on. The chances of that are low.

The premises are not ideal: access for deliveries is via steps (although a slope is available to use). The building has a significant damp problem. Whilst we were assured that our contribution towards the maintenance costs would be about £3,000 per year, there is a risk that if Cornwall Council seeks to deal with the damp problem (which involves repairing the walkway above the premises) they may seek a much higher contribution from us. If so the premises do not represent value for money.

It is increasingly apparent that we will need to rent or buy premises on a commercial basis. Suitable properties will cost a significant sum. We continue to hold a significant amount of capital (see below) which is earmarked for the provision of suitable accommodation if and when a property can be identified.

Finances

We continue to receive regular income. Our income has exceeded our expenditure and we have accrued significant capital, but that is intended to part fund the purchase (or long-term rent) of suitable premises without which we cannot continue to operate.

After a first 'Covid' year in 2020 which took the bank balance from £14,752 to £81,573, 2021 has seen a further increase to £136,626.

This is split between the Coop Business Banking account, a Virgin Money savings account (£8,000) and a very small balance in a second Coop account which still receives some standing order donations which have not been transferred to the new account.

I have split the donations down this year to show a little more detail in how the money was received.

The majority of the income is now coming from the CAF 'button' on the website. This currently receives 65 regular monthly donations totalling £1,710 plus the gift aid where applicable.

There are 32 monthly standing orders paid direct to the bank account on which we can claim Gift Aid and 13 on which Gift Aid is not reclaimable. These total £1,100 per month.

This shows a reduction in the total donations, and therefore the Gift Aid reclaimed, from the previous year. I would guess that this may be due to the additional giving sparked by Covid in 2020.

The schools, businesses and churches giving has also shown a reduction. Any fundraising by schools and churches is included in the above.

There has also been a reduction in the donation from Tesco which is based on the quantity of food donated.

The only significant grant for this year has been the Strategic Resources Grant.

There will have been a little interest payable on the Virgin Savings account, but we are still working on the transfer of access for me to be able to view this.

Due to Covid the Trussell Trust refunded the payments made for affiliation to the charity.

The wages have increased from 2020 due to additional hours, new staff training time, pay increases and Strategic Resources Grant expenditure. There was however a further furlough payment received (see income).

Office expenses include insurance, mileage paid, office sundries, rates, water, mobile phone etc.

Equipment for 2021 includes uniform (supported by Coop) and stores storage equipment.

Rent remains the same as previous year.

Van expenses increased slightly due to remedial work being required and a hire van being needed for the time the van was in the garage.

The food purchased was almost entirely fruit and veg and covered by the Sembrador donation - see below.

The WRAP grant has been fully used and reported on.

The 'Perranporth Fund' - An estimate of costs attributable to the delivery of food to Perranporth Parish suggests that it would be reasonable to write this down by £500 for the 2021 year.

The 'Sembrador Fund' - The costs of providing the fruit and veg vouchers has entirely used up this fund in 2021. Maybe the future provision and funding of these vouchers needs discussion.

In order to plan for the replacement of the van at some point in the future it might be considered prudent to add another £2,000 to the van 'sinking fund'.

The Trussell Trust Covid grant has been used up during the year. £6,000 of the Strategic Resources Grant has been used.

We will look at options for placing more of the funds for better rates of interest when we are able to discuss further the timing of future plans for premises.
