## **REPORT OF THE TRUSTEES FOR THE YEAR ENDED 31 DECEMBER 2020** 

The Trustees present their report and financial statements of the charitable organisation for the year ended 31[st] December 2020. 

The Trustees confirm that the Annual Report and financial statements of the charity comply with the current statutory requirements, the requirements of the charity’s governing document and the provisions of the Statement of Recommended Practice (SORP), applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) 

## **1. Reference and Administrative Information** 

The Food and Farming Discovery Trust (“the Trust”) is a Charitable Incorporated Organisation and a registered charity. 

The Trust was constituted on 6[th] December 2017 in England and immediately commenced activities. The Trustees are listed on Page 1. 

## **2. Objectives** 

The principal objective of the Trust is to advance the education of the public in Norfolk, in particular the education of children of school age, in food production, farming and countryside education, in such ways as the Trustees may from time to time determine, ensuring the education is presented in a neutral and balanced manner. 

## **3. Strategy adopted by the Trustees to implement the objectives** 

Despite the restrictions during the year, the Trust’s strategy remains to be: 

- Visiting schools to educate about Farming in Norfolk and the best way to incorporate farming into the curriculum. 

- Seeking to work more closely with schools in Norfolk. 

- Providing educational content for events held by the Royal Norfolk Agricultural Association. 

## **Public benefit** 

The Trustees have had due regard to the Charity Commission’s guidance to public benefit. The main activities undertaken to further the charity’s purposes for the public benefit are, through the provision of advice to further assist in the education of food and farming in Norfolk. 

## **4. Risk Management** 

The Trustees have the overall responsibility for ensuring that the charity has an appropriate system of controls, financial and otherwise.  The systems of financial control are designed to provide assurance against material misstatement or loss. They include: 

- Regular meetings of the Trustees at which the financial health of the charitable company is reported and discussed.

- Written policy as to the management of the charitable Company’s funds by third parties. 

- Financial procedures to ensure the proper disbursement of monies owing by the charitable Company. 

The Trustees have reviewed major risks and established systems together with appropriate monitoring procedures to mitigate them. The key risk controls used include: 

- Formal agendas and minutes for all Committees and Board activity. 

- Comprehensive strategic planning, budgeting and management accounting. 

- Established organisational structure and lines of reporting. 

- Clear authorisation and approval levels. 

## **5. Achievements and performance** 

## **a. Review of activities** 

As a result of the global pandemic caused by the novel Coronavirus 2019 (COVID-19) several of the Trust’s activities had to be curtailed. 

However, prior to the national lockdown in March 2020 the Trust held a Science of Farming day at the Norfolk Showground where over 400 year 5 students attended. 

A significant activity that the Trust was involved in was providing the educational content for the Norfolk Spring Fling and advising on the Discovery Zone at the Royal Norfolk Show. Unfortunately, these events were cancelled due to the COVID-19 pandemic. The second year of the Learn About Livestock project, which enables livestock (a lamb and a ewe) to be taken into primary schools in specially constructed pens for a week for educational purposes, also had to be cancelled. The primary objectives of Learn About Livestock were to inform youngsters about farming and its practices and to offer what for many children would be their first real, hands-on experience of getting up close to real farm animals, and to play a part in being responsible for those animals in a controlled environment. The project will return in 2022. 

The Conscious Consumers project was established during the year as a means to provide educational content to schools. It established modules in food miles, personalised nutrition and plant-based diets. Originally conceived as a project to be delivered in schools, it moved to an online set of resources as a result of the national lockdown and has developed in this format. Resources are carried on a number of nationally available platforms (eg. LEAF’s Countryside Classrooms portal, British Science Association’s Science Week packs (c 20.5K packs pa)) and are developing an exciting profile. There was a competition to provide an education film, which was established as part of the virtual Norwich Science Festival, and there are plans to add further modules (eg food waste) under the Conscious Consumers banner.

Throughout the period of the pandemic the Trustees and advisory group have developed further the proposition of the Trust via a blended model of real life and online projects. This has resulted in an agreed strategy to move forward, articulated in the Vision for the East document, and to focus on sustainable activity in 2021 and beyond. 

## **b. Going concern** 

In the early part of 2020, the Trustees had to consider the potential impact of the global pandemic caused by the novel Coronavirus 2019 (COVID-19) on its activities, its finances and the ability to delivers its charitable objectives. The Trustees judge the organisation to be a going concern. 

## **5. Review of Finances** 

At the end of the year the Trust made a surplus of £13,195 (2019: a deficit of £12,903). The closing funds at the year end was £4,806 (2019: deficit of £8,389). 

The charity is aware of its responsibilities for implementing a reserves policy. The unrestricted reserves are held to support administration and overhead costs.  The intention is that this should be grown and maintained in surplus.  Such unrestricted income is expendable at the discretion of the Trustees in the furtherance of the objectives of the charity. 

During the year, the trust received grant funding from the Chadacre Agricultural Trust, John Innes Foundation and the Morley Agricultural Foundation. 

## **6. Structure, Governance and Management** 

The charity is governed by its constitution which was adopted on 6[th] December 2017. 

The management of the charity is the responsibility of the Trustees who are elected under the terms of the governing document. 

In selecting individuals for appointment as Trustees, the charity Trustees must have regard to the skills, knowledge and experience needed for the effective administration of the Trust.

I report to the charity trustees on my examination of the accounts of the charity for the year ended 31 December 2020 which are set out on pages 6 to 11. 

## **Responsibilities and basis of report** 

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). 

I report in respect of my examination of the charity’s accounts carried out under section 145 of the Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the charity as required by section 130 of the Act; or 2. the accounts do not accord with those records; or 

3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair view’ which is not a matter considered as part of an independent examination. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

- **1 Statement of Accounting Policies** 

## **Basis of Accounting and assessment of going concern** 

The Food and Farming Discovery Trust is a charitable incorporated organisation, incorporated in the UK. The registered address is Norfolk Showground, Dereham Road, Norwich NR5 0TT. 

The Financial Statements have been prepared under the historical cost convention.The financial statements have been prepared in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS102 1A) (effective 1 January 2019), Statement of Recommeded Practice (FRS 102), applicable accounting standards and the Charities Act 2011. 

The financial statements are presented in sterling and rounded to the nearest pound. 

The Food and Farming Discovery Trust meets the definition of a public benefit entity under FRS 102. 

These financial statements have been prepared under the going concern basis of accounting. The global pandemic COVID-19 resulted in a national lockdown during the year in the UK. The Trustees have taken appropriate action to change the focus of its activities to a virtual platform. With known funding subsequent to the year end, the Trustees believe the Trust will continue in operation for at least 12 months from the date of approval of these Financial Statements. 

## **Judgements and key sources of estimation uncertainties** 

There are no estimates of a material amount applied in the preparation of these statements. 

## **Debtors** 

Trade and other debtors are recognised at the settlement amount due after any trade discount offered. Prepayments are valued at the amount prepaid net of any trade discounts due. Accrued income and tax recoverable is included at the best estimate of the amounts receivable at the balance sheet date. 

## **Creditors** 

Creditors are recognised where the charity has a present obligation resulting from a past event that will probably result in the transfer of funds to a third party and the amount due to settle the obligation can be measured or estimated reliably. Creditors are normally recognised at their settlement amount after allowing for any trade discounts due. 

## **Financial instruments** 

The charity only has financial assets and liabilities of a kind that qualify as basic financial instruments. Basic financial instruments are initially recognised at transaction value and subsequently measured at their fair value as at the balance sheet date. All financial instruments of the charity are measured at cost. 

Financial assets include trade debtors but exclude prepayments. 

Financial liabilities include other creditors and accruals. 

## **Income** 

All incoming resources are included in the Statement of Financial Activities when the charity is legally entitled to the income and the amount can be quantified with reasonable accuracy. 

## **Expenditure** 

Expenditure is recognised once there is a legal or constructive obligation to transfer economic benefit to a third party, it is probable that a transfer of econmic benfits will be required in settlement and and the amount of the obligation can be measured reliably.

## 12 Commitments 

There were no material commitments at 31 December 2020 which are not provided for in the financial statements (2019: £Nil). 

## 13 Related Parties 

The Royal Norfolk Agricultural Association (RNAA) is a related party as C S J Scott and S D A Griffiths (Trustees of RNAA) and G S Smith (Chief Executive of RNAA until 31st December 2020) are Trustees. During the year the RNAA commissioned activity from FFDT amounting to £Nil (2019: £8,000) and secretarial support was also given to FFDT during the year and amounting to £Nil (2019: £927). Recharged salary costs were also made totalling £Nil (2019: £27,472) and other expenses during the year recharged totalling £420 (2019:£Nil). 

RNAA also acted as an agent on behalf of FFDT during the financial year, with income being received totalling £40,250 and expenditure being incurred totalling £22,273, through a designated bank account. 

At 31st December 2020 a cash balance was held by RNAA on behalf of FFDT of £22,422 (2019: £4,445). At 31st December 2020 FFDT owed the RNAA a balance of £12,570 (2019: £12,150). At the year end a balance of £9,852 is included within Other Debtors (2019: £7,705 - Other Creditors) of FFDT. 

Builders Equipment Limited, whose ultimate parent undertaking is RG Carter Holdings Limited a company controlled by R G Carter, has made available a trailer to be used for educational activities with unlimited use. 

There are no other related party transactions to disclose.
