ANNUAL REPORT 2022 - 2023
The Annual Report for the year May 2022 to May 2023 summarised the years' activities and financial accounts for Whitecross Village Hall. This report was presented to the Committee and the public at the Annual General Meeting (AGM) of the Hall. This took place on 2nd of May 2023. The annual report, incorporating the year’s accounts which were verified on 29[th] April, was circulated to the Committee electronically and copies posted on the Hall's noticeboard.
The purpose of Whitecross Village Hall and the guiding principles that the trustees adhere to, is the promotion of the intellectual, social and physical welfare of the inhabitants of the parish of Lanteglos-by-Fowey and extending to inhabitants of neighbouring communities, irrespective of their race, creed, colour, sexual orientation or physical ability. Additionally, to provide a range of facilities that will improve the conditions of life within the community, including use for meetings, lectures, classes and for other forms of recreation and leisure time occupations. The Trustees achieve these objectives by preserving, developing and improving the structure and fabric of the building and its surrounds to enhance their use by the community.
The Management Committee are the Trustees. The Trustees are responsible for all aspects of the management of the Hall. The Hall is a freehold property. Committee members are elected on a one, two and three year rotation and may then apply for reelection.
The Committee comprises the following members, who were elected at the AGM: Chairman: Gavin Shakerley; Vice Chairman: Helen Doe; Secretary & Bookings Diary: Margaret Shakerley; Treasurer: Gavin Shakerley with Kim Carcas (Treasurer designate); Maintenance: Toby Wakeham & Joan Bunt; Advertising & Online Bookings: Margaret Shakerley; Events: Jane Wakeham; Produce Market: Liz Luck. Ruth Talling and Sophie Simmons were joined with new members to the Committee: Diane Pearce, Penny Tuck, Danielle Ayres, Suzi Flynn (Minute Secretary designate), Charlotte Kettle and Shanie Herbert. The Chairman thanked Helen Doe for her years of support on retirement.
The Committee agreed that the Hall should be adapted as much as possible to have the widest appeal to attract new bookings. Covid protection measures were reviewed throughout the year and gradually relaxed following national policy. Ideas on greater use of the outside of the Hall were examined in detail to maximise the benefit of the new Jubilee Shelter.
Committee meetings took place on 3[rd] May 2022, 4[th] October 2022, 24[th] November 2022 and 23[rd] February 2023. The Hall's website at www.whitecrossvillagehall.org.uk continues to be very informative with a “Home” Page; “About the Hall”; “What's On”; “Hire the Hall”; “Location” and “Contact Us” pages.
With the relaxation of Covid regulations the monthly Produce Market has returned to being a well supported event. Similarly, weekly Pilates classes and Yoga sessions are proving very popular. Lanteglos Parish Council (PC) are conducting half of their monthly meetings at the Hall. The Whitecross & District Gardening Club resumed their winter talk programme in October.
The Treasurer presented the accounts for the year. They were checked and verified by an authorised independent member of the community and signed off on 29[th] April 2023. The accounts reflected that some of the Covid Grants Support monies had been wisely invested in improvements to the Hall with £6112 in repairs to the roof and replacement of soffits, facias and guttering and the construction of the outside “Jubilee Shelter”.
Covid restrictions had continued to effect bookings for the start of the year and the Hall found it difficult to maintain previous income levels with a reduced income from functions. Additionally there were no Covid Relief Payments received for this financial year. Ongoing running costs and services have continued to remain at a high level. To reduce the electricity bill, careful monitoring of the heating and other electrical usage at the Hall managed to reduce consumption costs from £3225 (2021-22) to £2533.
