## Minutes of last meeting

These are the minutes for 2020 due to the shed being closed for over a year by covid19 and the restriction imposed on us. We did not hold an AGM.

Enclosed in these minutes you will find three reports from the Chair, Secretary and Treasurer for 2020.

## Matters Arising

No matters arising from last AGM due to the restriction imposed by Covid19

The secretary reported that he emailed all registered members of the shed informing them of the AGM and to let the secretary know if they could not attend.

## Chair Report

## Dear Members

As chairman I would like to thank you for your support and friendship over the last 12 month’s

First of all, I would like to express my thanks to my friend & Vic chair John Wilson who without his hard work as secretary, membership secretary & treasurer & without his hard work behind the scene’s your shed would not be as successful as it is also not forgetting John’s wife Debbie for being so understanding with all the banking, phone calls and administration he takes home on behalf of the shed. “Thanks John & Debbie”

Secondly, I would like to formally welcome all the new members who have joined the shed this year, many thanks for your hard work & friendship.

Thirdly, Thanks to Bob & Janet Scott, Bob for all the projects and help given to the new and old shedders with their project also I would like to thank Janet for all cakes she has baked us this year and for her help with our stall at the Helen Rawlinson fair at CTB. Also not forgetting our old friend Syd whose year has not been smooth Sailing with his lump and his wife Maureen who is well and on her way to recovery after her opp (well done Maureen).

Lastly, a few words about our shed WELLDONE GUYS we are stronger than ever despite covid and a few bumps in the road at the start of my term as your chairman.

I have no doubt that this coming year will be as good if not better than this year. We have lots of new projects coming online next year i.e., Garden chairs, Cloches, Picnic Tables, large planters and many more.

Thank you for your support Yours Chairman & friend.

John Wilkinson

## Treasurer Report

This year has been very difficult for the shed; due to covide19 our income has been very limited due to the various lockdowns but we have managed to keep our heads above water.

Barry Unger the previous treasurer did a great job in keeping our accounts in order but unfortunately due to him moving away from the area he felt it was best for him to resign. Thanks Barry. I took on the role as Treasurer in a difficult time having no income from sales as such and no session fees as of the 31[st] December 2020 our balance stood at £1,425.44.

The shed was awarded a number of grants back in 2018/2019 from Tesco and Braintree council totalling £2,000.00, for various projects within the shed. Tesco for a large dust extraction system for £1000.00, Braintree council gave us two grants one for a small air filter for the workshop and the second for publicity for the shed being £700 and £300 respectfully. These grants had to be completed and a report sent back justifying the expenditure. During the course of the lockdowns a small group completed the work on the large bust extraction system. My fear was that we would have to pay back the monies if our justifications were not good enough especially for the council grant £300 being that all the criteria for awarding the grant had changed. Also, the second council grant for £700 which paid for the internal air filter. Being that I run out of time to submit the justifications for this year, they will roll over into 2021 hopefully they will be accepted?

I will not go into the circumstances of why we changed the sheds mobile phone but it is sufficed to say that due to a misunderstanding it was the right thing to do. The new phone costs us £10 per month with 30gb of data which is enough to cover network capabilities on our donated PC.

Let’s hope that the coming year will be better for us, we start this year in a strong financial position, there is still lots of improvements needed at the shed with new equipment and facilities.

On becoming treasurer, the committee agreed to the shed requesting online banking from Nat West Bank, over the course of the next few months we did not get very fare we had to change the signatories from Janet and Barry to Bob Scott, John Wilkingson and myself this took a while and there was a lot of confusion. By the end of the year, we had sorted out the account with the new signatories and we managed to get £250 compensation for all the delays and miss information that was cursed by the bank. On line banking would have to wait for the new financial year.

## John Wilson Treasurer

## Secretary Report

This report covers the year 2020 which as know the shed was closed from March 2020 till May 2021due to covid19 and the restriction that Essex County Council imposed on us. During the year a very small group of shed members were allowed to work at the shed to get it ready form when we were allowed back, this entailed the building of two shelters so we could practice social distancing while working, also the installation of the extraction system was completed in the workshop. All the outstanding grants justifications have been completed and accepted by the

donors, all necessary documents were completed and uploaded to the charity commissioners and the Trustees register has been updated.

So there is not much more to report for 2020, for us it was not that good a year Hopefully the coming year will be so much better.

John Wilson Secretary

## Any Other Business 2021

A letter from a member was presented to the meeting by the chair, to be distributed to all members attending the AGM outlining his dissatisfaction in the way the club is run, his dissatisfaction on how decision were made on the new purchases of new tools, the acquisition and refurbishment of a trailer for shed use. He also went onto other areas that had no relevance to the club, just a personnel disagreement with another shed member.

This was all brought about by the chairman taking him to one side to ask him to have some respect, sensitivity to others feeling and to show a level of understand to all shed member. He did not get that fare as Syd stormed off implying that he was not in the wrong.

In his letter he also went on to say that he was resigning from the shed in respect of him thinking he has being unfairly treated.

After a long discussing with each member putting their point of view forward, it was agreed by all members attending the AGM that the chair write to him excepting his resignation and outlining that if he had let the chair finish what he was going to say the outcome might have been different. But he chose to blame everyone else and not himself for any of the complaints.

Regardless of whom the member is no one is bigger than the shed, we have a code of conduct which every members must abide by and he has on a number of occasions over a number of years has breached the code.

It was also agreed that Bob Scott would carry on as procurement officer, Doug Wilsdon & Keith Wilson would manage the shed assets, Doug Wilsdon will act as vice Chair and being that there were no other candidates for the posts of Chair, Secretary and Treasurer John Wilkinson & John Wilson agreed to carry on in this current position.
