Trustees Annual Report for Year Ending 2024

Charity Name: The Exmouth Players

Charity Registration Number: 1174875

Address: The Blackmore Theatre, 10 Bicton Street, Exmouth, Devon, EX8 2RU

Structure and Management

The charity is run by a group of committee members (Trustees) who are elected each year at the AGM.

Activities and Objectives

To advance the education of the public in the dramatic arts by the public performance of plays, Readings and live theatre and such other charitable purposes as the trustees determine.

Achievements

This year we saw another success full programme of plays, 4 in-house produced and several external local amateur productions. We were also able to welcome back three local schools, Exeter Road Primary, Beacon School and St Peters, for their various end of terms and mid term performances. All were very well attended by the parents, we very much enjoy having our local groups come to use out facilities. Two external adult amateur groups also hired out the theatre for their own productions: EMCo and Tambourine Productions. We also had two external dance group use the theatre during the summer breaks, providing Summer Schools for local children all were very well attended.

Finances

Please the attached examiners report for a detailed report into the years finances. We have again seen an increase in our profitability, and we are well on our way to reach our goal to be able to replace the roof in 2025. This substantial amount has taken a long time to fund raise and we are very grateful for all our supporters.

Outlook

The Exmouth players continue to welcome many different groups into the theatre, and we already have an even bigger year planned in 2025, with a whole extra production. A locally written piece which will be a world first on the stage in Exmouth.

We have more building upgrades coming next year and all the great hard work done in 2023 is going to allow us to move forward and ensure the theatre is available for many years to come.

Exmouth Players The Blackmore Theatre 10 Bicton Street Exmouth Devon EX8 2RU

Dear Sirs

I have been asked to complete an independent examination of the Exmouth Players' accounts, for the year ending 31 December 2024. The purpose of this examination is to give the charity’s trustees, supporters, beneficiaries and the wider public, some independent assurance that the charity’s money has been properly accounted for and accounting records kept.

I can confirm that I have recently inspected the above mentioned accounts, and found them to be in very good order.

The Exmouth Players are an amateur theatre group who own their own premises, The Blackmore Theatre. Whilst there are definite benefits of owning your own theatre, there are also huge responsibilities to keep the building maintained and in a good state of repair. The Players continue to invest and reinvest, and they have greatly improved most areas of the building.

Their total income for the year was just under £88k, whilst they spent a little under £62k. This gave them a surplus of over £26k.

The largest part of their income came from ticket sales (£24k) and bar takings (£22k). This is supplemented by regular fund raising events (coffee mornings, bingo and raffles), which brought in over £7k. Additionally, over £8k was raised by renting their theatre facilities to schools and other local theatre groups.

I understand that the Exmouth Players have plans to replace the theatre roof during 2025. This is clearly a huge investment, but one which can be easily afforded with their substantial cash reserves.

Adding this year's surplus of around £26k to their previous reserves of just under £122k, gives the company a new balance of just over £148k. This is a fantastic amount, and the Treasurer and Committee should be commended for their excellent work. The Exmouth Players are run by a great team of volunteers and clearly have a bright future.

Yours faithfully

Adrian Vanstone
