
## **AGM of ROWLANDS CASTLE HERITAGE CENTRE Thursday 26[th] November 2020 via Zoom at 19.00** 

**Trustees Present:** Alan Eyers AE, Ania Shawcross AS, Alan Drinkwater AD, Prue Amner PA, Paul Griffiths PG, Kevin Connell KC, Rodney Duggua RD. 

**In Attendance:** Interim Treasurer Joan Drinkwater JD, Malcolm Smith MS, Charlie Shawcross CS. 

**Apologies:** from PG for delayed arrival, Gordon Charlesworth GC.

Item  Subject  Action<br>Open Forum:  Prior to the meeting there was time for introductions on Zoom and brief<br>discussions between participants.<br>Welcome<br>AE welcomed everyone to the AGM.  This included the 7 Trustees and 11 other<br>residents.<br>Election of Officers<br>PA took the chair and AE was nominated for the role of Chair by CS and seconded by<br>RD.  AE took the Chair and all officers were nominated, seconded and appointed.  All<br>agreed to stay in their posts.  These posts are in place now for 3 years as stated in the<br>constitution.<br>Election of new Trustees<br>Annabelle Cameron and Alan Matthews had expressed an interest in becoming<br>Trustees and AE had met each of them and discussed the role with them.  AE<br>nominated both and AD seconded them.  The vote was unanimously so they are now<br>Trustees of the Board.<br>Treasurer’s Financial Statement and Accounts<br>JD presented the statement of accounts. The current bank balance is £3268.40 with<br>petty cash of £68.00 giving a total of £3336.40.<br>Income over the year was £300.00 with expenditure £805.26.  Therefore a net loss of<br>£505.26 was incurred over the year. Assets include the model railway and a computer.<br>The Income & Expenditure Statement, the Interim Treasurer’s report and the<br>Examiner’s Statement were all  formally approved .  Martin Cornish, Accountant, was<br>thanked for examining the RCHC accounts and Joan Drinkwater was thanked for her<br>report.  Martin Cornish was thanked for his services which he gave freely.<br>AE thanked JD for presenting the accounts and for standing in as Treasurer for so long.<br>Lorraine Moriarty volunteered to take on the role as Treasurer in the new year.<br>Chairman’s Report and Business Plan<br>The Chairman noted that it had been a difficult year due to Covid-19 and, like other<br>**----- End of picture text -----**<br>

small charities, RCHC had found it impossible to raise funds.<br>The  Model Railway  is still in its boxes and stored at Stansted House but will move<br>shortly to a home in the village.<br>The  Business Plan  has made very little progress.  Any movement on a potential lease<br>for the  RC Railway Station,  for use as a museum, has been postponed as Network Rail<br>and Southwest Trains are busy with other issues.<br>AE thanked the Trustees, the Management Committee and volunteers for their<br>continued support in being part of the team who are building a lasting project for the<br>village.<br>Reports  from the Working Groups:-<br>The Management Working Group  is the principal means of conducting RCHC business.<br>It has only met a very few times this year.  The Management Working Group currently<br>has seven members [AE, AS, AD, PA, MS, GC, CS.]<br>• Funding Group<br>AS reported that the plans had to be paused this year.  There have been two<br>donations: £200 from the RCA which is being used for a video presentation about<br>the village which is being led by CS; £100 from Waterlooville Probus group.<br>• Model Railway Group<br>MS reported that this has been a quiet year and the model is stored in boxes safely.<br>Tod Sloan and Fred Smith are both thanked for servicing the rolling stock.  It is<br>hoped that there will be sufficient volunteers to show the model in the village at<br>events and possibly weekends in the near future.  MS thanked all volunteers for<br>their help in the past.<br>• Website Group  report was presented by AD, the editor, accompanied by a<br>demonstration of the revised prototype site which is still in development.  AE gave<br>thanks to AD, Graham Dale, Lorraine Moriarty and PA for their work on the website.<br>AE thanked AD for his diligence on this project.<br>Date of next meeting<br>The next AGM of Trustees will take place in November 2021 date tbc.<br>Management Group meetings will be called when needed [via Zoom].<br>Meeting was followed by a Open Forum  : - there were no further questions<br>**----- End of picture text -----**<br>
