REPORT OF THE TRUSTEES

The Trustees present their report and the financial statements for the year ended 30 June 2025

CONSTITUTION AND OBJECTS

Bexhill-on-Sea Lions Club CIO is a registered charity No 1174462 governed by a constitution adopted on 11 July 2017 and registered with The Charity Commission on 31 August 2017.

The CIO incorporates the Bexhill-on-Sea Lions Club, that is within District 105SE of Lions Clubs International.

The objects of the CIO are to apply the funds held for any purpose that is charitable according to the law of England and Wales whether for the benefit of any individual or group of people or for the benefit of any other organisation established for charitable purposes. This includes donations to charitable organisations connected to Lions Clubs International.

ORGANISATION

Under the terms of the Constitution, the current President, Secretary and Treasurer of the Bexhill-on-Sea Lions Club are Trustees for one year although are eligible for re-appointment, plus up to nine other members of the club as elected by the club who may serve for up to four years.

The Trustees who served during the year under review are set out on Page 1.

Meetings of the Trustees are usually held monthly following the Club's business meeting.

FINANCIAL REVIEW

In the year under review, income from fundraising activities totalled £24,814. Fundraising costs were £4,967 and so the net income generated was £19,847.

Donations, awards distributed and spending on charitable activities totalled £17,979 (2023 £ 24,511). Details of this amount are set out in the notes to the accounts.

Reserves at the end of the year were £32,045, £3,800 more than at the start of the year.

RESERVES POLICY

At their regular meetings the Trustees receive reports of income and expenditure related to the activities of the Club. Where it is thought appropriate, funds are reserved so that the Trustees could always meet their responsibilities for contracted supplies and could refund monies to participators if an event was cancelled.

Also, where a donation has been agreed by the Trustees, funds are reserved to cover this until payment is made.

The Trustees do not consider any other reserves are necessary as applications for donations are always considered in the light of the funds available.

RISK MANAGEMENT

The Trustees have examined the major strategic and operational risks which the charity faces and confirm that systems have been established to enable regular reports to be produced so that necessary steps can be taken to minimise these risks.

As a part of this process, the Trustees take advice from officers appointed by Lions District 105SE to ensure compliance with legislation concerning health and safety and the protection of vulnerable persons. The Trustees also keep their insurance policies under review and take advice from Lions' insurance advisors.

TRUSTEES' RESPONSIBILITIES

Law applicable in England and Wales requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the charity's financial activities during the year and of its financial position at the end of the year.

In preparing these financial statements, the Trustees are required to:

The Trustees are responsible for keeping accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

9 REMUNERATION AND EXPENSES

No remuneration payments were made to any person who served as a Trustee during the year. Trustees are permitted to claim mileage expenses when travelling for the Charity and in the year although no such claims were made in the year.
