REPORT OF THE TRUSTEES

The Trustees present their report and the financial statements for the year ended 30 June 2022.

CONSTITUTION AND OBJECTS

Bexhill-on-Sea Lions Club CIO is a registered charity No 1174462 governed by a constitution adopted on 11 July 2017 and registered with The Charity Commission on 31 August 2017.

The CIO incorporates the Bexhill-on-Sea Lions Club, that is within District 105SE of Lions Clubs International.

The objects of the CIO are to apply the funds held for any purpose that is charitable according to the law of England and Wales whether for the benefit of any individual or group of people or for the benefit of any other organisation established for charitable purposes. This includes donations to charitable organisations connected to Lions Clubs International.

ORGANISATION

Under the terms of the Constitution, the current President, Secretary and Treasurer of the Bexhill-on-Sea Lions Club are Trustees for 1 year although may be re-elected to serve for another 1 year period, plus up to nine other members of the club as elected by the club who may serve for up to four years.

The Trustees who served during the year under review are set out on Page 1.

Meetings of the Trustees are usually held monthly following the Club's business meeting.

FINANCIAL REVIEW

In the previous financial year we were adversely affected by the Covid-19 pandemic restricting our fund-raising activities. However, in the year to 30 June 2022 we were able to hold many more fundraising events.

In the year under review, the war in Ukraine started and LCIF launched an appeal for funds to assist the refugees in whichever country they found themselves. Bexhill on Sea Lions Club made a donation to that appeal of £1,000 from its general funds and in addition received donations from the public and the profits from fundraising events held by others, to forward on to LCIF. Those amounts have been treated as Restricted funds in the accounts and at the year end we held £30 still to be sent on.

Other than those amounts relating to the LCIF Ukraine Appeal, the financial statements show donations and fund-raising activities generated £25,117 (2021 £9,913). The costs of raising funds amounted to £7,020 (2021 £1,144).

Donations, awards distributed and spending on charitable activities totalled £20,293 (2021 £5,547). Details of this amount are set out in the notes to the accounts.

Unrestricted reserves at the end of the year were £31,066, £6,070 higher than at the start of the year.

RESERVES POLICY

At their regular meetings the Trustees receive reports of income and expenditure related to the activities of the Club. Where it is thought appropriate, funds are reserved so that the Trustees could always meet their responsibilities for contracted supplies and could refund monies to participators if an event was cancelled.

Also, where a donation has been agreed by the Trustees, funds are reserved to cover this until payment is made.

The Trustees do not consider any other reserves are necessary as applications for donations are always considered in the light of the funds available.

RISK MANAGEMENT

The Trustees have examined the major strategic and operational risks which the charity faces and confirm that systems have been established to enable regular reports to be produced so that necessary steps can be taken to minimise these risks.

As a part of this process, the Trustees take advice from officers appointed by Lions District 105SE to ensure compliance with legislation concerning health and safety and the protection of vulnerable persons. The Trustees also keep their insurance policies under review and take advice from Lions' insurance advisors.

TRUSTEES' RESPONSIBILITIES

Law applicable in England and Wales requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the charity's financial activities during the year and of its financial position at the end of the year.

In preparing these financial statements, the Trustees are required to:

The Trustees are responsible for keeping accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

No remuneration payments were made to any person who served as a Trustee during the year. Trustees are permitted to claim mileage expenses to charitable events arranged by the Charity although no such claims were made in the year.
