## **Trustees Report 4x4 Assist 1 April 2020 to 31[st] March 2021** 

## **Background** 

4x4 Assist achieved Charitable status in September 2017, becoming a CIO with three initial Trustees and an operational fee-paying membership base. Trustees are also members, but members are not Trustees. No Officers have been appointed, as at the end of the period under review. 

The objects of the organisation are set out in Clause 3 of its Constitution, namely 

“To preserve and protect human life and property by supplementing and supporting the emergency services, statutory bodies and other organisations primarily in Sussex and the adjacent areas through the deployment of 4-wheel drive vehicles, their drivers and support crews and such other related activities as may be deemed necessary by the Trustees.” 

## **Trustees** 

The Four Trustees are, David Marden, Peter Grant, Ian Bedwell and Ivan Netschepir as originally set out in the Constitution.  All of the original Trustees to become eligible for re-election by the Trustees and Officers have offered a second term to expire on March 2023. Renewals are for a three-year period. 

## **Membership** 

At the end of the period under review there are 2 _5_ members each paying a subscription fee. This covers the costs of ID cards and basic PPE 

## **Activities** 

The main activities undertaken since the group was formed have been the signing of appropriate Memoranda of Understanding with various bodies to further our Charitable Objects, the ac continuation of Charitable Status and the increased status of the Group as an important part of the Sussex Community Resilience Forum. The group regularly attends their meetings and is active in all the SCRF undertakings 

Fortunately, unlike last year, there have been no major weather or community incidents in the period, so that processes have been refined and codified within the Resilience Forum and are ready for test in the coming winter preparations. 

In addition to the formal call outs, the group has undertaken many marshalling and safeguarding exercises, often in return for donations. These have proved extremely useful in providing a community service, group training and team building benefits and providing income. 

Training has become formalised within the group as we approach more significant MoUs with ESFRS. All members now receive a formal induction package of training and undertake off road training, on road recovery and similar essentials. Records are kept and updated so that only fully competent crews are selected for any duty. 

Vehicle maintenance and kit lists are also an integral part of the requirements and these are updated every four weeks with random verification checks, at our monthly meetings. New Trustees have taken on management of these tasks and others. 



Grants have been a welcome addition to our fundraising- to which have been for specific projects, namely Off-Road training and vehicle, Defibrillators, Control Trailer, and state of the art Radios. 

These purchases have become group assets and have reduced our ongoing monthly outgoings on rentals considerably. One group asset the D1 Discovery bought for off road training has proved uneconomic to repair and was sold on in the summer of 2019. A replacement is not being sought **Financ** e 

An overview of finance has been separately provided, on the basis of Receipts and Payments accounting as required by the Charity Commissioners 

At the start of the review period the bank balance was approximately £3688, 

Regular outgoing commitments of essential costs such as storage, insurance, membership costs and our response system continue at around £2,000 per annum. 

At the end of the period the groups bank balance was just over £4,600 but the Group has assets costed at almost £10,600. All outstanding grants have been received 

Our operating bank balance remains slender, but viable, and we are confident that our continued fundraising and marshalling will generate enough further income. 

Fundraising remains a priority.
