## **Structure, governance and management** 

Grace  Church  Swansea  is  a  Charitable  Incorporated  Organisation,  registered  in August 2017. Registered Charity Number: 1174245. 

Grace  Church  Swansea  leadership  have  responsibility  for  the  recruitment  and appointment of Trustees of the Charity. They are responsible for identifying potential individuals with appropriate ethos and skills for the position. This is then discussed with the existing appointed Trustees. A consensus must be found to appoint. All existing and new Trustees must agree with the Statement of Belief set out in our governing documents. 

All newly appointed Trustees will undergo an orientation meeting with the Chair of the Trustees to brief them on their duties and responsibilities as a Trustee, the decision-making processes and the current financial position of the charity as set out in the latest published accounts. Trustees are encouraged to attend appropriate training events where these will help them carry out their roles and responsibilities effectively.

Grace Church Swansea are part of the Swansea Hope network of churches and have been blessed by  our strong links  and the  support of Parklands Church, Sketty, Swansea. 

## **Objectives and activities** 

Grace Church Swansea exists to welcome as many people as possible into Church community, in order for them to learn more about the Christian faith and become passionate followers of Jesus. We welcome people just as they are, no pretense, no masks, just real life - with all its mess and challenges. 

## **Sunday Gatherings** 

For the last few years we have been meeting at the Scouts Hall, Clase, where we hire a weekly space on Sunday afternoons for us to come together for worship, teaching, friendship and support. These times are important for us to share vision and purpose with the church family and for us to keep learning and exploring more

about the life Jesus has called us to live together. Unfortunately, early 2020 saw the beginnings of a global pandemic when Covid 19 hit and everything changed. During the  early  months  of  2021,  many  restrictions  were  still  in  place  in  Wales  and continued to affect how we met as a church community. 

We continued to utilise Zoom, Youtube and Whatsapp to communicate our services and talks throughout this period, ensuring everyone that wanted had access and could continue to share Bible teachings and worships together. While we were able to meet in smaller groups together a little sooner, it was September when we finally were able to meet on a Sunday again. This was a very special time for us to be back together, face to face, to pray together, to speak together, to listen together, to worship together. 


## **Small Groups** 

Prior to the global pandemic, we would also meet together weekly in each other’s homes. These meetings provide greater opportunities for us to get to know each other, to share life together, to stand side by side, to encourage and pray for one another. Together we explore the Bible and the teachings of Jesus in order that we feel equipped and empowered to follow Him in our daily lives. For the first 6 months of 2021, we continued to create opportunities for the Church community to do this online,  using  Zoom  to  explore  Jesus’s  teachings  further  and  to  offer  needed encouragement and support as we were still limited in how we could meet and see others face to face. 

Finally, July came, and we were able to meet in small groups again in person. We had missed this as a church and hope we never again have to stay apart for so long.

## **Social Gatherings** 

Relationships are really important to us at Grace Church. We want to share life with people, the good times and the challenging times. To encourage the development of great friendships we have regularly organised social times for church family and friends to come together to be able to talk and have fun. In the past these have included  ladies  evenings,  including  crafts,  talks,  afternoon  teas,  fundraising, breakfasts  and  quizzes.  The  men  regularly  would  meet  for  breakfasts,  talks, bowling, BBQs and curry nights. The children would get in on the fun too. They have previously  enjoyed  cinema  times,  quizzes  and  game  sessions  and  egg  hunts together. For us, Church is about building community and being part of family. 

Again, much of this year looked very different. With local and national restrictions still in place, face to face gatherings were impossible until later in the year. During these first few months we instead met online in order to plan activities that might be possible later in the year. Much of this planning was led by our Community Development Worker and a small team of volunteers. It was great to see that people still  wanted to  find creative  ways  we  could service  our community  even while restrictions might remain, and to do so in a safe way. 

## **Community Projects** 

Another important way of us building strong relationships is by serving together. Clase is an amazing community full of life and spirit. Being part of this community and serving the individuals and families that live there is central in our purposes and objectives. While we were limited in what was permissible during this year due to ongoing restrictions, we made the most of what was possible in order for us to continue to service our community.

## **Easter Trail** 

We began in April with an outdoor Easter trail event. We created a treasure hunt around the community revealing parts of the Easter story. Families were to follow the trail and answer the quiz questions with information from the posters around the community.  We  created  craft  packs  and  gave  out  Easter  eggs  as  prizes  for completing. It was so great to be putting on an event again and to be talking to the residents that attended. We saw new faces who had not come to any of our events before, this was really exciting. We had around 10 local families attend as well as others connected to the Church family. 


## **Photo Scavenger Hunt** 

Following on from our Easter trail, we decided to do a photo scavenger hunt at the local park next to the Church building. Families would find the items we had pictured around the park and if they found them all they won a prize. This was a fun event which engaged with those who were in the Park already. It was great to go out into the community in this way and encourage people to take part in a simple but fun activity. Around 20 people took part and we had some great conversations with families.

## **Litter Picks** 

In June we tried a local litter pick. We borrowed the equipment from our local ‘Keep Wales Tidy’ hub in the library, that gives you everything you need as well as all the information on how to recycle. We decided to do this after a lot of talk online about how  dirty  the  community  had  become.  We  hoped  this  would  also  be  a  visual reminder the residents that we are still there and willing to tackle local issues with them. For our first litter pick in June we had 20 people volunteer, including a local Councillor. Following this litter pick we have continued them monthly throughout the year to show consistency to local people. Volunteers have grown less towards the end of the year, however, this is definitely something which we will look to continue in the new year.

## **Games on the Grass** 

Before the Children went back to school, we had games on the grass outside the Church. It was a fun relaxed event with many families from the community dropping in and getting involved with the activities. We hadn’t done an event on this scale for over a year, this was exciting for the volunteers, and reminded us of the work that goes into putting together an event. 

## **Pizza Party** 

There has been a local initiative happening locally to encourage residents to grow vegetables in their own gardens. Our Community Development Worker was invited to visit many of the gardens to see the work they were doing and it was a very successful harvest. The team organising this wanted to put on a celebration event and asked if they could use the Church grounds for this event. We attended and enjoyed seeing things they had been growing through the year, as well as to sample some of the produce. This was great to get to know some more families who live in Clase.

## **Charity Coffee Mornings** 

During the Autumn/Winter we held 2 charity coffee mornings at the Church building. These included bric-a-brac, raffle, tombola, cakes and refreshments. These were fundraising events for a great Charity and one raising funds for the Church building project. We welcomed new and old friends from the community, as well as newly formed relationships with some of the Churches neighbours. We raised just under £500 at these events. 


## **Food bank** 

As 2021 continued to see the ongoing impact of the global pandemic, local families still continued to struggle with access to food. The number of those impacted by food poverty increased and the need for the local food bank continued to be in high demand. A picture that was replicated across the UK.

As a result, our Community Development Worker continued to support the food bank on an ongoing basis, picking up food donations and helping to serve local families accessing the food bank on the day. While this was a big investment in terms of her hours each week, this was really important and another great way for us to help serve local families. 


## **Building Developments** 

In early 2020, we were finally the legal owners of our own building and had a new lease in our name. For us to get this far had already been a long process, however, we still had not anticipated the long journey ahead of us. 

Early 2020 we engaged with an architect, started talking about the design, floor plans,  possible  extensions  and  a  plan  to  develop  a  community  café  space. Obviously, March and Covid 19, with its numerous lockdowns and accompanying restrictions  entered,  and  haltered  the  speed  of  many  of  the  discussions  and planning taking place. Unfortunately, our architect also become very unwell and was unable at that time to continue with the planned design work, placing further delays to any developments. 

With the start of 2021 we decided to hire new architects and had new energy to get the development project going in the right direction again. We continued to clear out any items that were of no use to us in the building and sold as many as possible to collectors in order to increase our savings.  We agreed a partnership with the local council who were building homes and a new school on the street.  It was agreed that the council would use some of the land that surrounds the building as a site office. In return they would turn the land they used into a car park for us, as well as cover all water and electric bills whilst they are on our premises.  The rest of the land was regularly maintained by a small gardening team of volunteers from within the church.

Plans were drawn up by the architect in consultation with the leadership team, which  were  then  submitted  to  the  council  to  transform  the  building  from  the category of solely a place of worship into a place of worship and a community cafe - in  accordance  with  the  vision  of  the  church  of  having  a  safe  place  that  they community can gather as Clase is sorely lacking in this regard. 


## **Financial review** 

For the period of January 2021 - December 2021 our accounts have been prepared by Stephen Kent and Co, Chartered Accountants, Swansea. 

During 2021 Grace Church Swansea: 

Received a total of £14,683 in unrestricted funds as donations towards its charitable purposes. Gave donations totalling £2,369 to support individuals and organisations in need. Spent £7,488 on salary costs. 

The part time role (16 hours wk) of Community Development Worker during this period continued to be an essential role, especially during Covid. The role offered us greater flexibility to be able to respond to the new and changing world we continued to find ourselves in.  Each activity and event planned, whether gathering 2 or 60 individuals  meant  planning,  risks  assessments,  a  shed  full  of  creativity,  while ensuring  all  along  we  could  keep  everyone  safe.   This  role  and  Chloe  who  is employed in it, offered us the opportunity to be creative and respond to the new challenges we faced. Chloe was able to organise and facilitate much of the creative opportunities for people to engage mentioned throughout this report, and we want to take this time to say a massive thank you. Thank you for your dedication and for going beyond the call of duty to serve on our behalf.

During this financial period we spent a total of £1,143 on church and community activities and events. 

At the  end of our financial period, 31st December 2021, we  had a balance of £45,999  to  carry  forward  into  the  next  financial  year.  All  funds  are  currently unrestricted.

Basis of preparation
The financial state￿ents have been prepared on the histor￿1 cost basis, as modified by the
revaluation of certain financial assets and liabilities and irivestrnenl properties measured at

in the accounts when received if the value can be reliably measured. No amounts
are included for the contribution of general volunteers.
Income from contracts for the suppty of seTvices is recognised with the delivery of the
contracted seryice. This is classified as unrestricted funds unless there is a
conlraclual requiiemenl for it lo be spent on a particular purpose arKJ returned if

Resources expended
Expenditure is recognised on an accruals basis a5 a liability is incurred. Expenditure includes
any VAT which cannot be fully recovered, and is classified under headings of the slatement
of financial activities to which it relate5=
Expenditure on raising funds includes the costs of all fundraising activities, events,
non-tharitable trading activities. and the sale of donated goods.
Expenditure on charitable activities includes all cost5 incurred by a charity in
undertaking activities that furthei its charitable aims for the benefit of its
beneficiaries, including those support costs and costs relating to the goverrbance of
the chaiity apportioned to charitable activities.
Other expenditure includes all expenditure that Is neither related to raising funds for
the charity nor part of its expenditure on charitable activities.
All tosts are allocated to experbditure categories reflecting the use of the resoLtrce. Direct
costs attributable to a single activity are allocated directly to that activity. Shared costs are
apportioned between the activities they contribute lo on a reasonable, justifiable and
consistent bas15.
