## VIBE AGM 2023 

## MINUTES 

26th June 2023 Vibe, 12.00pm 

## **Apologies** 

- No apologies - Symon Ackroyd has resigned from Town council; **JK** will inform Trustees when a new councillor is found to join the board. 

- Minutes of the last AGM 

   - ‣ Board are happy that the minutes from the AGM from 2021 are a true record of the meeting. 

   - ‣ Welcome to new trustees Danae and Aimee 

## **Chair’s Report** 

- New contract is being considered by the Town Council - Cam Parish may not be part of the re-tendered contract which will launch in September 

- Garden is looking brilliant - session with young people to collaborate on the design of the garden. Chris Roberts was contracted to do the work; all stakeholders delighted with finished garden. 

- We need to do some planting and purchase furniture for the space. **EI** to approach Tesco -  would donate any herbs plants for the garden? Leaf and Ground also to be approached **EI** 

- Compost needed. 

## **Treasurer’s Report** 

- Current amount in the account £19357 

- We need to promote the centre more so that it can be utilised during the day - it would be great to find a regular hirer; we have had very few bookings over the last year. 

- We should promote the setting more - party hire? Social media campaign **EI** to do some prep work in time for the launch of the refurbished garden. 

- There is a published hire rate on the Town Council website - trustees are happy to leave the rates as they are (£10.00 per hour)

Aimee Cockram and Sue Creswick are willing to stay on the Trustee board

## **Any other business** 

- Equipment/resources spending required & agreed by Trustees: 

   - ‣ £250 for annual games subscription **JK** 

   - ‣ **EI** £1000 for finishing garden (compost, planting, furniture) 

   - ‣ £100 for kitchen utensils **EI** 

   - ‣ £200 for video doorbells for Vibe front door and Tab front door. **EI** 

- Can _The Door_ use the Vibe on a Wednesday morning for a parenting course - they have received funding to run it. They are requesting that the cost of this might be included the existing youth provision. 

   - ‣ Trustees all agreed that we would be willing to offer a 50% discount on hire fee (£20.00 per session) **JK** to advise them of this. 

- Cleaning contract will be reduced by one session (has been 4 times per week) (Reducing from covid frequency) **JK**
