Canolfan Llwynihirion Brynberian Chairman’s Report for 2024 – 2025

It has been another busy and successful year at the Canolfan, with a wide range of events and activities bringing our community together and continuing to strengthen the role of the centre as a welcoming and vibrant hub for Brynberian and the surrounding area.

Our programme of events over the past year has reflected both the diversity of interests within the community and our commitment to supporting local culture, wellbeing and social connection.

In October 2024 , we were delighted to host Milly Jackdaw, who gave a memorable storytelling performance featuring Myrddin. This was followed by a well-supported cheese and wine evening, where we also introduced PATH, a homeless charity based in Haverfordwest, raising awareness of their important work.

Our December Christmas evening was, as always, a highlight of the year. The event included carol singing, readings and poems, along with a visit from Father Christmas, who brought gifts for the children. The generosity of those attending meant that donations from the evening were made to Adam’s Bucketful.

In January 2025 , we held a successful Bingo evening to raise funds towards the cost of our annual Eisteddfod. This was followed in February by the Eisteddfod itself, which was very well attended by members of the community and local schools. It remains a cornerstone of our calendar and an important celebration of Welsh language and culture.

A music and poetry evening in April , organised by Wordplay, provided an opportunity to showcase creativity and talent in a relaxed and welcoming setting.

In June , we held an evening to welcome new members to our committee, which was well attended and encouraging to see. The same month also included an engaging talk on swifts by Steve Hanton, as well as our ever-popular Pollinator Party, once again supported by a volunteer-run café. These events continue to highlight our commitment to biodiversity and environmental awareness.

Looking ahead to the arrival of the National Eisteddfod of Wales in our area next year , we held a very successful afternoon tea in August to raise funds in support of this significant event. Our annual Horticultural Show, also held during the summer, was well attended and showcased the enthusiasm and skill within our local gardening community.

In July , a very popular Treasure Hunt brought people together for a fun and active day, finishing at Llwyngwair Manor where participants enjoyed a well-earned hot meal.

In September , we celebrated the outstanding achievement of Gardd Gymunedol Brynberian in receiving the Green Flag Community Award. This national scheme

recognises and rewards well-managed parks and green spaces. The judges were particularly impressed by the way the garden supports pollinators, inspires others through initiatives such as the annual Pollinator Party, and brings people together through regular working days and the garden café. Additional seasonal activities, including our annual apple juicing and Autumn Café, continue to build on this success.

Regular Activities at the Canolfan

The Canolfan continues to host a strong programme of regular activities, providing opportunities for social interaction, learning and wellbeing:

• Gardening group – weekly

• Craft group – weekly

• Yoga – weekly

• Walking group – weekly

• Sharing suppers – fortnightly

• Reading group – monthly

• Garden café – monthly (supporting the garden group)

• Merry Mares – monthly

• Biodiversity activities – occasional

• Welsh learners – weekly

Regular Hires

The Canolfan remains an important venue for a variety of organisations and services:

• Penrallt Holistic Therapies – weekly

• Ffion Rees, Recovery Therapist – ad hoc appointments

• Cwm Arian

• Pembrokeshire County Council

• PAVS

• Pembrokeshire Coast National Park

In addition, the hall continues to be used for private functions including parties, funeral teas, children’s birthday celebrations and family gatherings.

Governance and Operations

We continue to receive valued financial support through Local Giving, alongside our 100 Club lottery. These contributions play an important role in sustaining the Canolfan and enabling ongoing improvements.

Management Group and Trustee meetings have been held regularly throughout the year, ensuring the smooth running and governance of the organisation.

We employ a co-ordinator for 8 hours per week, whose work is essential in managing bookings, producing invoices, creating publicity materials, maintaining our social media presence and keeping the community informed about events via email.

Brynberian Community Garden/Garden Cafe

The decision to employ a gardener, Dave Cook, and to fund this by running a monthly Garden Cafe proved to be very sound. The garden thrived and in July it was awarded a prestigious Green Flag. The cafes also thrived and were well supported & enjoyed by the wider community. They raised enough money to pay Dave and to create a fund for plants & other items for the garden. We decided 10% of the profits should go to the Canolfan.

We had 2 events - another very successful Pollinator Party & Cafe in June and in early September a Green Flag celebration when we raised the flag in the garden.

We had hoped to be awarded another grant by Keep Wales Tidy but were not successful this time around mainly because they changed the scheme criteria half way through the process.

We would like to thank all those people who volunteered their help during the year including watering the garden in summer, lending a hand with 8 Pollinator Party and cooking food, serving in the kitchen or washing up for the cafes. It is much appreciated. And we thank the Canolfan and the community for their ongoing support.

A special mention must also go to Mrs Ceri Davies, Eisteddfa, who stepped down this year after serving as secretary for the past 35 years, while thankfully remaining a valued and active member of the committee and trustee of the Canolfan. Her commitment and dedication to the community have been unwavering, and her mark could be seen clearly in the precision and care with which the Eisteddfod and Horticultural Show — among many other activities - were organised over the years. Her contribution to the Canolfan and the wider community has been truly invaluable.

Finally, I would like to extend my sincere thanks to everyone who has contributed to another successful year at the Canolfan. This includes our fellow trustees, committee members, the management group and, of course, all our volunteers. Your time, commitment and enthusiasm are what make the Canolfan such a valued part of our community.

The Trustees present their report and the Accounts for the period 01 November 2024 to 31 October 2025.

Developments, Activities and Achievements during the year

The Trustees would like to thank the volunteers who help to make the hall such a welcoming and thriving environment for the community.

Financial Activities and Affairs

The Trustees are satisfied with the Financial Results for the period 01 November 2024 to 31 October 2025. A deficit of £8,152 was shown for the year.

Annual expenditure had remained under control and it is proposed to keep costs to a minimum for the immediate future.

TRUSTEES’ RESPONSIBILITY FOR THE ACCOUNTS

Charity Law requires the trustees to prepare financial accounts for each financial year which give a true and fair view of the state of affairs of the charity and of its incoming resources and application of resources for that period. In preparing those financial accounts the trustees are required to:

• select suitable accounting policies and apply them consistently;

• make judgements and estimates that are reasonable and prudent;

• prepare the financial accounts on the going concern basis unless it is inappropriate to presume that the charity will continue in operation;

• to value assets and liabilities in accordance with the Statement of Recommended Practice Accounting by Charities.

The Trustees are responsible for keeping proper accounting records which are sufficient to show and explain the charity’s transactions and to disclose with reasonable accuracy at any time the financial position of the Society, and to enable them to ensure that any statements of account comply with the requirements of the Charities Act 2011. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

INDEPENDENT EXAMINER’S REPORT TO THE TRUSTEES OF

CANOLFAN LLWYNIHIRION BRYNBERIAN

I report to the trustees on my examination of the accounts of the Canolfan Llwynihirion Brynberian for the period 01 November 2024 to 31 October 2025.

Responsibilities and basis of report

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner’s statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:-

1. accounting records were not kept in respect of the Trust as required by section 130 of the Act; or

2. the accounts do not accord with those records; or

3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair view’ which is not a matter considered as part of an independent examination.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

Notes to the Accounts

1 ACCOUNTING POLICIES

Basis of Accounting . These Accounts have been prepared on the basis of historic costs in accordance with Accounting and Reporting by Charities - Statement of Recommended Practice (SORP), with Accounting Standards and with the Charities Act 2011.

Income . Donations are accounted for when received by the Society. Other Income is accounted for on an accrual basis as far as it is prudent to do so.

Gifts in Kind . The Charity receives the benefit of work carried out by volunteers, and receives the use of some facilities and equipment without charge. No value is placed on these items. Where the benefit extends over several periods, in which case they are valued and included in the Balance Sheet at a reasonable valuation.

Depreciation of tangible assets is provided at the following annual rates in order to write off each asset over its estimated useful life:
