Trustees’ Report November 2019 to end October 2020

In October 2019, we officially launched our Access for All fundraising campaign to build ramp access to the hall, plus new toilets with one fully equipped for disabled persons and nappy changing.

We were overwhelmed by the positive support we received from the community and local councils. Access for All received donations from Wanborough Parish Council, our Surrey County Councillor, Matt Furniss, The Puttenham Fireworks Committee, the Puttenham and Wanborough Community Group, Village News and the West Surrey Badger Group. Individuals gave generously via our Just Giving page, by private donation and via easyfundraising.

We participated fully in Heritage Days in September 2019 when the Great Barn and St Bartholomew’s Church were open to the public. The Heritage Café in the village hall served morning coffee, lunch and afternoon tea and the hall’s allocation from profits went to the Access for All Fund. Additionally, we ran a fundraising Quiz and Supper Night in November and a Winter Walk in January 2020. Both of these social events were very well attended, swelling the Access for All’s coffers significantly.

The greatest single contribution to Access for All came from Guildford Borough Council’s Community Fund. We received confirmation in February 2020 that we had been allocated a maximum grant of £15,000. This meant we were within £1,000 of our £35,000 target. We were confident we would meet our target within the year from proceeds we expected from a Bluebell Walk in April and the Heritage Café in September.

We planned to announce the good news about our borough council grant in March, however, everything went on hold on account of the COVID‐19 emergency and our 2020 fundraising activities were cancelled. We closed the hall when social distancing measures were introduced just before lockdown. We paid our bills for utilities, insurance, annual equipment servicing, cleaning etc out of our reserves with no income coming in for 4½ months.

In June 2020, when lockdown measures were relaxed, we began working out how to reopen the hall in a COVID‐19 secure way. We received guidance from Action with Communities in Rural England (ACRE) and Community Action, and set about preparing a risk assessment and special, supplementary booking conditions for hirers wishing to use the hall according to COVID‐19 secure conditions. We purchased the required hand sanitiser equipment, cleaning materials and signage, and opened the hall again towards the end of July. Among other COVID secure measures, we could only accommodate 15 people, a quarter of our normal capacity, so our opportunity to secure bookings was limited.

We had to close again for the second lockdown during November 2020, and under tier restrictions from 20[th] December, which ran into the third lockdown in January 2021.

Wanborough Village Hall has four trustees and a six‐person management committee which includes the trustees. We would welcome interest from members of our community in becoming a trustee of the hall and/or an active member of the management committee.

As a committee, we are proud of our achievements in the past three years since our CIO was formed. Each of us has a specific role and I am sincerely grateful to all committee members for carrying out their roles efficiently and enthusiastically. We have encountered significant challenges but by working together we have managed to achieve our objectives. There will, no doubt, be many more challenges ahead but I am confident the committee will meet and resolve them.
