Parent Charity Trustees Meeting

Katie (Head Teacher) began by sharing an update on the building projects around school.
Primary expansion is ongoing.
Secondary school building is making progress.
Oaklands centre is still having some renovations.
Sarah advised that the Charity accounts was audited and she signed the audit reports on behalf o0f the Trustees.
We need to raise a substantial amount of money to purchase the resources for the primary and secondary provisions.
These include:
Key stage 1 multi-sensory room: crash pit, bean bags, tactile walls, mirrors, dark tents/shelters.
Increase the size of the Key stage 1 playground to incorporate the site of the old caretaker’s house that was knocked down. The floor requires levelling and flattening, and then appropriate flooring needs to be set. Once this is done, we would like to provide swings, trampolines, climbing frame, wobbly bridges, as well as a mound with a tunnel to crawl through. We have had a quote for this particular piece of work, and it is £68,000. This cost does not include the flooring and the levelling out of the ground. We are hopeful that the flooring will be completed by the construction crews onsite as part of their community give back scheme.
We need trikes! Our trikes are old and rusty. They are also not suitable for all pupils. We require trikes for different ages of pupils ranging from ages from 4- 16 years.
We need 5 trikes for ages 4-7 years.
10 trikes for 7-11 years
5-6 trikes for secondary aged pupils
Where there are trikes, there is a bike shed. Our current bike store is not fit for purpose. It needs to be demolished, and a new shed put in its place.
Once the secondary building is completed it will require lots of equipment that the council do not fund. This includes an activity studio. This room will require swings, climbing apparatus, monkey bars, and soft play cubes.
There will also be a smaller sensory room with a crash pit. This room will need padded flooring and mirrors on the wall.
Help so far:
We have already received some support from the contractors working on site. They have helped us to lay slabs and make the allotment more accessible for all people.
We have also had groups of volunteers to support us with the allotment.
Our Occupational Therapy team have applied for some grants for equipment.
They have applied for equipment grants from Wooden spoon, Bernard Sully, and Bailey trust.
We have also received slabs for the allotment from Wickes.
Looking forward:
We need 4 or 5 Parent trustees. This would involve approximately 6 meetings a year. These would be alternate business meetings and planning meetings. Parents to contact Sarah if they are interested.
Morgan Sindall will be supplying two sunk in trampolines on the secondary site.

Match day parking on secondary site. (this is only possible once the secondary site is completed)
Sell items on a stall in One Stop
Contact family fund for a list of suppliers to see if any of them give back on a larger scale.
Boost social media, create a hash tag.
Set up just giving and go fund me pages
Explore support for events from volunteers such as siblings of pupils.
Sponsored events such as walks, climbs. But heavily advertise them.
Parent disco
Parent meal
Promote events to the wider community for support.
Put coin collection in local shops.
Actions:
Concentrate on Christmas craft sessions event and a small fayre in the hall. To be held over two days 10[th] and 11[th] December. This is due to the number of children now on roll at Hamilton.
Parents to set up stalls for the Christmas fayre. Let Sarah know via email if you want to have a stall.
Hold a raffle. Parents to try and get donations of raffle prizes.
Promote Christmas event in the wider community.
Sarah to contact the press and the media to potentially write a piece about the event.
Sarah to create a hash tag and posters to promote the charity and what we need to raise funds for.
Sarah to set up a just giving page and a go fund me page.
