TRUSTEES REPORT: STRUCTURE AND GOVERNANCE
The Club operates under a CIO Constitution (Trust Deed).
There are seven trustees, who were appointed by the members of Wisbech Lions Club. Those trustees for the forthcoming year 2023-24 are detailed below.
The trustees manage the Club under the terms of the Club Constitution, make policy decisions and authorise grants in accordance with the grant making policy dated 2016.
SOURCES OF FUNDS
The main sources of income are fund raising events organised by the Club in the Wisbech locality. The Members are grateful for the support given by the citizens in this area.
The Club also usually holds several events throughout the year, which provide entertainment for those persons attending as well as being a source of income for the CIO.
The fundraising is undertaken mainly by the members of this Club, but additionally there are a small number of volunteers who assist when needed.
PUBLIC BENEFIT
The trustees are aware of the need to provide a public benefit: in so doing the CIO provides the following:
*Provision of financial assistance and equipment to needy persons and groups catering for individuals within the Wisbech and the surrounding locality, including those who are disadvantaged physically, mentally or educationally.
*Provision of financial assistance and equipment to local youth, recreational and sporting clubs.
*Making donations to national and international appeals for relief work in areas both inside and outside the UK, as well as relief donations to fellow Lions Clubs International members in needy areas.

Annual General Meeting – President’s Report 2023-2024
PRESIDENT’S REPORT 2023 - 2024
Handover was at The Woolpack Terrington St John when President Marilyn passed the chain to me for the coming Lionistic year, Marilyn has left the club in very good shape. The peace poster competition was run again in my year with 8 schools taking part.
Our activities team have done an excellent job again this year, led by Lion Maureen, this has helped to keep our charity account topped up all year.
Just some of the fairs we have done – Armed Forces Day, Rockfest, Parson Drove Car Show, Easter extravaganza and our usual Christmas Statics and runs, raising £10000 for our good causes.
September, we displayed our Peace Poster winning and Honourable mentions at our local Tesco Store. They were judged after a week.
Winner was Mia from Wisbech St Mary Academy, the school was presented with the Friendship Trophy which they keep for a year.
Bonkers for Conkers was held again this year at Wisbech Town Football Club. Our thanks go to Andy Maul for letting us use the venue. All the profits from the night went to a young lad suffering with Leukaemia and this bought him a Tottenham kit and stadium tour when he is feeling better.
During late October we had a stall in the Wisbech Horsefair at their Halloween event. We used our games and gave away sweets.
We are still collecting spectacles and giving away our Message in a Bottle which we promote through the year.
On November 12 I had the honour with our Vice President Simon Crowson and the President of Wisbech Rotary, Toni Bird, of laying the clubs wreath at the war memorial in town, in the presence of several of our members.
Wisbech Light Switch On we were asked if we would take our Santa and sleigh again this year, we had a very busy 3 hours with Santa having to talk to about 300 children. December was our busy month with 6 sleigh runs and 7 statics in Morrisons, Asda, Tesco and Iceland. This again raised £6500 for our charity account which helps us help more people through the year.
Unfortunately, through reasons beyond our control, we could not arrange our 51st Charter event. The problems are now sorted, and we will be celebrating our 52nd. Membership in my year, we have had a few come to meetings but decided not to join at the moment. I am taking on membership next year so I will be hoping for a few new members. We have helped several worthy causes this year giving away about £10000
I would like to take this opportunity of thanking all our members for your continued support during my year as your President, and trust that you will give the same support to Lion Simon, our incoming President in the year ahead. VICE PRESIDENT’S REPORT FOR AGM
Firstly, I would like to take this opportunity to thank you for electing me as your president, I am truly honoured. Thank you to our outgoing president for his inspiring leadership over the past year, and everyone who has stepped up to help and support me over this coming year. Hopefully, some of the changes that I have made will help to make it a little easier and more enjoyable for us all. My focus for this year is to lead the team with all the tools we have at our disposal, to maximize achievements, whilst slimming down processes through such things as automation and applications. My main aims as well as raising funds and helping our community, are to push recruitment and young leaders in service, which are both paramount in securing the longevity of our club. I also want to touch on all 6 of our global causes this year, Childhood cancer, Diabetes, Environment, Hunger, Vision and Youth. With all the team standing with me, I am very excited to see what we can achieve together in the year ahead.

SECRETARY REPORT 2023 - 2024
Alongside the President and Treasurer, the Secretary is one of the Principal Officers of the Lions Club. The Secretary is allowed access to all Lions Portal applications and is responsible for ensuring accurate reporting is made to Lions Clubs International.
Through the past year, the Secretary (aided by a Club Administrator) has been responsible for reporting all club activity, hours served, donations given, funds received. In the case of service activities this could have been undertaken by the Chair of that committee. The Club Secretary is responsible for ensuring training is undertaken by officers ahead of their term of office, both at District level and on the Learn facility on Lion Portal. All incoming officers for 2023 – 2024 received training. The Secretary is the person with ‘eyes and ears’ of the club and is gaining overall knowledge of matters pertaining to the club and is an advisor to every incoming President.
During the past year, up-to-date club roster of members has been maintained and monthly returns submitted, although in the last part of the year this has been automated on Lion Portal. This ensures that all club member dues are accurately recorded, and their personal information is always checked for correctness.
Ahead of the new year commencing 1st July 2023 the Secretary compiled an accurate Club Calendar in conjunction with the Club President. This ensured that all meeting dates were notified to members including the due date of an AGM. Ahead of each monthly meeting reports were obtained from committee chairs and published alongside an agenda ahead of the meeting. Members with no e mail were sent letters with reports attached. During meetings apologies received were recorded with reason for absence.
As Secretary preparation was made for the quarterly meeting of the District Governor Advisory Board (Zone meeting) and all meetings were attended.
As Secretary statistics are obtained from Chairs and made available to show the level of activity in the club on Lion Portal. Regular contact was made with the Lions Clubs International HQ in US, Lions International HQ (Birmingham) and District Officers. All correspondence from the District Governor via District Secretary was brought to all members attention, especially so regarding the Lion Convention and voting process. Insurance documents, authorities to fundraise and many more authorities were be applied for by the Secretary and obtained.
All letters of thanks were passed to the appropriate committee chair.
Worked with the Club Treasurer on two occasions a year when subscriptions were to be paid. Organised Trustee meetings through the year, minuting and taking any action needed. The Secretary ensured that the election of officer procedures was scrupulously followed and prepared all necessary documentation.
The club by-laws were reviewed during the year and no amendment was needed according to Standard Club Constitution and CIO Constitution set up in 2017 with amended by-Laws. As Secretary providds guidance on the use of public funds or administrative funds in the club.
The Secretary oversees Privacy legislation and ensures it is adhered to and also that members and potential members are subject to DBS (Disclosure and Barring Searches). During the year 2023-2024, the role of Club Secretary was until January 2024 in the capable hands of Lion Bill Batrick MJF until serious health issues forced him to stand down. At that point Lion Alan Edmunds, Past President took over the role.
