## **Watchfield Village Hall  C.I.O AGM November 30[th] 2021 Chairman’s Report** 

This is the second A.G.M of the year  to enable the committee to report at the end of the financial year which ended October 2021. 

Whilst the hall continues to supply sanitizing equipment  and requires all users to comply with the special Covid conditions the hall is now back to pre lockdown levels. All the regular clubs have returned and most weekends  are booked for private parties  from now through to the New Year. 

The mobile Post Office continues each Wednesday, which provides a vital service to the village, especially to older residents and parishioners without transport. 

## . **Maintenance** 

. The grass cutting contract was awarded for a further year to A& L Garden Maintenance 

New chairs were purchased  and Wifi was installed in the hall. 

General maintenance continues on the, electrical appliances and other areas of the hall on a regular basis as required. 

## **Fundraising** 

Due to restrictions only two fund raising events took place this yea, within the village The annual Cream Tea event was well supported as was the Car Boot sale held on the recreation field.. An online balloon race was supported  by villagers which raised just over £150.00 The village hall has now join a lottery via VWHDC which we hope will generate funds for the hall. 

Subject to any government restrictions I hope the village fete and other regular fund raisers will restart next year. 

## . **Hall Extension.** 

The first phase of the hall improvements is now complete apart from some snagging which the contractor must address.  Blinds have now been purchased for all windows in the hall.

## **Conclusion** 

My thanks to the committee for their help throughout the rest of this financial year. As always we are seeking new trustees to help with the running of the hall and fundraising and look forward to welcoming  any resident who is willing to serve and work within the rules of the Trust.

## **Treasurer’s Report S Nodder** 

After another year dominated by Covid restrictions, the accounts for the Village Hall reflect the drop in usual income and disruption to usual activities. The Hall would not have been viable at all without the government aid of Covid grants. These were based on the rateable value of the hall and totalled £18,708 during the financial year 20-21. On top of this, we successfully applied for a Postcode Neighbourhood Trust grant of £544 to assist with costs of making the premises Covid secure. 

New fundraising avenues were needed to boost income and an online Balloon Race was trialled raising £152.86. Involvement in the White Horse Community Lottery will hopefully generate an ongoing income through ticket sales by Standing Order. This will be reflected in the financial year 21-22. The only face-to-face fundraisers (Cream Teas and Car Boot) raised £799.01. 

The S106 combined grants for village hall improvements were received in financial year 19-20 but spending was delayed due to Covid. £90,424.14 was received from S106 in FY 19-20 and a total of £107,054.01 has been spent on improvements. The difference of £16,629.87 has been funded from the Village Hall fundraising account. The chairs, trolley and blinds have not been included in the improvements costs but have been allocated as equipment. 

Even though we have a fixed price contract until Oct 2022, energy costs are set to rise substantially and it would be prudent to look at contingencies for energy costs, remote thermostats now we have WiFi in the building and renewable alternatives when replacements are required as gas is being phased out. The boilers in the shower and disabled toilet are obsolete as far as replacement parts are concerned. 

Currently there are no plans for further Covid grants to village halls so we will have to look to cover all costs from rentals.
