## **Welcome** 

Welcome everyone, thank you for attending this AGM. 

## **Objectives** 

For those that are new to proceedings, The Croft PTA is a charitable organisation, registered with the Charity Commission and governed by our locally agreed constitution. 

The role of the PTA within our school is to build effective relationships between the parents and staff associated with Croft to utilise the money raised through PTA led events and support the school with equipment, facilities, activities, and experiences that will enhance the journey of our Children attending the school. 

The Committee is made up of two Chairs, Treasurer and Secretary, as well as parent reps from each year group, and a member of the school teaching staff (currently the Head Teacher). 

Decisions on funding are brought to the committee and discussed.  Each Committee Member has an equal voting right. Majority decision wins. In the instance of a tie, the Chair has the deciding vote. 

Tonight, the existing Chairs, Secretary, Treasurer and Class Representatives will stand down and seek to be re-elected.

## **Chairs Report September 2023 - September 2024** 

## **Introduction and Overview** 

In 2023 Jim and Ellie Tin took over the tenure of being joint Chairs of the PTA. Our first year can only be described as learning experience. From the outset it was clear that it was certainly beneficial to share the load. Overall, it has been a very positive experience for the both of us. 

We have continued to try and deliver the expected norms from a PTA - from supporting regular annual activities such as, Christmas and Summer Events, school discos, Mothers’ and Fathers’ Day. We have tried to keep in place regular activities such as Bag2school, different vendors visiting school (like Lizzie Bakes) and of course pre-loved uniform sales. We have also pushed ourselves to deliver improvements to the school - the key one being the refurbishment of the woodland space. 

## **Fundraising** 

It has been a very successful year for fundraising and our accounts are in good shape, we also had the fantastic grant from Nationwide of £10,000 (applied for by PTA member, Becky Barrett). Our current balance stands at £25,895.64. 

There is a detailed break down on the last two pages. 

## **Benefits to pupils** 

Our objective is always focused on the children and giving them fun events that everyone can enjoy as well as enhancing their learning journey. We will continue to provide, to the best of our ability, events such as discos, bounce days, engaging workshops and events. 

With the refurbishment of the woodland space, we have given the children a useable, fun and educational space. There has been some indirect criticism from parents relating to the approach we took in covering over the previously grassed (but now mud) area, but the feedback from the children and staff has been very positive. They have found the space very useable even in inclement weather and, therefore, it has increased the outdoor play space for the children. The PTA, working with the school have made a run-down unusable space into functional and inviting place to be. There is more to come for the area - planters, blackboards and whiteboards, benches, a reading throne and a book shed, as well as large sunshades for the curved paths. 

None of this would have been possible without the extra funding from Nationwide and The White Horse Federation. All parties, including the PTA, should be extremely proud of what has been achieved.

## **Benefits to the Croft Community** 

The PTA are determined to create more opportunities to increase the Croft community and provide more opportunities for parents, carers and grandparents to get involved in activities. We feel that this has been reasonably successful this year and activities such as the Wreath Making, Crafternoon, Wine Tasting have been great opportunities to build on this extended community. The first ever Croftie Cook Book (due for publication in October 2024) has been a great way of involving some different parents and carers in something we are organising. 

## **Challenges** 

There are always challenges that present themselves throughout the year, some are easier to fix than others. We will just focus on three key ones: 

Communication - This must improve. Our current methods include parents WhatsApp year groups channels (which only has parental engagement of around 50%), and sending out communication through school email and the Arbor app. However, communication clearly does not get through to everyone. We believe the advent of a digital display screen outside the school foyer and a PTA owned website should help the improve the situation. 

Engagement - We struggle in several ways but particularly at events - running with very minimal staffing. However, the approach for the summer fete worked well. We will continue to develop ideas of how we can improve this. We get a lot of positive feedback, and we are grateful for that, but we do get some criticism, and this usually is through hearsay and playground chats, rather than a more formal feedback channel. We will work on providing an opportunity for parents and pupils to feedback to us via the new website. 

Financial - Although we have had a very good year for fundraising, we have pushed quite hard - possibly a bit too much? It has been a very difficult few years for many parents and we must continue to bear this in mind for future events and activities. 

## **Planning for the future** 

As we enter our second year, we would like to continue to deliver in a similar vein. However, we need to keep refining what works for the school, parents, children and the PTA members. For the members of the PTA, it is understood that the commitment can sometimes be hard and overwhelming, we certainly need more support and engagement and run events that are within our capabilities so that we are not overstretched. With 2 of our members recently taking a step back, we need to reach out, again, to parents in the coming weeks to aim to get a few more people coming on board the committee. We will need to also think ahead to replacing Carrie as Secretary at the end of this year. 

For the parents, we need greater feedback so that we can adapt our approach accordingly, sometimes this feedback comes too late. For this we will add a feedback and ideas response page to our website. We will also commit to improving communication, one method through the website and a permanent display screen outside the school foyer. 

For the children, we will increase our engagement, listening to what the children want for their school and learning. A good example of this working well was taking part in a session of the pupils’ parliament, where we got specific feedback of what the children really

want, as opposed to the funding rounds sent to parents where, the engagement was minimal, and some requests were unachievable. 

The overriding theme, from the children is more nature and greenspace, we will actively pursue acquiring some of the Croft playing fields, this has been an objective of the PTA for many years, it is achievable, but we do anticipate opposition from certain areas of the community and council. The PTA is still actively finding ways to make this work for everyone, and many meetings have already taken place to try to move the situation forward. 

## **How to get involved** 

As a PTA we have a dedicated team where everyone contributes a lot of work to all the events that take place. However, the PTA could not operate without an army of volunteers. 

The summer fete, we had the PTA, teachers, parents of teachers, and some Crofties all working together to make the fete a success. 

We are looking to recruit more.

aclivili¢$ such as Bag2school. diff¢r¢nt vendor8 visiting sthool (like Lizzic Bakes) and of cours¢ pre-loved uniform
sales.
Wc have also pushed ounelves to deliv¢r improvements to the school - the key on¢ being the refurbishment of the
woodlalld spa0¢.

working with the scknol have made a nm-dowll UDusable space into functional alld invitin8 place to bc. There is more to
come for the arca - planters, bla¢kboar& and whiteboards, b¢nches, a Toading throne And a book 8bed, as well a8 large
sunshades for the currfed paths.
