The trustees present their report and the financial statements for the year ended 30 April 2026. 

## **Objectives and Activities** 

## **Aims and Objectives** 

The objects of The Haslemere Players are to educate the public in the dramatic and operatic arts. 

## **Public Benefit** 

In shaping our objectives for the year and planning our activities, the trustees have considered the Charity Commission’s guidance on public benefit, including the guidance ‘Public Benefit: running a Charity (PB2)’.  The Society currently fulfils its objects by staging three shows per year. 

The trustees confirm that they have complied with the requirements of Section 17 of the Charities Act 2011 to have due regard to the Charity Commission’s guidance on public benefit. 

## **Achievements and Performance** 

## **Main Achievements** 

The society began the year with the exciting challenge of staging a 24-hour musical, directed by Kim Seymour.  The production was met with enthusiastic acclaim from both audiences and cast members alike.  Sister Act generated a surplus of £2,124, including £469 raised through bucket collections for Project Studio, these funds are shown in the notes to the the Statement of Financial Activities as restricted funds, note 5. 

This represents a remarkable contibution compared with the previous year's equivalent production, Little Shop of Horrors, which recorded a deficit of £3,022.  It was an outstanding production and an excellent financial result. 

The autumn production brought a different creative challenge with Stephen Sondheim's acclaimed musical Into the Woods. Directed with great skill and vision by Hughie and Jessie O'Donnell, the production successfully captured the complexity and beauty of Sondheim's intricate score and storytelling. 

The show generated a surplus of £2,044, including £1,553 raised for Project Studio through bucket collections.  This is comparable with the previous autumn's production of The Addams Family, which achieved a surplus of £693 excluding bucket collections. 

The final production of the year, staged at the end of March and directed by Tony Creasey, was a vibrant and uplifting celebration of musical theatre.  Featuring a large and talented cast, the production combined exceptional musicality, strong performances, humour, and heartfelt storytelling, all of which were enthusiastically received by audiences. 

The show generated a surplus of £1,400, including £2,232 raised through bucket collections for Project Studio.  This represents a significant improvement on the previous spring production, Kiss Me, Kate, which recorded a deficit of £1,819. 

When income from fundraising and general society income such as membership fees and costume hire are added to the net income from shows, overall, the society achieved a net surplus of £14,637 from its activities during the year, an outstanding result that reflects the dedication, talent, and commitment of everyone involved.  The trustees extend their sincere thanks to all directors, production teams, members, volunteers, and audience members whose support and hard work contributed to this exceptional achievement.

## **Fundraising for the Project 25 - The Studio** 

The work at The Studio has now been completed. The total cost was £61,166, which has been capitalised alongside the original cost of the lease. Fundraising activities - including donations, bucket collections, sponsored walks, clothing and scenery sales, and car boot sales - generated £37,068. The remaining £24,098 was funded from the charity’s general reserves. 

## **Financial Review** 

## **Financial Position** 

The organisation delivered a positive financial result in 2026.  Total income was £88,461, compared with £76,930 in 2025, while total expenditure was £73,824, compared with £70,279 in the previous year.  This produced net income of £14,637, an improvement on the £6,651 reported in 2025. 

Summer show income fell to £6,006 from £11,782. The autumn show generated £25,662, slightly below £26,752 in 2025, while income from the spring show increased substantially to £35,282 from £18,469. 

Fundraising for Project Studio and donations and legacies remained broadly steady at £11,339 and £5,806 respectively. 

Overall expenditure rose modestly. Summer show costs reduced markedly to £3,882, and autumn show costs fell to £23,618. Spring show costs increased to £33,882, reflecting the higher level of activity and income. Studio and other-show expenditure increased, while administrative costs reduced to £1,265 from £2,464. 

The restricted funds generated net income of £16,317 during the year.  The full amount of the restricted reserve, £37,068 was then transferred from restricted to unrestricted funds, to pay for the work on the studio, leaving all closing funds unrestricted.  After this transfer, unrestricted funds increased by £14,637 despite a small underlying unrestricted deficit of £1,680. 

Total funds carried forward were £107,741, up from £93,104.  This stronger year-end position provides greater financial resilience and flexibility.  The trustees are conscious to consider the mixed performance between individual events and the small unrestricted deficit before transfers; continued attention to event profitability, recurring income and cost control will help protect the organisation’s financial position. 

## **Reserves Policy** 

The Society currently has historically had good reserves.  However, the work done to ensure compliance with our lease at The Studio has put significant strain on these.  At the time of writing last year the trustees anticipated the cost of this work would be between £45,000 and £50,000.  The actual cost was £61,166. 

Historically, the Trustees believed that it was generally prudent to maintain reserves of £20,000 (plus suitable insurance) to guard against unexpected misfortunes and to cover maintenance of the Studio wardrobe and scenery store. The trustees will need to consider in the light of the significant increase in costs over the last couple of years whether this is sufficient. 

The trustees intend to establish a designated reserve for future significant expenditure. This will support effective financial planning and help ensure that the charity is better prepared to meet similar costs in the future.  Future costs already identified include the lease extension required for the Studio, the property used for the storage of Costumes, Props and Scenery, as the current lease is a 99 year lease which incepted in 1996 and also repairs to the Studio roof. 

## **Investment Policy** 

The Charity runs current accounts with CAF (Charities Aid Foundation) and a deposit account with CAF.  This deposit account meets the needs of the Society to have access to the funds while investing prudently.

## **Structure, Governance and Management** 

## **Trustee Selection Methods** 

Executive Committee members, including the officers, are elected annually at the Annual General Meeting. 

The Executive Committee is responsible for selecting shows to be performed and producing these shows. These responsibilities include, among other things, appointing Directors, Musical Directors and Choreographers, deciding on ticket prices, preparing budgets, promoting society events, selecting cast, deciding on the size and composition of the orchestra, making or hiring costumes, props and scenery, providing box office and front of house staff. The committee is also responsible for encouraging members to join the Society and participate in events. 

## **Trustee Induction and Training** 

Membership of the Committee is generally, but not exclusively, from active Society members who are selected for their ability to contribute to the work of the committee. New members are given an induction and are directed to the Charity Commission website and specifically to the page ‘How To Be An Effective Charity Trustee - Signposts To Our Published Guidance That Will Help You’ and ‘CC3 - The Essential Trustee: What you need to know’.  Committee members are helped to understand their jobs by the use of check lists and the availability of past members to assist, train and advise 

In addition to the AGM, the Executive Committee meets approximately eight times a year (about every six weeks). The work involves ensuring the current show is proceeding to plan; to plan the next two or three shows and to select shows for the calendar year subsequent to its term of office. 

## **Other Information** 

## **Risk Management & GDPR** 

The Trustees have identified the main risks and are satisfied that they take reasonable steps to mitigate them. These steps include: 

- Insurance against members’ and third-party accidents Insurance against loss of property Insurance against forced show cancellation (e.g. on the death of the sovereign) Bank accounts operated by two signatories. 

- Check lists of activities to ensure nothing is forgotten. 

The Trustees have considered the General Data Protection Regulations and are committed to protecting personal information. Privacy policies have been adopted in respect of five identified Data Subjects: Members and Supporters, Trustees, Children, Mailing List and Suppliers. These privacy policies are published on the Trust web site (www.haslemereplayers.com) and are available from the Registered Office. 

## **Small Company Rules** 

This report has been prepared in accordance with the special provisions relating to companies subject to the small companies regime within Part 15 of the Companies Act 2006.

I report to the charity trustees on my examination of the accounts of the Company for the year ended 30 April 2026 as set out on pages 7 to 17. 

## **Responsibilities and Basis of Report** 

As the charity trustees of the Company (and also its directors for the purposes of company law), you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 (“the 2006 Act”). 

Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity’s accounts as carried out under section 145 of the Charities Act 2011 (‘the 2011 Act’). In carrying out my examination I have followed the Directions given by the Charity Commission under section 145(5) (b) of the 2011 Act. 

## **Independent Examiner's Statement** 

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe: 

1. accounting records were not kept in respect of the Company as required by section 386 of the 2006 Act; or 

2. the accounts do not accord with those records; or 

3. the accounts do not comply with the accounting requirements of section 396 of the 2006 Act other than any requirement that the accounts give a 'true and fair view' which is not a matter considered as part of an independent examination; or 

4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102). 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

## 1. **General Information** 

The Haslemere Players is a company limited by guarantee, incorporated in England & Wales, registered number 10433813 and registered charity number 1172917. The registered office is Haslemere Hall, Bridge Road, Haslemere, Surrey, GU27 2AS. 

## 2. **Statement of Compliance** 

The financial statements have been prepared in accordance with the Charities SORP (FRS 102) "Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)", Financial Reporting Standard 102 "The Financial Reporting Standard applicable in the UK and Republic of Ireland" and the Companies Act 2006. 

## 3. **Accounting Policies** 

## 3.1. **Basis of Preparation of Financial Statements** 

The financial statements have been prepared under the historical cost convention. 

The charitable company is a Public Benefit Entity as defined by FRS 102. 

## 3.2. **Financial Reporting Standard 102 - Reduced Disclosure Exemptions** 

The charitable company has taken advantage of the following disclosure exemptions in preparing these financial statements, as permitted by FRS 102 "The Financial Reporting Standard applicable in the UK and Republic of Ireland": 

- the requirements of Section 7 Statement of Cash Flows and Section 3 Financial Statement Presentation paragraph 3.17 (d). 

## 3.3. **Going Concern Disclosure** 

The trustees have not identified any material uncertainties related to events or conditions that may cast significant doubt about the charitable company's ability to continue as a going concern. 

In considering going concern, the trustees have given consideration to the significant impact that the work done in complying with the Studio lease over the last 12 months has had on the cash reserves of the charity.  Careful consideration has been given to choosing shows which are popular with our audience but where costs can be adequately controlled and estimated. 

We believe that, whilst there is significant work still to be done to replenish our reserves, we have adequate funding to continue to entertain over the next 12 months and beyond. 

## 3.4. **Fund Accounting** 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. 

Designated funds comprise unrestricted funds that have been set aside by the trustees for a specific purpose. 

Restricted funds are to be used for specific purposes as laid down by the donor.  In 2025, we established a restricted fund for the donations we were receiving towards the costs of compliance with the Studio lease.  The work done on the lease has now been completed.

## 3.5. **Incoming Resources** 

All incoming resources are included in the statement of financial activities when the charity is entitled to the income and the amount can be quantified with reasonable probability.  In particular: grants, donations and gifts are recognised when they are received, interest income is included when received. 

## 3.6. **Resources Expended** 

Expenditure is recognised as the liability is incurred.  Expenditure includes any VAT which cannot be recovered and is reported as part of the expenditure to which it relates.  However, where expenditure incurred today against services or materials that are consumed across two or more financial reporting periods, or where those materials or services are significantly matched with revenues that are reported in a later accounting period then these will be reported as prepayments – under debtors on the balance sheet. 

Expenditure on Charitable Activities includes the costs of the artists, performance costs, outdoor infrastructure, and other educational costs to further the objects of the Charity. 

Other expenditure represents those items not falling under any other heading. 

## 3.7. **Tangible Fixed Assets and Depreciation** 

Tangible fixed assets are measured at cost less accumulated depreciation and any accumulated impairment losses. Depreciation is provided at rates calculated to write off the cost of the fixed assets, less their estimated residual value, over their expected useful lives on the following bases:

## 3.8. **Cash and Cash Equivalents** 

Cash and cash equivalents are basic financial assets and include cash in hand and deposits held at call with banks, other short-term highly liquid investments that mature in no more than three months from the date of acquisition and are readily convertible to a known amount of cash with insignificant risk of change in value, and bank overdrafts.
