ANNUAL REPORT 2019/20
This Annual Report covers the period 1/9/19 to 31/8/20. It was approved by the members at the Annual General Meeting held on 22 January 2021 .
1. INTRODUCTION
Friends of Dallington (FoD) Objectives
Our constitution defines our objectives to advance the education of pupils in Dallington School by: developing effective relationships between the staff, parents and others associated with the school; and engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils.
Administration
FoD was registered as a charity on 5/4/17. The financial year runs from 1st September to 31st August. This report covers the period from 1/9/19 to 31/8/20. Members should feel reassured that FoD will be run according to official charity guidelines, with annual reports and accounts submitted to and held on file by the Charity Commission. FoD benefits from the support and services offered by the Charity Commission.
Personnel
Committee members were Leora Neidle (Chair), Gema Sainz (Treasurer until 11/19), Emma Yarwood (Treasurer since 11/19, previously Co-Secretary), Elisabeth Field (Co-Secretary) and Marenka Gabeler (Co-Secretary since 11/19).
2. FINANCIAL SUMMARY
For the year 1/9/19 to 31/8/20, total net income was £2,233 and total net expenditure was £5,589 (of which £3,458 was a donation to Dallington School). Reserves were £13,090 as at 1/9/19 and £9,734 as at 31/8/20. Governance costs were £112 versus £296 in the previous year.
3. COMMUNITY EVENTS
School Discos and Playground Parties
In the Autumn term, FoD hosted a Welcome party for Lower and Upper Nurseries and a Back to School party for all years. The total cost was only £12, since leftover supplies from the Summer Fete and parent donations covered nearly everything. In the Autumn and Spring terms, FoD also hosted class discos. The total cost was £95, thanks to parents donating some supplies. The discos and parties were run by FoD Class Reps and other parent volunteers. The total cost for discos and playground parties was £107, down from £232 the previous year. A planned Easter Egg Hunt party

was cancelled due to the pandemic.
Christmas Party
The FoD Christmas Party was held on 11/12/19 in the Crypt of St James' Church. Children’s entertainment was run by Sharky & George and lunch ladies were hired to staff the event. The FoD Committee ran the event, supported by FoD Class Reps and other parent volunteers. The cost for the event was £1,231, down from £1,859 last year due to parents donating the drinks and snacks this year. Part of the costs for the 2019 party were incurred in the previous fiscal year and are shown as such on the accounts. FoD also received £66 in donations at the party.
4. FUNDRAISING
A number of fundraising events were cancelled this year due to the pandemic, including Quiz Night, one Book Swap, three Cake Sales, Summer Fete and Raffle.
Family Quiz Night
FoD ran its first Family Quiz Night on 17/11/19 at the Angelic pub. It was a success, with more than 65 attendees – roughly a quarter of the children from school. FoD Class Reps, the FoD Committee and other parent volunteers ran the Family Quiz Night – and Alun James volunteered as quiz master. The Family Quiz raised £390 net. The ticket price was £12 per adult and £5 per child, with a free welcome drink. Various prizes were awarded, including for highest score, best sculpture and best team name.
Book Swaps
In the first two terms, FoD hosted two Book Swaps in the school basement. These events are intended to build community spirit, and they also include a cake sale. FoD Class Reps and other parent volunteers run the events. The two Book Swaps raised £180 net, down from £382 raised from three Book Swaps last year.
Cake Sales
In the first two terms, FoD also hosted three Cake Sales. This was a new fundraising event trialled this year, in addition to the Book Swaps with a cake sale. These raised £350 net.
Quiz Night
The annual Quiz Night for parents and staff was due to be held on 21/3/19 at the Angelic pub, however it was cancelled due to the pandemic. Ticket prices were £20, with a £15 early bird discount. Despite the event never having taken place, Quiz Night raised £69 net. This was because parents chose to donate their ticket purchases rather than receive a refund, and there were no expenses incurred.
Other Fundraising
FoD participates in the AmazonSmile and EasyFundraising programmes, which allow consumers to nominate a charity to which a portion of their purchase price for a good or service will be donated. FoD received a modest donation of £75 during the year from these two programmes.
Summer Fete and Raffle
The Summer Fete and Raffle were cancelled this year due to the pandemic. These are the largest fundraising events of the year, usually raising at least £2,000 net. The Summer Fete is also FoD’s largest and most important community-building event. It brings students, parents and staff together to help celebrate the end of the school year with games, activities, food, drink and the raffle draw.

5. DONATIONS
As part of its objectives, FoD donates some of its fundraising proceeds each year to the school. In January 2020, FoD donated £3,458 to Dallington School. The breakdown agreed with school was:

£458 to subsidise Year 6’s Really Wild trip (these funds were ringfenced from the year group’s earnings at the fete)

Cover 1 afterschool club per bursary child per term

Contribute towards the Year 6 Farewell Event and Year 5&6 Trip (to continue a long tradition of FoD helping fund these events as a thank you to the families for their years of support and fundraising)

Use remainder of the funds to invest in parents' top 3 priority areas based on FoD’s poll to all members (parents and staff) – the priorities were coding start-up boxes, Lego educational solutions and musical instruments
Prior to making the donation, Dallington School confirmed that there is an understanding of goodwill that these funds would be spent during the 2019-20 school year. Due to disruptions caused by the pandemic, the school did not spend the funds during the 2019-20 school year and instead plans to spend the funds during the 2020-21 year.
6. FUNDRAISING STRATEGY
FoD runs a number of fundraising activities throughout the school year. The book swaps and cake sales are designed to raise sufficient funds to cover the cost of running the class discos and playground parties. Proceeds from the Summer Fete are designed to raise sufficient funds to cover the costs of the Christmas party.
Meanwhile, the raffle, quizzes and online fundraising programmes are designed to generate proceeds that enable FoD to meet its second objective – to provide facilities or equipment which support the school and advance the education of the pupils. Thus, after retaining approximately £7,000 to cover annual cash requirements, FoD aims to donate each year to Dallington School the majority of the funds raised by the raffle, quizzes and online fundraising programmes.
Due to the pandemic, FoD is not able to forecast its fundraising targets for the 2020-21 year. No community building or fundraising events are planned for the Autumn and Spring terms. Nearer the time, the FoD Committee plans to take a decision – in consultation with Dallington School and the FoD Class Reps – regarding any Summer term activities.
