The trustees present their annual report and financial statements for the year ended 31 July 2025.

The financial statements have been prepared in accordance with the accounting policies set out in note 1 to the financial statements and comply with the Charity's governing document, the Charities Act 2011 and "Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)" (effective 1 January 2019).

Objectives and activities

Public benefit

The charity’s objects are to advance education for the public benefit through the provision of vocational education and training in the performing arts, delivered through the charity’s own school, for young people up to the age of 25.

The trustees have paid due regard to guidance issued by the Charity Commission in deciding what activities the Charity should undertake.

In the year from 1st August 2024 to 31st July 2025, the Charity’s activities provided access to high quality, prevocational and vocational performing arts training for students both from the local area and a wider geographical catchment. The Charity also provides access to high quality dance and performing arts studios for use by both local organisations and renowned professional companies.

As part of a re-structuring of the wider Dancebox Group, the Charity has ceased to be involved with the provision of education programmes at Further Education (FE) and Higher Education (HE) levels from the 1st of August 2025, as these fall under the charitable remit of the relevant delivery partners, The Bedford College Group and Buckinghamshire New University. It is felt that FE and HE provision is more effectively and transparently delivered through an entity created solely for FE and HE delivery and this delivery will pass to the newly created Dancebox Studios & Theatre Works Ltd.

Achievements and performance

Significant activities and achievements against objectives

The Junior School continues to operate with around 375 children registered for classes. There has been an increase in the number of classes that children are taking, which has resulted in a slight increase in class fee revenue. There is healthy diversity in the student body, and under the leadership of Liberty Taverner, the Junior School continues to make excellent progress in developing as a creative and connected hub for exceptional dance and performing arts training for children and young people in central Milton Keynes.

In the FE and HE delivery, the 24/25 academic year saw the third cohort graduate from the headline BA (Hons) Professional Dance & Musical Theatre course, with a 100% success rate in students achieving their degree qualification and 87% of the students securing professional performing work within 6 months of graduation.

There was substantial growth in college admissions, with an intake of 54 degree students, on courses validated and in partnership with Buckinghamshire New University.

The quality of applicants was improved from the previous year’s intake and the panel were still able to be selective about applicants with more than 150 people auditioning for degree courses. Sixth Form applications also increased with 32 new students joining the course in September 2024.

Sadly, gender diversity across both courses remains poor, with an entirely female student cohort in this period. Plans and outreach activities to address this imbalance are being continued and tutor recruitment is also being used to provide more gender equality in the teaching team. Diversity in student ethnicity has improved slightly, but is still very limited. Again, plans continue to actively improve diversity across the student body continue, with diversity in the teaching team being used to help visibility, perception and recruitment of a more diverse student body.

Financial review

Sources of income were receipts from Junior School class fees, Further Education training funding under the terms of an agreement with Bedford College, and Higher Education training funding under the terms of an agreement with Buckinghamshire New University.

In the YE July 2025, the charity’s income totalled £1,514,391, which reflects a 47.25% increase in income from the YE July 2024, when the total income was £1,028,444. This accurately reflects the planned growth in student numbers as the Junior School classes expand and degree course provision continues to be rolled out. Due to the expansion in FE and HE delivery, the financial year ending July 2025 saw costs increase at an expected rate of 33.84% compared to the previous YE July 2024.

The Charity has completed a risk assessment and is confident that, now that recovery from the pandemic is stable, only moderate risk to the Charity remains. In line with previous years, these risks relate to the sole nature of the partnership agreements under which the educational qualifications are delivered with The Bedford College Group and Buckinghamshire New University. To mitigate these risks, management continue to assess the appropriate delivery methodologies of the Charity, as well as other potential partners and other modes of training delivery should there be any changes to the current sub-contracting arrangements.

It is the policy of the Charity that unrestricted funds which have not been designated for a specific use should be maintained at a level equivalent to between three- and six-month’s expenditure. The trustees consider that reserves at this level will ensure that, in the event of a significant drop in funding, they will be able to continue the Charity’s current activities while consideration is given to ways in which additional funds may be raised. This level of reserves has been maintained throughout the year.

Structure, governance and management

The charity is governed by its constitution and managed by a board of trustees. Trustees are recruited through a combination of recommendations, and approaches to individuals with relevant skills and experience in education, performing arts, safeguarding, finance, and charity governance. New trustees are appointed in accordance with the provisions set out in the charity’s constitution and are subject to approval by the existing board. The trustees meet to review performance, delegating day-to-day running to senior management. The trustees are responsible for setting the pay and remuneration of key management personnel, ensuring that salaries are fair, proportionate, and benchmarked against comparable roles, taking into account the charity's size, complexity, and financial position.

The charity works closely with a jointly owned LLP established to support and deliver commercial activities connected to the charity’s objectives, including performances, events, and other income-generating ventures. The relationship is in accordance with the charity’s conflict of interest and related party policies, with trustees ensuring that all arrangements are in the best interests of the charity and support its charitable aims.

The charity’s related party policy also applies where key management personnel are connected to trustees or other related parties. Management personnel are related to a trustee, and appropriate procedures are in place to ensure that any decisions relating to remuneration, performance management, or contractual arrangements are managed transparently, to avoid a conflict of interest.

The main risks to which the charity is exposed have been assessed, including safeguarding, health and safety, financial sustainability, staffing, and regulatory compliance. The charity has established appropriate systems, policies, procedures, and internal controls to mitigate and monitor these risks on an ongoing basis.

1 Accounting policies

Charity information

Dancebox Theatre Works is a Charitable Incorporated Organisation registered charity in England and Wales. The address of the principal office is 216-218 Regency Court, Upper Fifth Street, Milton Keynes, MK9 2HR.

1.1 Basis of preparation

The financial statements have been prepared in accordance with the charity's governing document, the Charities Act 2011, the Charities Act (Northern Ireland) 2008, FRS 102 "The Financial Reporting Standard applicable in the UK and Republic of Ireland" and the Charities SORP "Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)". The charity is a Public Benefit Entity as defined by FRS 102.

The financial statements have departed from the Charities (Accounts and Reports) Regulations 2008 only to the extent required to provide a true and fair view. This departure has involved following the Statement of Recommended Practice for charities applying FRS 102 rather than the version of the Statement of Recommended Practice which is referred to in the Regulations but which has since been withdrawn.

Assets and liabilities are initially recognised at historic cost or transaction value unless otherwise stated in the relevant accounting policy.

The financial statements are prepared in sterling, which is the functional currency of the charity. Monetary amounts in these financial statements are rounded to the nearest £.

The financial statements have been prepared under the historical cost convention. The principal accounting policies adopted are set out below.

1.2 Going concern

As described in the trustees' report, the charity has ceased to provide education programmes at Further Education and Higher Education levels from 1 August 2025. The charity will, nonetheless continue the running of the Junior School. At the time of approving the financial statements, the trustees have a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future.

Thus the trustees continue to adopt the going concern basis of accounting in preparing the financial statements.

1.3 Charitable funds

General funds are unrestricted funds which are available for use at the discretion of the Trustees in furtherance of the general objectives of the Charity and which have not been designated for other purposes.

1.4 Income

Income is recognised when the charity is legally entitled to it after any performance conditions have been met, the amounts can be measured reliably, and it is probable that income will be received.

1.5 Expenditure

Expenditure is recognised once there is a legal or constructive obligation to transfer economic benefit to a third party, it is probable that a transfer of economic benefits will be required in settlement, and the amount of the obligation can be measured reliably.

Expenditure is classified by activity. The costs of each activity are made up of the total of direct costs and shared costs, including support costs involved in undertaking each activity. Direct costs attributable to a single activity are allocated directly to that activity. Shared costs which contribute to more than one activity and support costs which are not attributable to a single activity are apportioned between those activities on a basis consistent with the use of resources. Central staff costs are allocated on the basis of time spent, and depreciation charges are allocated on the portion of the asset’s use.

Expenditure on charitable activities is incurred on directly undertaking the activities which further the charity's objectives, as well as any associated support costs.

All expenditure is inclusive of irrecoverable VAT.

1.6 Tangible fixed assets

Tangible fixed assets are initially measured at cost and subsequently measured at cost or valuation, net of depreciation and any impairment losses.

Depreciation is recognised so as to write off the cost or valuation of assets less their residual values over their useful lives on the following bases:

1.7 Cash and cash equivalents

Cash and cash equivalents include cash in hand, deposits held at call with banks, other short-term liquid investments with original maturities of three months or less, and bank overdrafts. Bank overdrafts are shown within borrowings in current liabilities.

1.8 Financial instruments

The charity only has financial asset and financial liabilities of a kind that qualify as basic financial instruments. Basic financial instruments are initially recognised at transaction values and subsequently measured at their settlement value.

1.9 Employee benefits

The cost of any unused holiday entitlement is recognised in the period in which the employee’s services are received.

Termination benefits are recognised immediately as an expense when the charity is demonstrably committed to terminate the employment of an employee or to provide termination benefits.

1.10 Retirement benefits

Payments to defined contribution retirement benefit schemes are charged as an expense as they fall due.

2 Critical accounting estimates and judgements

In the application of the charity’s accounting policies, the trustees are required to make judgements, estimates and assumptions about the carrying amount of assets and liabilities that are not readily apparent from other sources. The estimates and associated assumptions are based on historical experience and other factors that are considered to be relevant. Actual results may differ from these estimates.

The estimates and underlying assumptions are reviewed on an ongoing basis. Revisions to accounting estimates are recognised in the period in which the estimate is revised where the revision affects only that period, or in the period of the revision and future periods where the revision affects both current and future periods.

13 Retirement benefit schemes

The charity operates a defined contribution pension scheme for all qualifying employees. The assets of the scheme are held separately from those of the charity in an independently administered fund.

14 Unrestricted funds

The unrestricted funds of the charity comprise the unexpended balances of donations and grants which are not subject to specific conditions by donors and grantors as to how they may be used. These include designated funds which have been set aside out of unrestricted funds by the trustees for specific purposes.

As at the year ended 31 July 2025, £325,345 (2024: £224,601), as disclosed in note 8 to the accounts, was owed by Dancebox Milton Keynes LLP, of which the key management personnel of Mr T Linecar-Boulton and Mr M Linecar-Boulton are equal members.
