JOINT OFFICERS REPORT FOR AGM ON 26 NOVEMBER 2022 FROM CHAIR, SECRETARY, TREASURER, RESOURCE, COFFEE MORNINGS, EVENTS AND FUNDRAISING TRUSTEES
Thankfully our 30[th] Anniversary is back to how it should be! We will be holding the ‘usual’ reports, then a social part to the evening when we have a bring and share supper and the Grand Draw will be held at 8.30pm
Thank you to everyone attending this evening, or who have offered their apologies. As with all our events we are aware of the Covid precautions and offer hand gel at our events and maintain a contact list if the worst happens.
ur events have been very low-key compared to other years, but we have endeavoured to provide the social contact that our members need. We have continued with our coffee mornings which have been very poorly attended – although contact has been maintained which is a crucial element of the event. We have not been holding room draws and Louisa has not been carrying the books to the coffee mornings, however a link is available to view what books we have in the library and can be brought to the morning when requested. Thank you to all who contribute to the smooth running of the coffee mornings especially Shirley and Annie who are the backbone of running the kitchen – and to Julia (unable to attend the events and this evening is hopefully connected via WhatsAp) for her input.
Later this evening we will be holding our Grand Draw which provides vital funds – and shows that we are committed to raising funds which is a crucial element requested for most grants. Thank you to everyone who has participated in selling/the purchase of the tickets – especially Helen who has dealt with the necessary permissions, printing and obtaining prizes.
We have been fortunate in obtaining funding through various grants and receiving donations – all detailed on the financial report. Thank you, Tom our Treasurer, for juggling the funding and ensuring invoices are paid when required. We have cancelled the Post Box Number which was costing over £350 for about 4 items of post in a year, especially as most contact is now made by email. The main expenses are Insurance (necessary to hold any events), storage (again crucial as no-one has room to store everything) and IT items – now the backbone of our group. Denver has been very busy in the background creating a new website, membership system and lately Eventbrite for booking (and if required taking payment) for events – as detailed in his report.
The final events of the year is a visit to the Big Sheep in the evenings of Friday 2 and Saturday 3 December, limited to a total of 150 each evening bookable by Eventbrite but no charge is made. The beauty of booking in on Eventbrite is that it produces a list of those attending – which can be confusing as many families now have more than one surname. A week and a day before Christmas we are holding our Christmas Party on 17 December again here at Roundswell Community Centre from 6pm to 10pm. We have a disco booked – thank you AJ’s son – with a bring and share supper and a ‘bring a prize to win a prize’ – a reason to celebrate which our people often miss out on.
We also ask anyone who is thinking about becoming a trustee to perhaps first help on a voluntary basis – the trustees who have children are themselves now young adults - we certainly need ideas and input from the younger generation! The existing trustees have now moved on to looking after adults with ASC, as well as relatives who now require care.
Thank you to everyone for your support during yet another difficult year, the Trustees have experienced the same worries, anxieties and mental health issues as our members. If only there was a magic wand!
