Committee Chairman’s Report to members AGM – Sat 26[th] October 2024

We continue to undertake events to raise funds. These are essential to ensure we have sufficient funds to cover our outgoings which include equipment, back-office costs such as ARM, Internet Radios and other regular ongoing costs.

We were invited to attend all the events we had previously undertaken, Cotswold Show, Triathlons, Gloucestershire Vintage Extravaganza, Astwood Bank Carnival and others, but we continued to struggle to get members to carry out these tasks. A lot of last-minute pleading was necessary to ensure we fully covered the event with the numbers our clients required. Regrettably, again, we fell short on a few occasions. Once again it was necessary to enlist the help of members from Hereford 4x4 Response at the Gloucestershire Extravaganza to whom we thank.

It will be necessary this year to review which events we can cover in the coming year and which ones we could drop but still maintain sufficient income to cover our outgoings.

We operated with a committee of 8 members, 4 of those being our Trustees. The remainder were elected from the general membership.

We are all volunteers, most have full-time jobs and family commitments. We have 12 committee positions available which means with 4 Trustees 8 seats are available to be filled from the general membership.

We have again been operating without some key officers which has placed additional workload on the rest to cover the tasks necessary. Your committee met on 11 occasions, mostly via Teams, to continue the business of GW4x4R most of which is unnoticed by the members. But Committee Meeting Minutes are available for members to see in Sharepoint. Have you looked to see what goes on behind the scenes?

Please ensure you participate in any training events and exercises that are organised. We all need to know that each one of us is fully prepared as we may have to rely on one another in adverse conditions and on events. Could you put your trust in someone you may not have even met yet? Do you know how to access ARM, preferably via your mobile phone? Can you operate your Internet Radio and understand all its functions?

We are represented at National Level (4x4R UK), me being our Group Rep and we also sit on two Subgroups of the Gloucestershire Local Resilience Forum and are represented on Worcestershire CVEC. If we are not doing something you think we should be or not doing something right, please let us know. Seriously consider putting your name forward for a committee and/or officer role!

You do not have to be on the Committee to be an Officer and vice versa, but it is obviously advantageous to be both.

We have lost a few long-serving members recently but have been successful in recruiting some new ones. PLease welcome them into our team.

and we hope to have a busy but safe winter helping our local communities and doing what we joined GW4x4R to do.

Income

Overall our income is down over 2023 slightly, there is no one stand our reason except maybe online commissions which is largely driven by Amazon ceasing there rewards program for charities.

Expenditure

Expenditure over the year has increased however this is mainly down to investment in the team and its equipment.

Overall

Although we show a small deficit for the year this comes from a conscious decision to invest in the team

1. Gift Aid Refunds

These are the amounts we claim back from HMRC for donations made under the Gift Aid Scheme

2. Training

The increase in training costs this year is down to skid pan training (£2,310) and three lots of Whitecliff training (£1,250)

3. Radio Network

The increase here is due to the switch from Zevvle to Deployable Solutions, this should settle down in the current year to circa £200 per month

4. Repairs and Maintenance

Included here are the costs of maintaining and improving the trailer
