Gloucester & Herefordshire Mark Charity.

A meeting of The Trustees was held on Monday 19[th] April 2021 at 10.00am. Due to the Corona virus pandemic restrictions, this was held virtually via Zoom

PRESENT

Not Applicable as all Trustees were present.

The Provincial Grand Master welcomed all the Trustees to the meeting and thanked them for their attendance, albeit in the virtual Zoom format due to continued Covid 19 restrictions regarding physical meetings. He welcomed W.Bro R Pike as an ex officio member having succeeded the late W.Bro DH Duggan.

1. Minutes : The minutes of the last trustees meeting held via Zoom on Wednesday 3[rd] June 2020 having been circulated to all Trustees prior to the meeting, the PGM, R.W.Bro JF Gillo enquired if there were any amendments or observations regarding their accuracy. There being none, R.W.Bro JOB Barke proposed the adoption of the minutes as presented by the Provincial Grand Charity Steward, this was seconded by W.Bro MT Holland, the minutes were approved by the Trustees and will be signed by the PGM, R.W.Bro FJ Gillo at the first opportunity, once the current lockdown restrictions are relaxed.

2. Matter Arising: There were no matters arising not covered by the agenda for the meeting.

3. MCF Provincial Relief Chest. The Provincial Grand Charity Steward confirmed that the MCF Relief Chest currently held funds in the account to the value of £4,369.29.

4. Provincial Charity Accounts. The Accounts for the year ending 31[st] August 2020 having been audited and circulated to all trustees, the PGM, R.W.Bro JF Gillo questioned if there were any questions or need for clarification regarding their accuracy. W.Bro MT Holland proposed the adoption of the accounts as presented by the Provincial Grand Charity Steward, this was seconded by R.W.Bro JOB Barke and the accounts were approved by the Trustees

5. Provincial Relief Chest. The Provincial Grand Charity Steward advised that the money held in the Provincial Relief Chest amounted to £2, 490, 04

6. Provincial Charity Funds The Provincial Grand Charity Steward provided a statement as to the current funds available for disbursement as at 1[st] April 2021

Total Funds available for disbursement from all funding streams £42,692.56

7. Keystone 400 Club. The Provincial Grand Charity Steward reported that W.Bro T Tudge had advised that the income into the 400 Club was down £750 compared to previous years due to the Lodges not meeting due to current restrictions. This would limit any potential gift to the Provincial Charity. W.Bro MT Holland suggested that it may be of assistance if a request was sent to the Lodges to solicit support. The PGM advised that this had been done already, but we are in the hands of the Lodge Secretaries and 400 Club Representatives. The Provincial Grand Charity Steward was requested to discuss a possible reminder to the Brethren by W.Bro T Tudge.

8. 2022 MBF Festival. R.W.Bro JOB Barke proposed and W.Bro J Wake seconded that £1,000 be donated to the MBF 2022 Festival appeal for the Mark Province of Surrey. This was carried unanimously by the trustees.

9. Accounts Auditors. The Trustees discussed the position of Account Auditors and agreed that following the passing of W.Bro DH Duggan, the move of house of W.Bro AST Body and the workload of W.Bro SF Smith that the auditors should be changed to W.Bros G Weeks and MI Bennett. This was agreed by the Trustees and the Provincial Grand Charity Steward was charged to seek the agreement of both individuals to undertake the roles.

10. Propositions. The Trustees having taking in to consideration the Financial Statement provided by the Provincial Grand Charity Steward and following a discussion, the PGM proposed and RW Bro JOB Barke seconded, that no donations be considered at this time and until we are able to meet again physically. This was carried unanimously by the trustees.

The PGM raised the potential support for the 900[th] Anniversary celebrations of Tewkesbury Abbey and requested R.W. Bro JOB Barke to make enquiries with the Abbey as to what would be a tangible donation i.e. an item of furniture or similar He further advised that National Star hope to have a future request considered by the MBF.

11. AOB.

There was no other business to be discussed.
