Objectives and activities

To advance the education of the general public in the appreciation and understanding of music and its history with special emphasis on the music of Johann Sebastian Bach, through live performances, lectures and other activities. The public performances are held in Farnham under the name "TBS Concerts" as it no longer runs any events in Tilford.

The Society has run 21 concerts all of which have been offered free of charge with a voluntary retiring collection.

The trustees have had regard to the guidance issued by the Charity Commission on public benefit and has fulfilled its public benefit obligations through the provision of these free concerts.

Achievements and performance

The Society has run:

A great deal of effort has gone into promoting the Society, attracting a younger audience, making use of the Internet and networking with other music societies in the area. We have found NextDoor to be an effective means of advertising the concerts.

The educational public benefit of the concerts has been enhanced by the performers introducing and explaining some of the pieces performed.

Financial review

The income of the Society comes exclusively from sponsorship donations and retiring collections. The Society uses the Gift Aid Scheme where applicable.

The Society does not run a Restricted Fund, its only fund is the General Fund.

This was the first year when Conservatoire Concerts was no longer part of the Society but a separate charity.

As a result of two fund-raising concerts, the Society made a donation of £2,864 to The Cheryl King Trust, which provides musical education for young people from low income households in Surrey.

The Society made a surplus of £1,889.84.

At the end of 2024 the Society had an overall balance of £19,709, which includes the £7,200 value of the piano.

During the year covered by the Report, none of the Trustees received any payments from the Society, other than the reimbursement of necessary Society expenses.

Policy on Reserves

The Society plans concerts and makes commitments for up to two years ahead, however it reserves the right to cancel concerts with at least one month's notice and it therefore has the capability to adapt its commitments to any unexpected loss of income or necessary expenditure. It therefore endeavours to maintain an average balance of at least £5,000. It does not keep a separate account for reserves.

Structure, governance and management

The governing document is the CIO Constitution adopted on 28 February 2017, based on the template provided by the Charity Commission.

The Trustees make all decisions and run the Society. New Trustees would be appointed by the existing Trustees. Most decisions are taken by email and the trustees meet typically if needed to handle major issues that cannot be handled by email or telephone.

The Charity Commission document "The Essential Trustee" is made available for the guidance of trustees.

The accounting system is Internet based and used by the Chairman, Treasurer and Secretary, who may each pay in cheques and enter receipts and initiate and enter payments. Nearly all payments are made by Internet transfer. The cheque account at CAF Bank operates under dual signature and the one at Lloyds under single signature. A PayPal account is operated primarily for the receipt of ticket money and donations. It works under single signature, with accrued money being transferred to CAF Bank periodically. Priority is given to paying performers promptly. Since the Society does not have credit or bank cards, most purchases are made by the trustees on private credit cards and reimbursed. The annual accounts (Balance Sheet and Profit and Loss) are calculated by the accounting software. Event Accounts, used for internal management during the year, are generated automatically using an Excel spreadsheet prepared by the Chairman with data copied from the Profit and Loss account.

Nearly all documents are stored on the Internet (Google) and shared.

There is no formal relationship with any other Charity but the Society maintains a close informal relationship with Conservatoire Concerts CIO of Godalming and the Chairman participates in an informal self-help network of concert organisers in the South-East.

Responsibilities and basis of report As the charity trustees of the Charity, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act,). I report in respect of my examination of the Charity's accounts carried out under section 145 of the Act and in carrying out my examiiiation I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. Independent examiner, s statement I have completed my examination. I confirni that no material matters have come to my attention ID connection with the examination giving me cause to believe that in any material respect: l. accounting records were not kept in respect of the Charity as required by section 130 of the ACL 2. the acrA)unts do not accord with those records. or 3. the acwunts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirem that the acxounts give a 'true and fair view which is not a matter considered as part of an llDde￿nden examination.
