1. Philip Dobson spoke on the Electoral Roll and how much each individual on the roll would need to give to church just so we can pay our parish share. Tania Cooked replied that, going forward, it is going very difficult with regards to the finances and we will need to start and look at ways to fundraise and the PCC will continue to discuss this at meetings as we have not in previous years. But we are in for a very challenging time ahead.

2. Rosemary Cooney then suggested that we should have a way of allowing people to donate via the website.

  - Tania said she thought that this was already on the website but would ask Esther to check and, if not, to re-advertise this. Melanie Clay then informed the meeting that when this was done at the start of the Covid-19 situation only one person gave by this method.

3. Fiona Edwards asked about how the booking system was working and that it was costing church to use it and how she felt there were empty seats on Sundays. She then offered to manage this process going forward. Tania then said that it would be good to chat with Esther to pass this on as no-one has yet offered to do this part of her role.

4. Barry Cooney asked if the Area Dean had approved the risk assessment for communion to be served. Derek replied that it had been sent to her but he had not had a reply back as of yet but we will ask Esther to chase this up with Fiona.

5. Pauline Jackson asked when can we use the church hall for meetings? Derek informed the meeting that due to the Rule of Six they are unable to have meetings at present and that we are only allowed to hold meetings which support the running of the church and also worship.

4. Aim and purpose

St Mary’s Parochial Church Council (PCC) has the responsibility of cooperating with any incumbent in promoting in the ecclesiastical parish, the whole mission of the Church -- pastoral, evangelical, social and ecumenical. The PCC is also specifically responsible for the maintenance of the Church Hall and Church House.

5. Objectives and activities

The general functions of the PCC are stated within section 2 of the Parochial Church Councils (Powers) Measure 1956.

The PCC is committed to enabling as many people as possible to worship at our Church and to become part of our parish community at St Mary’s. It maintains an

overview of worship throughout the parish and makes suggestions on how our services can involve the many groups that live within our parish. Our services and worship put faith into practice through prayer and scripture, music and sacrament.

When planning our activities for the year, we have considered the Charity

Commission's guidance on public benefit. We try to enable ordinary people to live out their faith as part of our parish community through:

To facilitate this work, it is imperative that we maintain the fabric of the Church of

St Mary’s, the Church Hall and Church House.

6. Achievements and performance

a) PCC Secretary Report

The Parochial Church Council (PCC) is elected to represent the whole Church. Any matters which members of the congregation wish to raise, or which cause concern, should be brought to the attention of a member of the PCC.

The members of the PCC are as follows: Melanie Clay (Churchwarden), Derek Fletcher (Churchwarden), Tania Cook, Barbara Coleman, Phil Dobson, Eileen Exley, Stephen Henshaw, Brenda Hind, Dennis Pickworth, Peter Stanton, Anthony Kirby, Derek Burnett and Ian Wheeler.

I would like to take this opportunity to thank two former stalwarts of the PCC who stepped down this year -- Alan Boyden, who has relocated to Cornwall, and Wendy Taylor, social committee chair and a former PCC secretary of many years’ service.

Thank you also to my predecessor as PCC secretary, Stephen Henshaw, and congratulations to him and Esther on the safe arrival of their new daughter. While Esther is on maternity leave Andrew Dobb is our administrator. Finally, thank you to our vergers and caretaking team who keep everything running as smoothly as possible – even during a pandemic! – and, of course, to Barbara and Barry for their continuing ministry in these unprecedented times.

In a normal year the PCC would meet for six regular meetings, with additional extraordinary meetings where necessary. During 2020 the majority of meetings took place via Zoom as a result of Lockdown. This is not an ideal way in which to conduct business but it is one which the whole world seems to have become very quickly accustomed to and, in the event, enabled the PCC to continue “business as usual”.

Because of the Covid-19 pandemic and Lockdown, last year’s Annual Church Meeting was put back from the planned date of April 23[rd] until September 30[th] , when a brief lifting of Lockdown regulations meant it was able to go ahead in church.

Incidentally, although Annual Church Meetings have, traditionally, had to be held before the last day of April, that ruling has been changed within the last couple of years and meetings must now be held between January 1 and May 31.

In addition to spending the majority of 2020 in Lockdown, St Mary’s has also been in interregnum, following the retirement of Dave Marvin in 2019 – something of a double whammy! The interregnum steering group has met regularly throughout the year to produce our Parish Profile and has been aided in no small measure by the Archdeacon of Nottingham, the Venerable Phil Williams. With his patience, guidance and good humour we have reached the stage where the Profile has been approved and we can move forward to the next stage of the process and begin advertising for a new incumbent. Please see the Interregnum Group report later in this document.

Finally, they say that “Necessity is the mother of invention” and this past year has seen church members find new and innovative ways of keeping in touch with and supporting each other during these difficult times. Back in April, as the first Lockdown began to tighten its grip and we all realised that we were in this for the long haul, a “Friends of St Mary’s” Facebook group was set up. Within exactly a week of its formation we had linked up with, checked up on, and accounted for more than 92 members of our church family. Since then it has gone from strength to strength, with 55 members who share news, photographs, and pass on greetings from parishioners who don’t “do” social media.

In addition, during the summer when we were still able to hold church services, but were unable to serve coffee afterwards in the church hall, a group of regulars met up for outdoor, socially-distanced, coffee at Beauvale Priory each Sunday.

People have also formed small groups who keep in touch via email; others regularly Facetime friends; and there are others who make it a point, during their daily walk, to call in on – when allowed – or simply wave enthusiastically through the window to church members who are, perhaps, living alone. There are, of course, countless other acts of kindness which have helped sustain us all throughout these difficult times.

People talk of the wartime spirit, but here we have “the Greasley spirit” and, with it, all bodes well for the future,

b) Electoral Roll Report

The total number on the Roll is 114, with six additions on last year and 12 removals (two deceased, four moved away from the area, six nonattendees).

Of those on the Roll, 74 are resident in the parish and 40 live outside. There are 77 females and 37 males on the Roll.

c) Financial Review

HON TREASURER’S REPORT FINANCIAL YEAR ENDING 31[ST] DECEMBER 2020

St Mary’s Church Greasley’s financial accounts are managed and monitored by the Treasurer. The accounts are processed by Mrs. Melanie Clay (Gift Aid Secretary). A concise copy of the accounts showing 3-month activity is provided to the PCC prior to the meeting for questions and discussion.

As usual, a full check of the accounts has been completed by Pells Chartered Accountants.

The regular giving scheme is the most important source of income that we have, as it gives us approximately 17% of our total income. This is down by 7% compared to 2019. At the end of December 2019, we had 63 regular givers (52 Gift Aid and 11 pledges) and at the end of December 2020 there were 51 regular givers (40 Gift Aid and 11 pledges). The plate donations were down by £2840 in 2020 – nearly 83% down on 2019. In 2020 the plate donations worked out on average at 36p per person.

The figures are reflective of the extremely difficult year 2020 has been.

Going forward, the Parish Share for 2021 is £44,206 including the deduction of the Southwell & Nottingham Diocesan Board of Finance Support Fund 2021 total of £9,600.

I would like to record my thanks to Melanie Clay who has helped me in the past year as our regular accounts data processor and gift aid secretary and the PCC for their continued support.

d) Mothers Union Report

The new programme for 2020 was off to a flying start with a talk from Sheila Over on plants in January and, in February, a Pancake Day lunchtime meeting with home-made soups and freshly-baked rolls followed by pancakes liberally sprinkled with sugar and the citrus juice of choice. Everyone who attended thoroughly enjoyed themselves.

Then Covid struck our shores and we were locked down and the Mothers Union has not been able to have a meeting since.

I have continually kept in touch with members either by email or telephone or in the case of Sue Pinkney, masked visits to take a lunch when she emerged from hospital, for which she seems to be very pleased. The members chose to suspend their membership of MU as not only was head office still requiring membership money but had yet again increased the subscriptions.

An email was sent to the Diocesan Secretary outlining our members’ wishes but no reply has been received to date.

e) Greasley Christian Aid Group Report

Who would have thought that a year on from writing the last report in very restricted times, I would be writing another in almost the same circumstances. All our usual activities have been curtailed but, nevertheless, we have been able to give limited support to Christian Aid due to generous individual donations and some profit from Traidcraft.

We were not able to carry out any of our usual activities in Christian Aid Week 2020 but, after receiving some generous individual donations, we were able to send £685 for Christian Aid’s vital work.

When David Hedderly sadly died in October £1,558 was given for Christian Aid in his memory. Ever the practical man, he would have been so pleased that such a useful amount was given at such a lean time and very grateful for the generosity shown. Finally we were able to send £800 to the Christmas Appeal to help various projects aiding communities affected by climate change.

We have continued to sell Traidcraft in a limited way from my front door and this has been helpful, enabling us to contribute some profits. In the financial year August 2019 to July 2020 we sold £5,727.83 worth of Traidcraft goods.

Sadly we have lost three very faithful supporters in the last year. David was a founder member of this group and Treasurer for many years. He worked away almost to the end of his life, despite difficulties with his vision and computer ability. It was very fitting that this group attended his funeral and a Traidcraft Benediction was read by our Chair. We are very grateful to Adrian Jeffs for taking on the duties of Treasurer. When I came to Watnall 47 years ago Audrey Bee was already a House-to-House collector. She carried on this role as long as she was able and then continued to support Christian Aid in any way she could. Bernard Seed was another founder member of this committee together with his wife Kathleen. He collected for us for a considerable number of years and gave his support in many ways. We remember all three with affection and gratitude.

We would also like to express our thanks to Alan Boyden and wish him well in his new life in Cornwall. Year after year he collected for us going door-to-door in a very long road following a responsible day at work. He always had an adventure and the best stories! We shall miss him.

Christian Aid Week this year is continuing to support help with climate change and hopes to manage a house-to-house collection. We have decided that in the current situation and, mindful of the age of most of our collectors, we cannot responsibly support them in this way this year. People can, however, give online for Christian Aid Week by visiting www.christianaid.org.uk.

We shall send everything we have in our Account and most of Traidcraft profits. We would also be happy to send any cheques up to Christian Aid or furnish you with their address. 2020 marked Christian Aid’s 75 [th] birthday and underlined the fact that its work is still so urgent after all these years. Set up by the churches to help refugees after the Second World War it remains as vital as ever. The last verse of the Traidcraft Benediction says:

“May God bless you with enough foolishness to believe that you really can make a difference in this world, so that you are able, with God’s grace, to do what others claim cannot be done.”

f) Tower Captain Report

As with most other activities at St Mary’s Greasley, bell ringing was put on hold in March 2020. The bells have not been rung for over a year, now.

During the first six months of the Covid-19 pandemic I was in New Zealand, unable to get flights back home. On returning in August, the lockdown had been lifted, and the steeple keeper and I were able to get access to the tower. We carried out a check and maintenance of the bells, bell chamber and the ringing chamber. We were relieved to find that everything was in good working order.

The Central Council for Church Bell Ringers, in conjunction with the Church of England and Public Health England, issued guidelines for the return to church bell ringing in August ’20 and advised each tower to produce a Method Statement for the safe return to ringing. The method statement for Greasley St Mary’s was passed to the church wardens in October, ready to be reviewed by the PCC. Unfortunately, a second lockdown meant that the PCC were not able to hold a meeting until January ’21, by which time the country was entering a third lockdown. The Method Statement was approved, with one amendment, but we will not be able to consider ringing until lockdown restrictions have been sufficiently lifted to allow people to meet indoors. We

hope this might be towards the end of May.

The Greasley band of ringers have had weekly messages from our secretary, Alison, since the start of the Covid-19 pandemic, which has kept us connected. Ringers have also kept in touch with phone and FaceTime calls. We are looking forward to getting back to practice nights and ringing for Sunday services and weddings very soon.

g) Choir Master’s Report

Psalm 96: 1-2: O Sing to the Lord a new song; Sing to the Lord, all the earth. Sing to the Lord, bless His name; Tell of His salvation from day to day.

The New Year saw us continuing to lead the music at the 10:15am service, including singing during communion.

Our practices were held twice monthly, or as required.

In January 2020 we were re-affiliated to the RSCM (Royal School of Church Music). We began an education programme for some of our newer members and a number of medals were achieved. We hope that this will continue and we will be including a programme for our junior members.

During lockdown I maintained regular contact with all of our choir members. I think we will always remember singing carols outside with everyone (in all weathers!) throughout the Advent and Christmas period (even on Christmas Day!).

We can only hope that, before long, we can all meet and sing together again. We have all missed singing together in church so much.

h) Social Committee Report

In normal times the social committee meets throughout the year to plan events which not only help raise money for our church but, chiefly, provide ways in which church members and their friends and families can meet in an informal setting.

The committee is currently made up of six core members, with extra ad hoc helpers pitching in for major events such as the spring Open Day, Christmas Market and Carols by Candlelight, at all of which the committee provides refreshments.

Any profit raised from our events is set aside from general church funds, to be used at a time and for a purpose chosen by the members of the committee. In the past we have paid for the redecoration of the church hall; contributed towards church roof repairs and provided new tables and chairs for the church hall.

We met in January to plan our events for 2020 — which would have included our usual mix of quiz nights, themed nights and a coach trip to York. We also managed to book in a local Shadows tribute band, the Owd Shadduz, who would have kicked off our autumn “schedule”. - Sadly, because of Covid 19 and Lockdown, none of these events were able

to take place and the committee has not met since. We are keeping a close eye on the situation, however, and hope that it won’t too long before we can begin planning again.

i) Parish Magazine ‘Open Door’

With the advent of Covid-19, the Open Door magazine has suffered with regard to its physical distribution. GDPR had already reduced our contact with the parish, from around 450 copies to 250 copies delivered.

I have added some colour, which we could not afford in print, to brighten up each issue but sadly that does not guarantee readers.

j) Deanery Synod

Three members of the PCC sit on the Deanery Synod, these being Barbara Coleman, Eileen Exley and Dennis Pickworth. This provides the PCC with an important link between the parish and the wider structures of the Church.

k) Safeguarding Report

All the required paperwork under the Code of Safer Working Practice has been completed. Safeguarding training for persons holding some responsibility is up to date. DBS requirements have been followed. No safeguarding issues have been reported.

l) Interregnum Report

The Interregnum Steering Group consisting of PCC members Ian Wheeler, Melanie Clay, Phil Dobson, and Derek Fletcher (replacing Alan Boyden) with Pat Higham being the representative for the wider congregation, has continued to meet throughout the year when necessary, using Zoom and – when permitted—meeting in person. The majority of that time has been spent writing and fine-tuning the Parish Profile. The Profile is a key part of the process of attracting a new priest to our church. It is the document – essentially a brochure – on which any prospective applicants will base their decision to take their application further. In order to attract the right person then it needs to be an appealing and attractive document – and we hope ours is. We have striven to paint as complete a picture of St Mary’s as possible, being honest about our strengths and weaknesses and providing a sense of vision about who and what we are looking for.

The Parish Profile, having already been approved by the PCC, finally received approval from Southwell in early January 2021, allowing us to advertise for a new vicar. Ian and Pat will be our representatives on any interviewing panel for a new incumbent (alongside the Archdeacon, Area Dean and Lay Chairman) and, crucially, will have power of veto, should that be necessary.

7. Worship and Prayer

The year started well until the church was forced into a lockdown in March due to the Covid-19 pandemic.

Since then the church has opened and closed according to government and Church of England guidelines. When open, the church has had limited numbers due to the distancing rules. Many of our church family have chosen to stay away for health and safety reasons.

We are still in an interregnum and so are grateful for the ministry provided by Barry Cooney and the visiting clergy who have presided at the Holy Communion Services which have been allowed in church. Many members of the congregation have Zoomed into church services elsewhere in the country.

The Remembrance Sunday, Crib Service and Midnight Mass were cancelled with a Holy Communion Service being held on Christmas Morning. Many of our Church Family have kept in touch with others by the various means available. Unfortunately, indoor parish visiting has not been allowed although some people have managed to chat at a safe distance outside.

The future of the church and its ministry may see some changes due to the Covid virus. But we pray that whatever the future holds we may soon have a new incumbent to lead us on the journey.

8. Legacy Policy

It is the PCC’s policy to record any legacies received and, if given without any restriction, to use them in such a way that -- wherever possible -- reflects the person who has given the legacy. Restricted legacies will be used in accordance with the restriction.

9. Structure, Governance and Management

The Parochial Church Council is a corporate body established by the Church of England. The PCC operates under the Parochial Church Council (Powers) Measure. St Mary’s is a Registered Charity.

The method of appointment of PCC members is set out in the Church Representation Rules. At St Mary’s the membership of the PCC consists of the incumbent, Churchwardens, and members elected by those members of the congregation who are on the electoral roll of the Church.

All those who attend our services/members of the congregation are encouraged to register on the Electoral Roll and stand for election to the PCC. The PCC members are responsible for making decisions on all matters of general concern and importance to the parish, including deciding on how the funds of the PCC are to be spent.

Individual PCC members receive training as and when deemed appropriate by the PCC. Training may include trustee responsibility training, basic health and safety, risk assessment and management, child protection procedures, safeguarding vulnerable adults.

St Mary’s has three paid members of staff. PAYE payroll and a workplace pension scheme are also in place.

10. GDPR and Privacy Notice

In 2018 the new General Data Protection Regulation (GDPR) came into effect, governing how we handle personal data. St Mary’s has followed guidance from Southwell and the Church of England to ensure we comply with GDPR. We have created a privacy notice which explains the commitment and process we use at St Mary’s which is on display in church and available to view on our website.

11. Risk Assessments

The PCC undertakes assessments to identify major risks as required. Procedures are then put in place to manage those risks and minimise their impact on the life of the Church.
