AGM 03 October 2022

This is the first in person AGM since the pandemic. All of the issues raised have been discussed both before and afterwards with the wider group of stakeholders including parents, volunteers and clients.

Amendments to Agenda

There were no amendments to the Agenda. However, Towards the end of the meeting, Andrea Walton, a former member of staf, interrupted the meeting. Andrea stopped working for BAF in June 22.

We allowed Andrea to interrupt.

Andrea wished to discuss a future employment issue which we discussed. It was agreed that Andreas' engagement with the Buzz Action Foundation was not a matter for the AGM and this matter would be addressed subsequently by the board of trustees.

Accounts

The accounts were shown and agreed by all parties. Alfie Steadman will perform the external review of the accounts. All present felt that given the monies raised and the high level of delivery achieved with this, it was testament to the eforts of all staf and volunteers.

Review of the Year and current state of operation .

We have emerged from the pandemic and like everybody else, we have found it difficult to fully re-engage with our target youth, but we have exceeded our expectations in this regard.

We have 3 Youth Clubs and 2 Circus Clubs all running and fully functional.

We are regularly engaging over 100 young people a week through these clubs.

All of these clubs provide access to a number of activities, trips and residential events. We have had 4 residential events, 2 of which were very local allowing young people with additional needs to experience camping. 6 people with disabilities and more than 10 with SEND have participated in residential activities.

Funding is secure until April 2023 and we are confident we will attract further funding to see us through to 2024.

Year ending April 22 saw 23 Day Trips/Activities , all of which cost less than £5 per head. We have done double this so far in the year ending 2023

Visits to events, other youth clubs, locations all over Wiltshire have ensured that other youth clubs and youth groups have benefited from our activities. A visit to another group is also an event for our own young people who attend the group.

Working in partnership with Southampton Juggling Club and Poole Circus Club, we organised and held The Southern Circus Convention in Salisbury, to replace a popular calendar event which did not survive the pandemic. This was hugely successful, not only for our own young people, but for over 100 Jugglers and Circus Entertainers who attended. We have already broken even with advance sales for November 22 and agreed we would host the event again

We put on 7 Buzz Action Roadshow activities. These were FREE at the point of delivery and we engaged with over 2,000 young people and children through these events in Amesbury/Bemerton Heath/Hampton Park/Larkhill etc.

Going forward into 2023 we have now got 4 youth clubs and 3 circus clubs running in Amesbury, Nomansland and Salisbury.

Fulfilment of funding and delivery

£35K of our fundraising was through Grants from Garfield Weston, Abri, Wiltshire Council, Postcode Lottery and Amesbury Town Council, as well as commissions from Salisbury City Council.

We have delivered on all of the activity to exceed the purpose of the funding. This is a testament to the eforts of our staf and volunteers. It also demonstrates how sharing resources amongst a number of projects will ensure we can put bums on seats for minority interest events and activities, thus ensuring true diversity in a rich programme.

Future Funding

We are still searching for a major funder for 2024 but we are confident we will have funding support from Abri, Amesbury Town Council, Wiltshire Council and Postcode lottery going forward.

Projects for 2023 to 24

We agreed that the following would be our core projects for 2023 to 24

We also agreed on the following projects to be open to members of all the above:

These minutes will be sent to all attendees for review before submission to the Charity Commission as part of the annual return.
