## **Structure & Management** 

6 x Trustees (unpaid) 

2 x Full-time volunteers managing day to day running of the charity (unpaid) 

20 x Ad hoc volunteers - involved in fundraising events (unpaid) 

- 1 x Sports Club managing the Jack Dulson Hockey Academy (receives a grant towards the management of this activity which helps hundreds of children, who would otherwise, be unable to access this sport) 

The charity is managed in accordance with the governing document. New trustees are welcome to apply to the charity and when the need arises opportunities to replace trustees will be advertised via social media. 

## **Activities and objectives in the year** 

The charitable purposes listed below are referred to by the trustees and regular volunteers throughout the year, at meetings; within emails/other documents and are frequently tagged in social media posts to emphasise that activities undertaken meet one/both aims of the charity. They are used as a reference tool whenever discussing grants to be awarded and are a link to the everyday management of the charity. 

The charity’s trustees agree that it is the duty of the Chair to report formally to every meeting regarding the financial stability and activities undertaken since the previous meeting. Trustees and the regular volunteers are encouraged to share information via various means of communication as to how the team achieve the above objectives and regarding elements of fundraising/projects for which they are directly responsible. The Chair expects to be kept up to date which is achieved via the WhatsApp Group and email. 

There is constant work going on to ensure fundraising events continue. Regular updates are posted on social media in relation to opportunities available via the Jack Dulson Memorial Fund grant scheme. The application form and policy relating to grants is available via the website. 

## Charitable Objectives 

**To preserve and protect the physical and mental wellbeing of sufferers of Staphylococcus aureus and Pericarditis in the UK by the provision of support and practical advice and information.** 

## **To provide or assist in the provision of recreational and leisure time activities for children and young people up to the age of 18 in the interests of social welfare with the object of improving their conditions of life.** 

## Charity Finances 

The finances of the charity are monitored by the Vice Chair (VC), who is not involved in the day to day running of the purchasing/fundraising. The VC reports to the Chair

and the Trustees and works with the Ambassador to ensure that information is presented at meetings, between those meetings where required and for the year end statements to be finalised. 

Systems are in place to ensure that cash is checked by two people at each event and that it is banked promptly with reports to the trustees, via the WhatsApp Group, to ensure all trustees remain aware that the cash has been deposited. The Chair is then able to verify that any banking is in the account. 

Payments out are authorised by the Chair and actioned by either the Chair or the Ambassador only. Trustees are kept up to date via the WhatsApp Group in relation to payments being made. 

The financial position of the charity is monitored daily by the Chair and the Ambassador via Online and App banking and through regular updating of the Cash Book and Forecasts, which are provided to the Trustees and monitored closely for accuracy and prudent management by the VC and during meetings. 

It is important to note that at the year end the trustees agreed that, following considerable outgoings and commitment to some grant payments for 2023/24, along with any agreed reserves, there should be prudence in relation to any ongoing Grant Applications. 

A push for fundraising is underway now that Cash at Bank has been reduced by an increasing number of approved grant applications (some relevant to the year 2023/24), with JacksBALL 2024, the fourth such event, being scheduled for June 2024. 

## **Financial items of note** 

The charity continues to receive regular donations from two sources. Ad hoc donations continue via PayPal following fundraising events and this is an area that is highlighted during the run up to every event but could be further developed. 

Fundraising has been successful via Facebook, the Freemasons, Benevolent Funds, food suppliers at events. 

The annual commitment to the charity has been evident in the year from two business sources.

## **Fund and Awareness Raising projects included: -** 

London Marathon 

Retail opportunities:  The JDMF Hats (NSHC Hats and JDMF Umbrellas due 2023/24) 

The Amazon Smile project – ending February 2023. 

North Stafford HC proudly wore Jack’s number 113 on their training/match day shirts for the National Final. 

It should be noted that income (and expenditure) for JacksBALL 2022 held in September 2022 is included in the year. The event is held every two years. 

Grants rejected in the financial year 2022/23 

1 x Secondary School 

1 x Ukraine Project (project not fitting objectives sufficiently well) 

1 x Midlands Junior Premier League new team (application lacked the depth necessary for approval) 

2 X large charities (not in line with Grant Policy requirements) 

Grants approved in the financial year 2022/23 

Individual triathlete/decathlete Bike Sponsorship 

3 x Football Team Kits (U11s, U13s & U16s (approximately 45 individuals) Jack Dulson Hockey Academy – with 2 years in reserve for 23/24 and 24/25 (60-100 individuals at each camp and attendance in local schools) 

1 x Dance Academy for 2 Juvenile Team Outfits (16-20 students) 

1 x Individual applicant:  Royal Ballet Birmingham Student (1 young person) 

1 x Football Club – Support towards a tour (16-20 individuals) 

_1 x individual grant to assist attendance at end of year Residential/Activities_ 

Other grants were approved to be paid in the year 2023/24, hence the prudence noted above. 

Most kit supplied does have the Jack Dulson Memorial Fund logo applied. 

## **Summary** 

The financial year 2022/23 was successful in achieving the aims of the charity noted above. Benefit was noted to hundreds of children in the period, with grants provided also raising considerable awareness due to the requirement to display the Jack Dulson Memorial Fund Banner and the distribution of information leaflets where relevant. Social media including photos is used to highlight all grants (unless required to be confidential for safeguarding issues) and therefore the overall benefit, not only to those directly involved, but to the wider UK population has been immense. Followers on social media and general donations have increased throughout the period,

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31/03/2023. 

- **Responsibilities and** As the charity trustees of the Trust, you are responsible for the preparation **basis of report** of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”). 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination.  I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect: 

- accounting records were not kept in accordance with section 130 of the Act or 

- the accounts do not accord with the accounting records
