2 Structure, Governance & Management

2.1 Type of Governing Document

Constitution – based on the Charity Commission’s model governing document for Foundation Charitable Incorporated Organisations, ie: where the Trustees are the only Members of the charity.

2.2 Charitable Objects

As defined in Pegasus RDA’s Constitution (Governing Document):

The charity’s objects are:

“…to promote the objects of the Riding for the Disabled Association incorporating Carriage Driving, a charity registered under charity number 244108 (“RDA”) by providing disabled people with the opportunity to ride and/or to carriage drive to benefit their health and wellbeing in the South Manchester area”.

2.3 Trustee Selection Methods

There must be at least three charity trustees. The maximum number of trustees is 11.

In accordance with the Constitution, Trustees are required to retire by rotation – at every annual general meeting, one third of the charity trustees are required to retire from office. The charity trustees to retire by rotation shall be those who have been the longest in office since their last appointment or reappointment.

In appointing Trustees, due consideration is given to ensuring that the Trustees have, between them, the skills and experience necessary to manage the charity effectively and in accordance with charity law.

2.4 How New Trustees are Inducted and Trained

The charity trustees provide each new charity trustee, on or before his or her first appointment:

3 Activities, Achievements and Performance

3.1 Statutory Declaration

The Trustees of Pegasus RDA confirm that they have paid due regard to the guidance issued by the Charity Commission on public benefit in deciding what activities the charity should undertake.

3.2 Participants

Pegasus started 2022 positively and we were finally able to move on from the challenges we’d faced over the previous two years due to Covid restrictions. We were able to return to running four lessons every Sunday morning and also started to welcome a number of new volunteers, a trend which has continued over the course of the past 12 months.

Our biggest development, quite literally, at the start of 2022 was the purchase and installation of three stables and a tack room on site at the yard. We remain incredibly proud of this achievement, which in part was funded by a legacy from one of our founding members, Helen Bacon. Helen would have been hugely supportive of this investment and would have agreed with our decision to take this forward. We would like to give particular thanks to trustee Caroline Riley for the huge amount of time and effort that she invested in project managing the clearance of the site, the sourcing of the stables and the building and development work. In 2023 we will be officially adding a memorial plaque to the stables in Helen’s memory.

We welcomed Sarah Allen and Becca Whitehead into the coaching team in the spring of 2022, both of whom had been volunteers with the group for circa two years. This was a really positive move and we continue to support Becca and Sarah as they develop their coaching skills, they’re both doing an amazing job.

A big highlight of the year was attending the regional show in May, which was a fantastic experience. All five of our riders were placed in their dressage and Countryside Challenge classes – well done to Ez, Grace, Olivia, Charlie and Amina. We all had an amazing day and extended our thanks to the North West committee for arranging the show and Warren Farm for hosting.

We had a really positive summer and remained open throughout the June – August period, which ensured that we were able to provide a consistent routine through the holiday season for our riders and volunteers. Over the summer we enjoyed our regular lessons and took the opportunity to go out for more hacks in the Sunday morning sunshine. We will be registering as an Endurance group so that our hacks actively contribute to our riders’ achievements.

The highlight of the summer was our annual show at the yard, where we took the opportunity to run games in lessons, with rosettes for all of our riders. Our winning combination of Ez and Lady also did a dressage demo following their success at the regional show.

In the Autumn our coaching team recruited another new member as Jeanette Dixon joined Pegasus, from mid-Cheshire, which we were delighted about. This puts us in a great place with four qualified coaches and two in training.

We ended the year having conducted sessions on 43 weeks of the year, 5 grooming sessions, 580 individual rides to 41 participants.

3.3 Horses

In early January we welcomed a new pony to our equestrian team, a 14hh piebald cob called Betty, who proved to be a firm favourite and joined our lessons on 13[th] February. Betty was one of the livery ponies on the yard and her owner kindly allowed us to use her for RDA, which was a match made in heaven as she had a wonderful, calm temperament. It was a huge loss for us to lose her so quickly in March as she had an unexpected, severe bout of Colic. Thanks to Betty for the positive contribution that she made to the team, albeit for a short period.

From an equine perspective we were concerned as we moved into the Spring that our horse team was reducing in size, so we were incredibly pleased to be able to bring onboard Lady and Bo Peep in March, both of whom are owned by yard owner Toni-Ann and her daughter, they have been fantastic additions to our equine team and have helped a number of our riders develop their riding ability over the past 12 months.

In October we had an incredibly difficult decision to make in terms of our much-loved horse, Dougie. he had a difficult winter 2021/spring 2022 and suffered with abscesses, mud fever and intensification of the pain that he was feeling from the arthritis in his knees. The trustees and

yard staff lavished him with love and care but following checks from 2 vets and a significant flare up of his arthritis we had to follow the vet’s guidance, particularly we were heading into the winter months.

He couldn't have been more loved and played a really important role in moving Pegasus forward as we came out of lockdown, enabling us to welcome more riders into the group and others to develop their riding skills. He was mischievous, cheeky, hardworking, kind and always hungry! Dougie also gave us the opportunity to own our 1st horse on a 100% basis, which helped us to learn a lot about the rollercoaster ride that is involved in owning horses – and we wouldn't have changed that for the world. He was a special pony and we still miss him dreadfully.

On a positive note, we now find ourselves in the fortunate position whereby we have two horses of our own, as well as access to the five ponies that we use in our sessions that belong to the yard owner. This has provided us with a greater level of flexibility in our lessons and is really supporting our riders’ development.

Ruby is a 9-year-old Connemara and has lived all of her life on the yard. Her previous owner’s daughter had outgrown her and she was very keen for her to not move off the yard, presenting us with a great opportunity to take her onboard. Having previously been in the riding school she is very comfortable going to the block, having side walkers etc. She’s proving to be very popular.

Tyson is a 21-year-old cob who has joined us on long term loan from his owner, who is based near Northwich. He’s a lovely boy and is in the process of regaining his fitness levels having only been ridden intermittently over the past five years. He’s got a great temperament and is a good weight bearer, which is just what we need! He is learning his new role and is coming leaps and bounds. Special thanks to Caroline and Sarah for their Friday morning ‘boot camp’ sessions with Tyson, which, alongside being ridden by his loaners, is supporting his development.

The charity used 8 horses during our sessions this year: Seb, Beau, Carlos, Santos, Dougie, Ruby, Lady and Bo Peep. Six of these horses are owned by NCEC and two horses, Dougie and Ruby, are owned by Pegasus RDA. As we move into 2023, our focus still remains on adding a new weight-bearing equine member to our team, alongside Tyson who will start to work in sessions from January 2023.

3.4 Volunteers

Pegasus RDA is run and managed entirely by volunteers. Our volunteers come from a range of diverse backgrounds and ages and bring with them a variety of skills. We continue to be extremely grateful to our wonderful team of volunteers for all their time and dedication in supporting our sessions.

We welcomed new volunteers from a variety of backgrounds over the course of 2022, including those that are working towards their Duke of Edinburgh Awards, those who want to give something back to the community via volunteering and others who are wanting to gain experience working with either horses or children, or both!

3.5 Governance

This year saw some changes made to the board of trustees. Sadly, Gill Petty decided to formally step down from the trustee team at the AGM in May and we would like to thank her for the key role that she played in running and guiding the group over our first 5 years. We were really pleased to welcome Sarah Allen to the trustee team in October 2022. Sarah plays a really active role in the group as both trainee coach, volunteer, trustee and session planner and has been a fantastic addition to the board.

3.6 Planning for the Future

Our priority for 2023 is to maintain our levels of activity and to introduce more regular grooming / horse care sessions into our programme. We hope to add new horses to our equine team, which will require substantial fundraising to cover the cost of their upkeep. We, therefore, hope to get more supporters involved with fundraising in the forthcoming year, involving volunteers, participants and their families. This will give more people the opportunity to have a direct impact on how we develop the charity.

4 Financial Review

4.1 Details of Any Funds Materially in Deficit

The Charity has no funds which are materially in deficit.

4.2 Policy on Reserves

The Charity’s policy on reserves is to generate and maintain a balance which is sufficient:

For these purposes the Charity will endeavour to generate and maintain reserves which are at least 50% of its annual turnover.

The annual turnover for 2022 was £20,314.67 and we ended the year with £9,139.55 in reserves, which, at 45% of the year’s turnover, is considered by the trustees to be sufficient.

4.3 Principal Sources of Funding and Outgoings

4.3.1 Outgoings

As always, one of our most significant outgoings are our horse hire costs. The cost of hiring the NCEC ponies that we used for our sessions was reviewed in July and both parties agreed that an increase from £11 to £13 per half-hour session was fair. We began the year with £7903.50 remaining on our BBC Children in Need (CiN) grant to cover the cost of hiring horses to use in our sessions. This grant allows us to offer our sessions free of charge. Over the course of the year, we spent £6,070.00 on CiN eligible horse hire costs, which equates to 501 individual lessons. At the end of the year, there was £1,833.50 remaining on the CiN grant. The trustees had agreed to seek funding to allow us to continue offering our sessions free of charge as a priority.

After having purchased our own pony, Dougie, in August 2021, provision needed to be made to cover his rent and livery costs. Grants towards Dougie’s upkeep costs were awarded by the following organisations:

Unfortunately, Dougie’s ill health continued this year, with him suffering from abscesses and lameness due to arthritis. We were advised that he was no longer suitable to participate in RDA activities and that, with the severity of his arthritis, the kindest thing for Dougie would be to put him to sleep, which happened at the end of October. Throughout the year, a total of £6147.79 had been spent on Dougie’s upkeep and veterinary costs.

In early 2022, the Pegasus stable block project was finished, with the stables being built in January. In this financial period, £5,267.20 was spent on this project.

In November 2022, we were given the opportunity to take on two new horses, Ruby and Tyson. Ruby was being sold by her owners at NCEC and, previously having worked in the riding school, was a good candidate for RDA activities. Tyson was offered to us on a long-term loan basis, to move to NCEC and Pegasus RDA to undertake the cost of his upkeep and care. Both horses we moved to the new Pegasus stable block and are looked after by NCEC staff on a full livery basis.

We purchased Ruby for £4,500 (including tack) and the upkeep costs for both horses in this financial period were £2,744.31 . We secured loaners for Ruby and Tyson to help with their upkeep costs and we will save money on our horse hire costs by using them in our sessions.

4.3.2 Funding

Since we offer our sessions free of charge, many of our participants support us by making regular donations. As well as the introduction of QR codes in 2021, this year we also purchased a contactless card reader, used in conjunction with a tablet, to allow participants to donate by card. In total, rider donations amounted to £3,262.43 , averaging out to £5.62 per session. Rider donations were made by bank transfer, cash, contactless and QR codes, and we continue to encourage donors to complete Gift Aid forms where possible.

This year, primarily with a view to help fund the increased costs associated with owning our own horses, we set up a fundraising committee. The group shared ideas and organised events and activities to increase our income. Through attending local events, setting up a lottery, running tombolas and raffles and encouraging people to undertake fundraising challenges, the group raised in excess of £6,000 , which provided a much-needed boost to our finances.

4.4 Remuneration of Trustees

All Trustees act in a voluntary capacity and receive no remuneration or other material benefits from their services to the Charity.

Out-of-pocket expenses necessarily and reasonably incurred by Trustees in promoting the purposes of the Charity are reimbursed at cost.

4.5 Financial Status

Pegasus RDA’s current resources from unrestricted donations are more than sufficient to meet its outgoings for at least next year.

All the indications are that this will remain the case for the foreseeable future.

5.3 Notes to the Accounts

a) Accounting Policies

The financial statements have been prepared in accordance with the Charities Act 2011 Section 133, using the Receipts and Payments basis available to small charities and the charity’s own Simple Accounts Spreadsheet.

No trustee receives any payments for the services they provide to the charity.

In the current financial year the charity employed no staff or external contractors.
