TRUSTEES' ANNUAL REPORT

The Trustees present their annual report together with accounts for the year ended 31[st] March 2025.

The Charitable Incorporated Organisation (CIO) 1171327 was registered on 26[th] January 2017, to take forward the work of the Unincorporated Association known as Tewkesbury Town Band. All the assets, liabilities and funds were transferred with effect from 1[st] April 2017.

Administration

The Tewkesbury Town Band is a Charitable Incorporated Organisation (CIO) solely registered with the Charity Commission, number 1171327. It is administered and managed in accordance with its Constitution, dated 7[th] January 2017. The CIO’s annual reports are published on the Charity Commission web site.

At the 2024 AGM, the re-elected Trustee was Hadrian Walters, the re-elected Management Committee members were Derinda Wildman and Iain Willis.

Activities and Achievements

In exercising their duty, the Charity Trustees have reviewed that all their activities have due regard to public benefit guidance published by the Charity Commission.

Membership

Playing membership at 31[st] March 2025 was 53 (2024: 58) and as follows:

Senior Band: 31 (2024: 32) Intermediate Band: 34 (2024: 24) (including 8 who now also play with the Senior Band) Beginner Band: 25 (2024: 27) (including 19 who now also play for the Intermediate Band)

All members in the Senior Band who have paid their membership subscriptions and those who are Life Members of the Band are eligible to vote.

Concerts

During the year the bands performed on 54 (2024: 52) separate occasions; with the Senior and Training Bands appearing together on 3 occasions.

Musical Director

During the year to 31[st] March 2025 the Band was led by several Musical Directors including Craig Sproston who took the Band during the first half of the year, Rob Nicholson who conducted the Band at its 50[th] Anniversary Concert in October, and one of the products of our Training Band Will Norman took us to the West of England Regional Contest. The Band would like to put on record its thanks to all three. From the beginning of 2025 the Band appointed Matt Rowe as its Musical Director. Matt is an experienced musician, both as a performer and conductor. He played baritone with the current Champion Band of Great Britain, Flowers Band, and has also led Ebbw Vale Band from Wales to contest success at the Welsh Regional Contest and the Senior Cup. We are looking forward to a long musical connection with Matt, bringing high quality musical entertainment to Tewkesbury and its surroundings.

Contests

The Band competed in the Third Section at the 2025 West of England Regional Contest in Torquay on 8[th] March 2025 under the direction of Will Norman. Under Will’s expert direction we managed to record our highest placing in the Third Section since 2012 finishing in 11[th] place on Jacob de Haan’s “Arkansas”. Sadly, the combination of our results over the past three years has led to us being relegated to the Fourth Section from the beginning of 2026.

Overseas Friends

Over the past few decades, the Band has created many wonderful international musical connections, and it is unusual for a year to go by where we do not either host or visit a band from another country. During our 50[th] Anniversary year we met up with several ex-players from afar and many other international friends.

Training Band

Our Training Band continues to provide the opportunity for anyone to learn to play and join a band completely free of charge. Two band members dedicate several of their weekday evenings each week to offer 15 free lessons to learner players. The Beginner Band rehearses once a week and the Intermediate Band twice. The Training Bands currently have 35 members; 27 of which only play with Training Bands, and 8 members who also play in the Senior Band.

The Training Bands enjoyed a fantastic year of performing concerts for live audiences at public events in and around Tewkesbury, as well as a trip to Kings Down Tail campsite near Sidmouth for their annual band camp, performing at the campsite, Otter Valley Ice Cream Parlour, and Seaton Tramway. During the year the Training Bands were able to perform at 18 engagements (2024: 15), of which 11 included the Beginner Band. The Training Band enjoyed performing alongside the Senior Band in the Afternoon Tea Concert, the 50[th] Anniversary Concert, and the Christmas Concert, as well as at their regular appearances at the Bishop’s Cleeve Street Fair, the Tewkesbury Big Weekend Parade, Tirlebrook Primary School Fetes, Tewkesbury Christmas Lights, St Nicholas’ Church Fete, Tewkesbury Abbey Christingle and Tewkesbury Abbey Christmas Fair. The talented young and old learners also demonstrated their talents to local audiences at the Training band Cabaret Evening and the Christmas Concert, as well as wowing audience further afield whilst on tour near Sidmouth.

Young People’s Achievements

The young people from the Training Band as well as progressing though into the Senior Band are also involved in many musical projects within their schools and with County and Gloucestershire Brass Band Association related events. It is also good to note the involvement of many of our players who have progressed to study at university being involved with the university brass bands and the annual inter-university competition that we follow with interest. It is also great to welcome them back into the bandroom when they are on vacation.

Safeguarding and Child Protection

The Band has Safeguarding and Child Protection Policies which have been approved by the Committee. Committee member Derinda Wildman is the Band’s designated Safeguarding Officer. In accordance with the Band’s Child Protection Policy, all of the band leaders and designated chaperones have Disclosure and Barring Service (DBS) check certificates.

Derinda has been very busy ensuring that the band complies with the Governments Child Performance Licencing legislation. This has had a huge impact on amateur music making organisations such as Tewkesbury Band. The Band, through Derinda, has ensured that our young players are given every protection whilst enjoying their musical pastime. Derinda, Rachel Alexander, and Helen Walters have attended the Brass Band England promoted Bandsafe course which is fully accredited by the NSPCC.

The Year in Review

The Band enjoyed its usual busy year of musical fun and activities, with a wonderful mixture of community engagements, concerts, beer festivals, parades, a Training Band camp, and our annual trek to Torquay for the Regional Contest.

The Band reached a significant milestone in 2024 as the year marked the 50[th] Anniversary of the Band’s creation on 13[th] March 1974. Across the year the Band and its members marked this special occasion with a series of social activities, concerts, and other events. Our Anniversary year began with a curry on the 13[th] March 2024 to both mark the occasion of the actual 50[th] birthday of the Band and the conclusion of our 2024 contest work. The end of April saw a special concert led by Helen Walters at Ripple Church to mark the contribution of her father, Nigel Morgan, to the Band as the longest serving musical director of the Band during its first 50 years. A concert featuring a plethora of musical memories. The Band entertained al fresco audiences in May on Stroud Bandstand and as part of the Tewkesbury Big Weekend picnic in Victoria Gardens.

During June, the Band held a 50[th] Anniversary Dinner at Puckrup Hall with many past and present members and supporters enjoying an evening of fun and plenty of reminiscing. The Training Band kept the musical flag flying with its usual mix of summer school and church fetes, and their participation in the Tewkesbury Big Weekend Parade.

In similar fashion July was a busy musical month with the Band and Training Band making their annual appearances at the wonderful Pershore Midsummer Brass Festival, unfortunately it was another wet year but there were good audiences at St Andrew’s Park and The Angel Inn to hear the bands. We also enjoyed our annual appearance at the Cotswold Beer Festival at Postlip Hall entertaining the beer and cider drinkers. We were also pleased to be part of the Tewkesbury Live! music festival enabling us to take our music to a wider Tewkesbury audience. Groups of players from the Band were invited to play with the wonderful Roses Choir in their annual concert that also included the Tewkesbury Pub Singers, and we maintained our connection with Tewkesbury’s twin Borough with a concert with the visiting Bavarian choir Chor Mundwerk Hausham.

The autumn saw the Band once again entertain a wide variety of people by donning lederhosen, as several groups from the band performed music across the weekend at the Black Bear Oktoberfest which proved to be great fun for all, the Band even keeping the drinkers entertained when the electricity cut-out temporarily pitching the venue into darkness. The Band also launched a beer “Fifty” that had been brewed for the occasion and has proved a hit with CAMRA. The Band also enjoyed a further opportunity to don lederhosen for an Oktoberfest performance at the Churchdown Club.

The highlight of the 50[th] Anniversary year was the Anniversary Concert in Tewkesbury Abbey on the 12[th] October that saw the Band and the Training Band perform to an enthusiastic audience under the baton of Rob Nicholson. The concert provided a varied programme of favourite tunes of the Band and featured the world premiere of a piece specially commissioned for the occasion from one of past musical directors, Andrea Price. Andrea is a fantastic composer and had offered to write a piece to mark our 50[th] Anniversary. The piece is a fantastically descriptive piece based around the River Severn, entitled Severn Stories (Tales from an Ancient River). We look forward to performing this piece wider in the coming years.

The Band also performed its annual Christmas Concert at the Roses Theatre, an Afternoon Tea Concert in the Watson Hall, and an enjoyable lunchtime session at the Tewkesbury Winter Ales Festival. Sadly, our last performance of 2024-25 was at the funeral of the husband and long-time band supporter of one of our long-standing members, Linda Lee.

All that’s left to mention is a thank you to all our supporters and families that help us survive the chaotic Christmas season during which we raise a significant amount of the funds that allow us to keep performing. I think it’s fair to say that during the year the Band and Training Band have entertained a wide variety of people across Tewkesbury and further afield, bringing musical joy and pleasure. A fantastic 50[th] Anniversary year.

Policies

The income of the band is applied in furthering the band’s general objects, set out above, based upon the decisions of the Trustees and Management Committee.

The Trustees review the policy on reserves and set targets at least once per annum with reference to the guidance and terminology published by the Charity Commission. The policy is also reviewed, when warranted by changes in risk assessment or business plans. The review includes unrestricted funds, designated funds and tangible fixed assets. Transfers to and from funds are authorised by the Trustees acting as a whole.

The Instrument Fund has been set up as part of an instrument repair and replacement programme, and will be utilised in accordance with the programme.

Associations

The Band is a member of Brass Bands England and the Gloucestershire Brass Band Association and an affiliate member of Making Music. Brass Bands England is the only National Charitable body representing the interests of brass bands in England.

Volunteer Help

No Trustee, Management Committee member, playing member or the Musical Director received any remuneration for their services to the band during the year. The contribution towards the Musical Directors expenses is shown in note 3 to the accounts.

Financial Report

The results for the year are shown in the Statement of Financial Activities on page 9. The gross income from all sources totalled £17,249 (2024: £15,490). This income was raised through the Band and its Training Band’s active involvement in community events, concerts, and Christmas period fundraising through carolling.

Our running costs amounted to £17,061 (2024: £13,109) resulting in a surplus of £188 (2024: deficit of £2,381). These costs are higher than 2023-24 as a result of the special events organised for the Band’s 50[th] Anniversary.

The Restricted Income Reserve represents the generous donation from Mrs Rosemary Mackay for the provision of musical opportunities to young people from deprived backgrounds to learn a musical instrument and be part of a musical group. The other reserve movements are the transfer of £2,000 to the Designated Instrument Fund to ensure that future funds are available for the replacement of the Band’s instruments as they age, and £812 to the Designated Maintenance Fund to provide for the ongoing major maintenance costs of the band room.

The Band continues to have a healthy balance sheet with reserves totalling £98,045 (2024: £97,858). These are represented by fixed assets of £44,022 (2024: £45,946) and net current assets of £54,024 (2024: £51,912). The cash balances at 31[st] March 2025 stood at £53,655 (2024: £51,888).

The training band had income from its own concerts of £785 (2024: £321), received donations towards its annual band camp, instruments, and music of £1,226 (2024: £547), and contributed a surplus for the period of £1,121 (2024: £25).

The Future

As this report is being finalised, the Band is looking forward to a busy summer of activities to celebrate the Band. After the fantastic success of our collaboration with Tewkesbury Arts and Drama Society for the production of Brassed Off! and our small group concert performances with the Roses Choir, the Band aims to continue to explore opportunities to work with the Tewkesbury community and other arts organisations from the town in the future.

The Band will continue the teaching and progress with both Senior and Training Bands, with the help of band members. The Training Band is the life blood of the Tewkesbury Town Band with 11 of the current 32 members of the Senior Band having come through our Training Band system. It is good to note that the band membership is continuing to grow and that several new faces have appeared at Training Band to learn to play. We are also developing a project to work in collaboration with local schools to build musical connections and the Training Band has been nominated as one of the Tewkesbury Town Mayor’s charities for 2025-26 along with the Arts & Music department at Tewkesbury Academy and Alderman Knight School’s Arts Department. We are looking forward to working collaboratively with both of these to raise funds for the Mayor.

The Band is looking forward to developing its musical future and is looking forward to a further 50 years of music making in Tewkesbury and beyond. As a Band we will continue seeking excellent concert venues and engagements, foreign tours and foreign friendships, and will continue to seek out and develop interesting musical projects. The Band will continue to be a major amateur music making organisation within Tewkesbury.

NOTES TO THE ACCOUNTS

1 Accounting policies

The principal accounting policies are summarised below.

Basis of accounting

The accounts have been prepared under the historical cost convention and in accordance with the Statement of Recommended Practice: Accounting and Reporting by Charities issued in July 2014 and the Financial Reporting Standard applicable in the United Kingdom and Republic of Ireland (FRS 102) and the Charities Act 2011.

The Charitable Incorporated Organisation (CIO) 1171327 was registered on 26[th] January 2017, to take forward the work of the Unincorporated Association known as Tewkesbury Town Band. All the assets, liabilities and funds were transferred with effect from 1[st] April 2017.

Recognition of income

Income is included in the Income & Expenditure Account when:

Income with related expenditure

Where income has related expenditure (for example, own promoted concerts) the income and related expenditure are reported separately, gross, in the Income & Expenditure Account.

Grants and donations

Grants and donations are only included when the band has unconditional entitlement to the grant or donation.

Volunteer help

The value of any voluntary help received is not included in the accounts.

Liabilities are recognised on an accruals basis

Tangible fixed assets

Assets acquired from the unincorporated association, Tewkesbury Town Band, at 1[st] April 2017 are recorded at cost less amounts written off at that date in the records of the band. Assets acquired since 1[st] April 2017 are shown at cost less depreciation. No amortisation of buildings until they are occupied.

This amount can be used to support musical activities in any form, through the provision of instruments or support for musical activities. This amount has been taken to a Restricted Income Reserve for future use for the purposes specified.
