The Trustees met on seven occasions during the year to consider the business of the charity.
Highlights of the Year
The Clubhouse was returned to the Charity from the Insurer’s Underwriters / Contractors as scheduled and Trustees greatly appreciated the efforts of all parties to meet this timetable. The Insurance Statement of Facts document notes that the costs of the works undertaken following the “Freeze / Thaw” event in January 2025 were £146,800. This level of liability demonstrates clearly the importance of maintaining effective insurance arrangements at all times.
During the year the Trustees have identified and sought to manage three specific risks to the achievement of the charitable objective to facilitate the playing of cricket and football.
Risk A - The Premises need to be demonstrably safe and secure to operate from:

Work has been undertaken to replace the previous electrical fixed wiring system

The access to and infrastructure with the loft space has been upgraded in order to create alternative storage capacity away from the external garage

Ground and clubhouse security has been improved and replaced
-
A Waste Management contract has been procured

A full review of the fire risk management has been conducted
Risk B – The Charity needs to be a Going Concern in order to enter into contractual arrangements with suppliers and occupying clubs:

A full review of operating costs has been undertaken, including a market testing exercise for the grounds maintenance

A policy to target to maintain 60 days of working capital has been adopted

A policy to recover the Charity’s operating costs from the licencee occupiers has been adopted, with a full consultation completed with the clubs to establish the principles of how those costs should be

recovered, noting that since the last change of the licence to occupy fee in 2019, the impact of inflation has equated to £8,000 of aggregate subsidy from the Charity to the licencee clubs:

Following that consultation, the Trustees adopted a Licence to Occupy Fee setting policy focused on simplicity, with each licencee fee set at 50% of the prior year Operating Costs.

To simplify arrangements and to assist the affordability to the licencee clubs, Trustees agreed to amend the terms of the Licence to Occupy such that social hires of the premises are now the responsibility of the respective licencee club.

Income received by the Charity other than from the Licence to Occupy revenue streams is dedicated to premises maintenance and improvement to mitigate Risk A
Risk C – There needs to be an agreed and complied with Licence to Occupy in place with each licencee:

In the summer of 2025, Westcott Cricket Club gave notice that it intended to cease to comply with the agreed terms.

Trustees immediately acted to minimise the short term operational liabilities of the Charity.

Through the use of the agreed dispute resolution mechanism, Westcott Cricket Club agreed to comply once more and the arrangement was continued into the 2026 season.

Financial Report
Operational costs exceeded operational income by more than £2,800. The overall financial deficit for the year was limited to under £2,000 through a generous donation received. The overall financial deficit for the year reduced the net assets of the Charity by 70%.
