Hull LGBT+ Communit Pride ort of the Trustees for the Year Ended 31 December 2024 FINANCIAL REVIEW Reserves policy The Pride in Hull Board of Trust¢e5 aim to build the organisatioiis reserve fund5 to a level which would safeguard the finai)¢ial responsibilities and provide economic stability for our cliaritable aim5 i¥herever possible and lo eiisure ive biiild fii)ancial resilience as the charity grows. We aim to build oiir reserve funds to a level which would represent 3 months Yunning costs for any financial cominitnieiils from the orgaiiisation. Due to the nature of our charity's structure: these costs would be expoi)eiitially low. A suni of £18,000 will be held in reserve fund to accommodate any costs, thi5 ¢quates to 15 /0 of ilie aiiiiual iiicome. Pride in Hiill considered ih¢ following questions when deterniining the reserve threshold. a} The I'isk of unforeseeii emergency or other unexpected need for funds, e.g. an unexpe¢t¢d large repair bill or finding 'seed-fundiiig' for an urgent project. Pride in Hull face5 unprecedeiited cliallenges like oilier cliarities and eiisuring we liave a reserve that nieets tlie needs for emergencie5 or unplaiined project for our conimunity was vilal. b) Covering uiiforcseen day-to-day operntional cosls, eg employing lemporary staff to cover a long-terni sick absence. Pride iii Hull feli that the day-to-day cost for Ihe ¢hariry whcrc low as wc do not einploy staff and expenditure is mainly arouiid tl)e main eveiil of Ilie year so consideration for day-to-day c05tiiigs did iiot iinpact on Ilie reserve needed, c) A source of ii)come, e.g. a grani. not being renewcd. Funds might be needed to give the Irustees time lo act if income falls below expectations. Pride in Hull is mainly funded through donors and sponsorship and these not being reneived or geiierated is considered a high risk. Ihis impacted significantly on the level of re5¢rve fijnded needed to ensure Pride in Hull for fills ils cliaritable objectives. d} Planned commitmenty. or designations, that cannot be met by fijture incoine alone. eg plans for a major asset purchase or to a Significant projecl that requires Ihe charity to provide 'malched fuiidiiig,. Pride iii Hull felt that the plaiined ¢ommitmeii15, or designatioiis cosi for the charity where low as ive have very little commilmei)t and expenditure beyoi)d our maiii event of Ilie year so coi)sideralion for planiied commitn)ents. or designations ￿sting5 did I￿t iii)paGt on tlie reserve needed. e) The need to fund short-term defi¢iiS iii a cash budget, eg money may need to be speiii before a fundiiig graiit is received. Tlirouoli tl)e very nature of work in Pride in Hull do to complete its charitable objeelives so e115uring tliere is a reserve to lielp fijnd short-teni) deficits is vital. tliis iinpaeted on our decisioii lo eiisure ive a rea5011able level of reserves. Reserves may be utilised a5 required for Pride in Hull spending, or appropriate 8SSOCiated events, where reqiiired as an interim measure: however. this spending must be fomally agreed wilh a quorate level of Trn5tees and justified accordingly. Wlierever possible. Ilie board ivill aini to procure relevant and adequate insurdii¢es to safeguard our fiiiancial interests aiid protect the or8Aiiisalioi) in eveiit of cataslmphic iiicidences. ThL boai'd of Trustccs will forinally review its Reserves Policy onnually in a¢¢ordance with any changes in the orsanisations levels of iiicome and expenditure in addition io any other faclors. Pride in Hull Trustee board will require the cliarity's Finance Director Éo report to the board iii aiiy circuinslance where the total casli l)eld by the organisalion falls below £15,000 with a detailed breakdown of speijd. At present, trustees are not perniitted to claim any expenses in tenns of their time or contributions in lieu of salary or volunteer e.xpenses. Remuiieration of appropriate costs (such as travel costs for atteiiding conferences etc.) must be agreed and voted upoii by the board of Ir(Istees prior to initial spend. Monies 'laid oul, and reimbursed must be approved by the director of finance, andlor Ghair in their absence prior to payment. Any reimbursed costs must be approved and sufficient evidence. receipts or docuinentation denionstrated before payments to irustee's accounls are made by the financial director oi. treasurer. FUTURE PLANS Pride in Hull is well known for being a family orientated free event and is certainly a diamond in the heart of Hull. 5howintp inclusivity, acceptance and a real sense of Pride in Hull. We have been tested beyond the confines of Queens Gardens and ivs a format ive hope to build on. Page 4
