Thc Truslccs of thc Charity took ovcr thc runningF of the Hall with eflccl Irom I April 2017. 5. During 2024 thc Trustees have continued with the Management Commitlee structure originally set up by the Hut to dcal with all day-to-day matters in the running of the Hall. 'I'he officcrs during the year were - Chainnan - Andrew Armstrong. Vice-chairman - John Carli8lc; 8ccretary - Jenny O'sullivan. A small management team comprising John Carlisle, Andrcw Armstrong, Helen Chew, Richard N Jackson (ind Jenny O'sullivan has provided support to the bookings secretary and with the caretaking. The Trustees continue to seek out new volunteers to get involved with the day-to-day running of the Hall. 6. Hall management: Jo-Anne Garvey in her part-time capacity as Cleaiier has kept the hall in very good order, and regularly reports any issues that she identifies. She has also proved to IK flexible in assisting with extra cleaning duties, setting lip and taking down when required. The post of caretaker remains vacant.

Jonathan Gibson has continued to do a good job on outside maintenance work under the supervision of Management Committee member Simon Butcher. Management Committee members have overseen a long list of repairs, upgrades and maintenance during the ycar: gjutters have bcen cleaned, an extcrnal survey was undertakcn on smoke deteLtors, sounders, hcat detectors and Lall points. Sadly, there was a major issue for the Commillee lo deal wilh during Ihe year: in August the oil boiler incurred a significanl leak, which was undelected tor some days as it was during the school holidays, plus the flat tenant was away. As the boiler is housed in a cupboard bctwccn the meetingF room and main hall this alyected internal walls and floors, particularly in the mceting room. Loss Adjusters under the I lall's insurance policy appoinled a specialist environmental company to remove thc boilcr, do a propcr clctin up and gel rid of any conlaminalion. The Hall had io close for the initial clean up and the tenant had to move out of the fl<lt. 5 months later, the Meeting Room and ihe flal are sadly still not fit for use. It has been difficult to get rid of ihe oil smell, and work continues on this. Althnugh most of the work will be covered by the Hall's insurance policy, this does not cover the loss of 5 month's rent during 2024 totalling £2475.00 or having to cover costs and standing chargcs paid by the tenant for the period to 3111212024 amounting to £824, plus the expenses for the empiy flal (council lax and eleLtricity) which amount lo around £160 per month. 'I'his incident mcans that li new, sustainable back-up solulion for the biomass boilcr nccds idcnlifying. An external survey has bccn undcrtakcn ot.the whole heatinbi .sy.8tcm wilh recommendatinn8, and thc Committee is now in the process ofgetting quoic8 to undertaken this work whioh is likely to be a.8ub8lanlial sum and will need to be funded from thc Charity's reserve. The linancial resulL8 ofthe ￿rIOd under review at the Hall show a loss for thc ycar of £877.07. This 1% largFely due to loss uf income from ihe flai and somc CoM￿nsation lor Ihe tenant, delay in reLeivingF th¢ ofgcm payment for the solar pancls, and increased premises, maintcnancc COSLg. (b) Ihe Trustees, approach has been to maintain rcscrvcs to covcr onc ycar'8 normal antiLipaled expendilLire, any unusual liabilities for which provision needs to be made, any rcpayable deposits and any additional expenditure on possible improvemcnt% to thc I lall and itg surrounds. The boiler leakage during the year has emphasised the need for a good levcl of reserves to cover the costs of such unloreseen incidenls. 9. The Management Committee has continued the policy of restricting larger cvcnt8 to bookings from people residing within the 6 villages and mainlaining lower letting rates for those bookings. However, people booking any event needing a lot of caretaking input are required to pay more. Regular events at the Hall are Cracoe and Rylslone School Breakfast Club, Tai Chi, Table Tennis and Wl meetings. Other events have included: use as a polling station for the General Election, family and children's parties,

wedding and christening parties, cycling events, training courses, use by a walking group, a church group aiid ali Afghan pop-up restaurant. The Management Committee has overseen a pudding and quiz evening and several community coffee mornings. In particular, the Committee arranged a well-attended th community barbecue at the Hall to mark the 25 Anniversary of the opcning of the Village Hall. 'I'he Trustees appreciated the hard work undertaken once again by local resident Tom Carlisle in writing, directing and organising the Christmas Pantomime and ensuring that it too was another resounding success. l O. The Trustees have had regard to the guidance issued by ihe Charily Commission on "public benefit" and Lan confirm thal thc 14all has becn used extensively for the benefit ot. local schoolLhildren, of loLal inhabitants, ol. local and non-local groups, of non-local individuals and of charities and organisations. I l. Kane Pulford Robcrts continucd his tenancy of the flat througyhout the year, and a l 0% increase in the rent was agreed fmm September 2024. However, Kane has had to move out temporarily since Augu8t due to the oil boilcr Icakagc outlined above. 12. Mr Christopher Gregson continued during thc period a8 the Charity's premises supcrvisor. 13. An inLrease to £17,000 pcr annum was agrced with North Yorkshire Council fror the rental fee for usc st ofihc Hall by CraLoe Primary SLhool wilh cl'lcci from I SeptembLr 2024, an incrca8e of 4.65 %, and we ag7reed a ncw livc year contract with the Council, expiring in 2029. '1'he free ube of thc Annexe by the 3reakfa8t Club conlinucd. An Agreement dated I l October 2()16 made with the School (Jovcrnors dealing wilh thc owner.8hip, insuranLe, maintenance and rcpair of kitLhen and other equipment in the Hall was continued by thc Charity during the year. 14. lJ8c of thc silc of the old Hut for the School's ouidoor Icarningy initiative continucs to be sucLessful, with gardcning, bcc-keeping and other outdoor activitics bcingi undertaken by children ai ihe SLhool. 15. '1'rustee remuneration: No Trustcc paymcnts were made during the ycar. 17. A Register of the Tru8tccs' inlcrcst8 made in accordanLe with thc Charily Commission's requirements was taken over from thc I lul and all Trustees ensure that this is kcpl up to date. A Register ofthc Charily's Trustees has also been drawn up containing thc int"ormation required undcr the Charitable Incorporated Organisations (General) ReLiulations 2012. 18. The Charity will supply copies of it8 indcpcndcntly-cxamined Pinancial Statemenls and the Trustees, Rcport nol only lo the Charity Commission but also to all officcr.s of the Management Committe¢ and members of th¢ l inancc Commiltcc who are not Trustees and will make copies available to any other member of the Management Committee who wants one. 19. Responsibilities and basis of report As the charity's trustees, you are responsible for the preparation of the accounts in accordan￿ with the requirements of the Charities Act 2011 {"the Act.). I report in respect of my examination of the Trust's accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. The CIO also held seven external benches insured for £4,548.00, with the Hall's internal contents being insured for £63,838.00.
