## **Objectives of the Charity** 

Yeadon Sailing Club (YSC) was established in 1928 and sails on Yeadon Tarn which is approximately 20 acres in size and has a maximum depth of about 6 feet. YSC has a long tradition of providing excellent racing, training and social sailing opportunities to all members of the community from the Yorkshire region. YSC provides individuals of all levels with an opportunity to push themselves and take on a new challenge. 

The club maintains a clubhouse, dinghy park and a fleet of club boats for the purposes of providing sailing opportunities for its membership. Encouragement and facilities are made available to attract all those who want to experience sailing. Membership is open to all and visitors are welcome. 

The objects of Yeadon Sailing Club are (1) To promote community participation in healthy recreation by providing facilities to participate in water-based amateur sport; and 

(2) To advance education for the public benefit in the subject of water-based sports. 

## **Public Benefit Statement** 

In setting our objectives and planning our activities, the Trustees and Committee have given serious consideration to the Charity Commission’s guidance on public benefit. 

## **Financial Review** 

As at the 31[st] December 2022 we had £18,985 on deposit at the Skipton Building Society, £4405 on deposit in the Skipton BS Building Fund and £8,817 at Yorkshire Bank. 

The accounts show a deficit for the year of £10,841. 

We began the year with a healthy bank balance due to the Covid grants that Louise had acquired. The committee decided that we should continue with structural improvements replacing the outside cladding and windows to the changing rooms. 

Membership was similar to last year but there was a trend towards fewer families and more single members. However this no longer covers our costs so we continue to eat into our reserves. This has left us with a deficit of £10,841  of which approx. £4500 was building costs. Hopefully next year we will not have these renovation costs,  so reducing our deficit. 

## **Reserves policy** 

It is the clubs’ policy to maintain a balance in the region of £15,000 which equates to approximately 9 months running costs. 

## **Risk and Internal Control** 

The Club has in place systems of internal controls that are designed to provide reasonable assurance against material mismanagement or loss. These include financial controls and comprehensive insurance policies are in place to ensure that insurable risks are covered. 

## **Plans for future years** 

To continue to run the Club effectively we are in need of more volunteers on the committee. There is a small group of active committee members who continue to run the Club but fresh blood is needed to be able to continue to develop the club and our activities. 

In order to meet increased costs we need to grow the membership to ensure we can meet the increasing ongoing costs of running the Club. 

The phased refurbishment of the Clubhouse continues. This year we have had to do major work on two external walls as we discovered there was significant amount of rot from leaking windows. 

The Club is currently renegotiating the lease and licence with Leeds City Council. We are continuing to consider different types of sailing activities including a number of one day trophy events to encourage participation.

## **Structure, governance and management** 

The charity is governed by the constitution and was recognised by the Charity Commission on 14[th] September 2016. The club is affiliated to the Royal Yachting Association and all activities organised by the club take place under the jurisdiction of the national body. 

The Trustees of Yeadon Sailing Club, acting as a Board, carry the responsibility of complying with the requirements of the Constitution. 

Other key documents include 

Terms of Delegation - the trustees have delegated management responsibilities to the club’s committee. Operating Rules - laid down by the Trustees and Committee, by authority of the Constitution, and can be altered from time to time at its discretion. 

The trustees meet twice per year referring operational details to the committee which meets more regularly.

## **Independent Examiner’s Report to the trustees of Yeadon Sailing Club** 

I report on the accounts of the charity for the year ended 31[st] December 2022, which are set out in appendix 2. 

## **Respective responsibilities of the trustees and the examiner.** 

The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 (2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed. 

It is my responsibility to examine the account under section 145 of the 2011 Act, follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act and state whether particular matters have come to my attention. 

## **Basis of independent examiner’s statement** 

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts,and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below. 

## **Independent examiner’s statement** 

In connection with my examination, no matter has come to my attention: 

- 1) Which gives me reasonable cause to believe that in any material respect the requirements: 

To keep accounting records in accordance with section 130 of the 2011 Act; and 

To prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act have not been met; or 

- 2) To which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

## **1. Accounting policies** 

## **Basis of accounting** 

The trustees have taken advantage of section 133 of the Charities Act 2011 and have prepared the accounts on a receipts and payments basis. 

No changes have been made to the accounts for previous years. 

## **Taxation** 

As a registered charity the organisation benefits from rates relief and is generally exempt from income tax and capital gains tax but not from VAT. Irrecoverable VAT is included in the cost of those items to which it relates. 

## **Fund accounting** 

Unrestricted funds are available for use at the discretion of the trustees in furtherance of the general objectives of the charity. 

The Building Fund is money raised to be used for the improvement of the Clubhouse. This money has been raised through a number of fundraising initiatives as well as through donations from individuals and groups. 

## **2. Trustee/Officer/Committee Member Expenses** 

The club officers, committee members and trustees work entirely on a voluntary basis and no trustee, officer or committee member received any expenses during this year.

**Appendix 1 – Officer’s Reports** 

## **Sailing Report – Paul Bradley** 

A high standard of training continued on Tuesdays with a team of instructors lead by Tony Dufton coaching a wide age range of participants 

Come and try continued with several participants going on to become members 

An innovation we tried was on shore training when it became to dark to sail.  This was well received with subjects such as how to trim a sail and how to gybe without capsizing .   These two subjects were taught with a selection of model boats and a large fan and a tank of water which made explanations of technique easier and entertaining.  Other subjects such as rules and knots were also well received. 

The youth series we hosted this year was a successful event with good weather plenty of participant’s and a high standard of sailing. Of particular note was the groups head coach encouraging strong competition and tactical issues such as strong enforcement of rights within the rules. 

## **Training Report – Tony Duftom** 

I think I am right in saying this was the first year’s training without any Covid restrictions since 2019. Meaning we could use the club house and changing rooms at the start of the season on the normal April date, without taking any precautions. 

So, the training season started with two rounds of first aid courses at the Sailing Centre, in early March. A total of 17 YSC members successfully completed the course. This was paid for by a very kind anonymous donor, who I and the rest of the club would like to thank. Running along side of this, the clubs list of DBS checked members was updated and increased. Thank You Andy Bains for your work on this, apologies if you were late to a couple of running sessions. 

On Tuesday March the 8[th] the first training meeting was held in the club house and was well attended. Much was agreed on and this led to the first training session on the first Tuesday of April, which was the 5[th] at 5pm onwards.  The sailing sessions carried on uninterrupted until the end of September. This was followed by theory lessons until December, attended by on average 3 or four new members. Topics ranged from Tacking practice to coastal navigation. This was new to the club, or at least as far as I remember anyway. 

Also new to the training sessions was Karen’s kitchen for those who didn’t have time to go home before the sailing sessions began. I would like to thank Karen and all those who helped providing meals for juniors and adults. 

On the water it was great to see so many juniors back learning to sail and enjoying themselves, this was led by Jackie and Jon who as always did a great job along with some very good help. I am sure the juniors will in time be very grateful. I know I was. It was also good to see the come and try’s restart since before the pandemic, the club also benefited from receiving a few new members, well done Paul Bradley, and for helping at the theory lessons in Autumn and Winter. The numbers of adults taking part seemed to drop overall especially towards the end of the season, maybe due to going back to work and travel. Overall, I think we had enough support throughout the season, but only just. A key player in developing adult sailing at the club and keeping the club boats going was Richard Earnshaw who made the brave decision to relocate to Ireland and start a new life. We wish

him all the best and will miss him. Another loss this year’s training sessions, although for very good reason was Glenis. I hope she is fit and willing in 2023. 

Saturday the 2[nd] July the club welcomed the Northeast and Yorkshire Youth and Junior traveler’s series to our club. This was very well attended both by traveler’s who came from all over the region and Yeadon Sailing Club youth and juniors. I think it was a test for all those who volunteered to help, especially as we were all out of practice over the past couple of years. Somehow it all worked out in 


the end, well done everyone both on and off the water. It was especially good to see the club house full to the brim. 

I know I have mentioned a few members in this report by name. I also know there were a lot of members, parents etc. who helped out throughout the season, whether it was every week or for just one evening. Instructing, rigging, running rescue, cooking, gardening and maintenance etc etc - I and the club thank you. Hope to see you all in 2023. If you can help out in  anyway and encourage new members to join that would be great. 

## **Bosun’s Report – Paul Bradley** 

Major maintenance was carried out at the club in 2022 

Two large areas of wall needed replacement cladding to prevent water ingress.  These were the long wall which faces the LSAC boat storage area and the wall facing our containers.  In addition some windows needed replacement. 

In addition some structural timbers needed replacement where water had penetrated and rot needed cutting out and some internal boarding needed replacing mainly in men’s changing room and adjacent corridor. 

The work was carried out by Tony Dufton over a period of weeks. 

On inspection opinion was we had caught a major problem before extensive water damage occurred.  The club is by and large quite watertight in cladded areas. 

Old cladding still needs collection and disposal so organising that at moment 

We still have a major problem with a window seal at the bottom of the large south facing windows in the main clubhouse which despite many visits back by the contractors has not been resolved. Tony has investigated by peeling back the flashing and it looks like some voids were left between

the windows when they were installed.  I am hoping these small voids can be filled fairly easily so planning to get them investigated on a maintenance day and plan a fix.  I think contractors fit standard windows and sorting out an unconventional window like ours was not a skill they had. They have returned six times to try and its not happened so I am going  for a practical solution to sort it out. 

We have had a faulty shower replaced and a leaky one fixed, waiting for part to fix leaking one presently. 

Have been asked for help to rescue fish tangled around our marks chains several times last year fishing club now have their own boat now to do this themselves. 

For when the training racing season starts we have designed a new type of mark which does not tangle so easily  Fishing club LSAC our club and model boat club have each committed £ 100 to buy materials    Fishing club has members volunteering to help build these and I will be organising this in near future   In addition from not snagging fish I am hoping new marks will look better and give a bit more of a professional look on the water there should also be no more need to replace worn chains and can be lifted out of water without so much mud coming up with them    A prototype is currently up at the club to be seen. 

Plans are also in place to improve anchors on safety boats for better grip and easier to handle. 

As the weather picks up in the spring I will be sorting some maintenance days. 

Looking back to about ten years we have had to spend a fair bit on maintenance, new roof, complete rewire, cladding. All these were essential for the viability of the club. Looking forward this type of expense is unlikely to be needed for a fair number of years so hoping we can build up our resources in the intervening period to ensure the continuing maintenance of our facilities

## **Membership Report** 

We have continued to use Webcollect  to manage the membership. We have also attracted some new members and we need to continue to consider how we grow the membership. 

We need to be actively following up previous members as part of the renewal process and follow up potential new members after the come and try sessions.

## **Social Media report – Neil and Rachel McInnes** 

After the Great Swan Rescue of the Social Media Update for last year’s AGM I am afraid to say we have nothing to surpass that this time ! 

To maintain a positive Social Media presence, we use the social media outlets of FaceBook and Messenger :- 

We use FaceBook to look out and actively interact with members, the wider sailing community and the interested public at large, then Messenger allows people to contact the Club and us to respond. 

On Facebook generally the historic photos from the Howard Chadwick archives are always popular such as the post below :- 

Back in the 1950’s boats were stored on the first floor of an old mill building the ground floor was used to garage buses. Access was via a ramp with a trolley and boats were winched up and down as in the photographs. The boat in this photo was called Mu and built by the owner John Scott. 

We try and upload photos Racing and Training and sometimes some ‘arty’ type photos when we can, see below. The various posts we put up for the North East & Yorkshire Youth Sailing Event we held early July got a lot of views and it was great to see a lot of junior and youth sailors from across the region out on the water enjoying themselves on that day. 



We tried to keep posts positive items to show people that the Club is active and there is lots going on. By ‘liking’ and sharing various posts from local clubs, LSAC, the RYA North East Region, members of the public and businesses we have tried to keep YSC active as part of the local area and community 

Where we can we use our Facebook page to promote the events of our neighbours at LSAC to help them. We also use the page to promote, or to report from, other local events or establishments such as the Yeadon Christmas Light Switch on at the Town Hall, and also to publicise things such as the car parking fees that LCC were planning to introduce, before then changing their minds !

On Messenger this year we have mainly had questions on the lines of “Can I canoe, or paddleboard, or use my rubber dinghy, or swim, on or in the Tarn ! We get some enquiries about training which is positive. Equally we get enquiries about LSAC activities that we can 

direct on to them. We were also approached by Radio Leeds to do an item about Tuesday Night Training ! 

All questions asked were answered, some more easily than others ! 

We would like to increase and expand what the Club posts and keep it interesting but need more people preparing posts to give some variety, this year has been difficult for us and we definitely need some help and support to develop the Club’s Social Media presence further, especially to understand the ever-changing  possibilities of Social Media !
