Objectives of the Charity

Yeadon Sailing Club (YSC) was established in 1928 and sails on Yeadon Tarn which is approximately 20 acres in size and has a maximum depth of about 6 feet. YSC has a long tradition of providing excellent racing, training and social sailing opportunities to all members of the community from the Yorkshire region. YSC provides individuals of all levels with an opportunity to push themselves and take on a new challenge.

The club maintains a clubhouse, dinghy park and a fleet of club boats for the purposes of providing sailing opportunities for its membership. Encouragement and facilities are made available to attract all those who want to experience sailing. Membership is open to all and visitors are welcome.

The objects of Yeadon Sailing Club are (1) To promote community participation in healthy recreation by providing facilities to participate in water-based amateur sport; and

(2) To advance education for the public benefit in the subject of water-based sports.

Public Benefit Statement

In setting our objectives and planning our activities, the Trustees and Committee have given serious consideration to the Charity Commission’s guidance on public benefit.

Review of Activities

Due to pandemic we were unable to run many of our key activities. As the Club is situated in a public park, it was essential to keep both Club members and members of the public safe and this placed some additional limits on what we were able to run.

After the initial lockdown, and in line with government and RYA guidance, we ran some sailing for experienced and competent sailors on a buddy system. Safe launching and running of the safety boats was a key consideration which we found difficult to overcome and we are looking at ways to achieve this safely next year.

We are also in the process of negotiating a new lease with Leeds City Council.

Financial Review

As at the 31[st] December 2020 we had £18,869 on deposit at the Skipton Building Society, £13,120 on deposit in the Skipton BS Building Fund and £17,234 at Yorkshire Bank.

The accounts show a surplus for the year of £8,214, which is largely due to the two Business Support Grants received from Leeds City Council totalling £11,324. These were grants made to businesses (who pay business rates) who had to close due to the national lockdowns.

The membership income is around two-thirds of the 2019 membership income. We are grateful to the members who have continued to support the Club financially during this difficult year and we will be considering the membership fees for the new season. The expenditure has also been considerably less than in usual years although we do still have fixed costs including rent and licence, utilities, insurance and fees such as for the RYA subscription.

Reserves policy

It is the clubs’ policy to maintain a balance in the region of £15,000 which equates to approximately 9 months running costs.

Risk and Internal Control

The Club has in place systems of internal controls that are designed to provide reasonable assurance against material mismanagement or loss. These include financial controls and comprehensive insurance policies are in place to ensure that insurable risks are covered.

Plans for future years

The phased refurbishment of the Clubhouse continues. The Club has installed a ramp providing access to the main room in the clubhouse and a decking area to enable members to view the sailing activities from outside. Further areas for development include the changing rooms and the kitchen area.

The focus for 2021 will be how we recover from the challenges we have faced through the pandemic including how we reconnect with the membership and offer covid safe activities.

The Club is considering ways to continue to develop different types of sailing activities including a number of one day trophy events, social sailing at a variety of times as well as continuing with a range of training activities and the racing calendar.

Structure, governance and management

The charity is governed by the constitution and was recognised by the Charity Commission on 14[th] September 2016. The club is affiliated to the Royal Yachting Association and all activities organised by the club take place under the jurisdiction of the national body.

The Trustees of Yeadon Sailing Club, acting as a Board, carry the responsibility of complying with the requirements of the Constitution.

Other key documents include

Terms of Delegation - the trustees have delegated management responsibilities to the club’s committee. Operating Rules - laid down by the Trustees and Committee, by authority of the Constitution, and can be altered from time to time at its discretion.

The trustees meet twice per year referring operational details to the committee which meets more regularly.

The trustees declare that they approved the report and accounts for the period ended 31[st] December 2020 on 19th February 2021.

Independent Examiner’s Report to the trustees of Yeadon Sailing Club

I report on the accounts of the charity for the year ended 31[st] December 2020, which are set out in appendix 2.

Respective responsibilities of the trustees and the examiner.

The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 (2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.

It is my responsibility to examine the account under section 145 of the 2011 Act, follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act and state whether particular matters have come to my attention.

Basis of independent examiner’s statement

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts,and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.

In connection with my examination, no matter has come to my attention:

To keep accounting records in accordance with section 130 of the 2011 Act; and

To prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act have not been met; or

1. Accounting policies

Basis of accounting

The trustees have taken advantage of section 133 of the Charities Act 2011 and have prepared the accounts on a receipts and payments basis.

No changes have been made to the accounts for previous years.

Taxation

As a registered charity the organisation benefits from rates relief and is generally exempt from income tax and capital gains tax but not from VAT. Irrecoverable VAT is included in the cost of those items to which it relates.

Fund accounting

Unrestricted funds are available for use at the discretion of the trustees in furtherance of the general objectives of the charity.

The Building Fund is money raised to be used for the improvement of the Clubhouse.

  1. The money held in the Skipton Building Society Building Fund has been identified as money to be used on the Clubhouse project.

This money has been raised through a number of fundraising initiatives as well as through donations from individuals and groups.

The club officers, committee members and trustees work entirely on a voluntary basis and no trustee, officer or committee member received any expenses during this year.

Appendix 1 – Officer’s Reports

An overview of the year – Sarah Cooke

Well this year has not been the year to enjoy a lot of the activities we would normally fill our lives with and unfortunately the club have only been able to offer a very limited sailing experience this year.

Back in early March at the AGM we were so optimistic of getting back out on the water and could never have imagined the way we had to keep both ourselves and others safe.

The club was closed in March following Covid restrictions and reopened in the summer to provide some limited but welcome sailing.

Strict guidance was put in place to ensure anyone choosing to sail stayed safe and were not at risk. Due to this guidance we were only able to offer sailing to confident competent sailors as the risk of launching the safety boat and rescuing capsized novice sailors was deemed unsafe.

However we have had a steady 6 - 10 sailors out on the water on a variety of Wednesday evenings, Saturday and Sunday mornings. We choose times when we thought the Tarn Park would be slightly less busy. Tony has done a sterling job running the sessions and the team on the water have done some great pursuit racing.

The club house has only been open for the toilet with a one in one out rule and everyone comes ready to sail.

Everyone has to book in on web collect if they are going to sail and a track and trace QR code ensures everyone will be contacted if necessary.

We had to close again in December 2020 and are yet to reopen. We are optimistic that we can at least get back to offering the limited sailing opportunities soon and then hopefully a fuller sailing calendar a little later in the year.

We have continued to meet regularly as an active membership group via zoom, generated some great ideas, worked together as a team to make stuff happen and decide on the club priorities on what could be offered moving forward into a new phase of club activities. Some clubhouse renovations continued and links with other clubs have ensured we are in line with the region in the sailing offer.

We are concerned about the future of Leeds Sailing and Activity Centre following the proposal to close the centre at first and now for the possibility of a new community venture.

We would welcome all the memberships involvement in activities and planning the future of YSC.

Sailing Secretary’s Report – Jon Wheble

2020 was clearly both an eventful (Covid) and an uneventful (ie we had no events) year and there was very little positive to report on to start with. Fortunately, restrictions eased a little during the summer and, with huge thanks to Tony Langley and others who helped, we were able to start off some pursuit sailing on Sunday mornings. This continued and, once footfall died off around the Tarn in Autumn, we were able to expand this to both weekend mornings through to the end of December. This means in the end that we effectively had, more or less, a full Frostbite season.

It has been a particular shame that we haven’t been able to get the safety boat out and support some family or junior sessions, but we’re continuing to think about what we can do moving forward. So, just maybe, once the vaccination programme is in full effect, we’ll be able to do something more engaging for the whole club in 2021 – here’s hoping!

Series Report – Tony Langley

Sailing returned on 24th June with Patrick showing us how to do it in his topper. Weekends began on 12th July with approximately 10/12 sailors. Stephen joined us using Ratty to teach his son to sail and was only caught once in 5 weeks, but this was not enough races to qualify. This series ended at October half term with approx. 30 sailors taking part.

We started a frostbite series with fewer numbers, but we were locked down. Good job, it was very cold. We hope to return when allowed using the same format and to slowly return to normal?

Bosun’s Report – Paul Bradley

The two biggest concerns at the present time are the roof leak caused by the faulty window seal and the faults pointed up by our 15 yearly electrical checks

Shortly after the roofing work was finished it was clear the upvc windows in the roof had not been sealed adequately. The company returned and re sealed them which seemed to have worked. During the winter when we had high westerly winds and heavy rain the problem re-emerged so the company came back and put measures in to cure the problem. Again this seemed to have worked. We still now though have one place which leaks. The company have promised to come back and attempt again to remedy the problem. I will be speaking to them soon to arrange for this.

Our recent electrical inspection to obtain the electrical certification we need to forward to our insurance company has found multiple faults and dangers. To some extent this has occurred due to more stringent electrical regulations coming into force and updates we have installed over the years such as electrical showers etc. This had already caused problems such as total loss of power during an open meeting as we were drawing well over 100 amps through the 100 amp main fuse. The estimate for remedy of dangers and modernisation is £5844

I have copy of inspection report and detailed estimate if anyone wants to look at them. The committee will be looking at the details before any decisions are made.

Clubhouse and boatpark maintenance have been curtailed by the situation we are in but we have filled the big puddles just outside the clubhouse door. When we can get back to it the building does need considerable maintenance. In the past members have been very generous with their time to help with this. A noticeable hole has appeared in the exterior wall overlooking the slipway. There are no indications this is letting in water to the interior but I will make arrangements for a temporary patch. When we do go back in the clubhouse RYA have issued notes on possible legionnaires disease so currently looking into that.

As far as club boats, we have not had much of an inspection for a while but I don't think there are a lot of repairs outstanding as they have not been used much. We invested in the kit needed to modernise all our Lasers last year so we will fit that when the situation permits.

In case anybody missed Glenis and myself are sorting lease with council looking at perhaps getting water access Friday evenings in summer and opening options for general water based activities not limited strictly to sailing council are considering this now.

So priorities for future are fix roof, fix electrics and get back on top of clubhouse maintenance.

Membership Report

We have continued to use Webcollect to manage the membership. It has been a difficult year for membership, as we have been able to offer very limited opportunities for sailing and the pandemic has led to financial uncertainty for many people. We will consider ways to increase the membership numbers again next year. Unfortunately we are still without a Membership Secretary to manage webcollect and follow up people.

Social Media Report - Neil and Rachel McInnes

Maintaining a positive Social Media presence during this year has been challenging to say the least !

Our two main social media outlets are FaceBook and Messenger :-

FaceBook to look out and actively interact with members, the wider sailing community and the interested public at large,

then Messenger allows people to contact the Club and us to respond.

We can also tweet on Twitter and post photos on Instagram but they are not particularly used at the moment.

On Messenger despite the lockdown we had a number of enquiries about training which is positive. We had a number of questions on the lines of “Can I canoe, or paddleboard, or use my rubber dinghy, or swim, on or in the Tarn!

In the middle of the year we received some sad news that Past Commodore Jim Sheppard had passed away from his son Paul.

The RYA have used it to contact us to ask if they could use a photo that we had posted on FaceBook from one of the Wednesday evening Pursuit races and also if they could share the article on Jim Sheppard.

Finally we had a request from a University Professor in Spain he wanted to use, and update, some of the video clips on the Club’s Website to demonstrate navigation and sailing principles.

All questions asked were answered, some more easily than others !

On FaceBook we were hampered by only having limited Club activity to feature, we personally also had limited mobility when there was activity at the Club because of recovering from a couple of operations so couldn’t get many photos. However we did get a few good sets of photos of sailing activity when we did get down.

We tried to post positive items to show people that the Club was activity even if it was in a restricted way. By ‘liking’ and sharing various posts from local clubs, members of the public and businesses we have tried to keep YSC active as part of the local area and community. We feature fairly regularly on posts by Aireborough Historical Society so we share the love back to them and link them to our posts where we can. The Tarn / Dam is a well loved part of the local area and we are a central part of that, and we try to maintain that, not as many Clubs in the area have as long a history as we do ! We try to do similar with the local sailing clubs and the regional RYA, supporting them but keep our presence up as well, and looking at the wider sailing world as well. Over the last couple of months there have been a lot of good sailing posts with the America’s Cup and the Vendee Globe ongoing !

Finally we have sharing and promoting posts from the Save LSAC team as they try to mobilise public support and raise awareness to save our neighbours and a unique facility for the Leeds area.

We would like to increase and expand what the Club posts and keep it interesting but need more people preparing posts to give some variety and we definitely need some help and support to develop the Club’s Social Media presence further, especially to understand the ever changing possibilities of Social Media !
