## **NOTICE OF ANNUAL GENERAL MEETING OF PURPLE WARRIORS** 

## **In accordance with cl11(1) of the Constitution of Purple Warriors the Annual General Meeting (AGM) of Purple Warriors was held on 3[rd] February 2022 on Zoom** 

## **Agenda** 

1. Welcome and Introduction 

a. Jenni Henderson welcomed the members and confirmed that we are at quorate of members in accordance with the constitution. An image was taken of the zoom room for attendance. 

## 2. Apologies 

a. Received from Brad Collings, Dan Windsor, Linda Tucker, Glynn Barrel, Frank Smitheram, Sutton Yeung. 

3. Appointment of Tellers 

a. Nicola Winskill-Hales & Dave Mountain agreed to act as Tellers for the voting. 

## **4. Trustees’ Report** 

**Trustee’s Report – for the period of 20[th] December to 3[rd] February 2022** 

## **Chairman’s Report – for the period of 20[th] December 2020 to 3[rd] February 2022** 

The Chairman throughout the period was Jennifer Henderson. 

2020-21 has proved to be another challenging year for everyone with the pandemic and periods of lockdown lasting longer than anyone could have known or predicted.  With this in mind you will be pleased to hear that the Chair report will be quite short – however optimism and conversation shows that the future is looking bright and Purple! 

Our whole focus in the last year has been on Retention and Support for our Members and Associates at this difficult time.  It has been a testament to our Committee and our Members on how they have continued supporting each other throughout this period with off water activities and through social systems such as zoom and WhatsApp. 

As you know, the primary purpose of Purple Warriors is to provide recovery and rehabilitation opportunities for our beneficiaries.  Unfortunately, with the pandemic keeping much of the 



country on lockdown and a stop start approach to getting back to on water training we have been hampered by factors outside of our control.  The BDA worked with the Government Guidelines to produce Back to Paddling parameters for Clubs and it was only very recently that we felt we were able to come together as a group and being back in a boat – which was a joy to hear about and the feedback on how happy everyone was to get back to training and be in a boat together as Purple Warriors.  We know that some members were able to get back to paddling in local clubs earlier and we are happy that we are supported in this manner to continue with our development and sport. 

The Management Committee and the Trustees continued to have meetings to ensure everything was ok and to look at new ways of communicating and keeping in touch and boat fit! 

At our AGM in December 2020, the trustees voted onto the board by members were Jennifer Henderson, Brad Collings, Peter Li, Bernard Broadhurst and Dan Windsor. 

The Trustees have worked together to support each other and providing any support necessary to the Management Team.  I am hoping that in the future there will be more activity and support that we can bring to the Charity in key areas such as Recruitment, Fundraising and Promotions. 

At this time, I would like to mention Brad Collings who has stepped down as a Trustee due to other commitments but who will continue to be a Purple Warrior supporter and member.  Brad has been involved in the charity since the beginning and was on the original Management Committee and a Trustee since 2018.   Thank you, Brad, for all your support and we look forward to seeing you in a boat! 

The Membership Committee has been ably led by Natasza Telfer who has continued to manage the challenges provided by the pandemic admirably.  Natasza has also undertaken some additional research and training that can help with the future development of the Charity – including a workshop on Digital Marketing Strategies and what we can be using to help raise the visibility of the charity to the wider community online. 

Sutton Yeung continued in his role of Treasurer of the Charity and has done an excellent job in managing the finances in this difficult year and creating a set of audited accounts that we are able to submit as part of our mandate to the Charity Commission. 

I would like to take this opportunity to thank all of the Management Committee for their hard work and support in keeping the Members entertained and connected over this difficult time and for working within the Government Guidelines to ensure a safe return to paddling and bringing the members together for training. 

I am delighted that the WhatsApp group has continued to be used and busy with messages between members.  It is important that this is used to help us support each other while ensuring that it is used in the right way and with the right messages. 

At the beginning of my report, I mentioned our key areas of Recruitment, Retention and Fundraising and I believe as we start to look forward these will be key areas for us to take the charity forward. 



## **Recruitment –** 

We have some amazing systems in place for welcoming new and renewing members with our welcome packs and pins. 

Our membership is made up of Members and Associate Members and it would be good to reconnect with all our contacts from past and present to welcome them back for the future and their continued support. 

There are some exciting conversations starting to develop with key organisations who are interested and willing to help promote the Charity and the service we provide to interested contacts. 

## **Retention –** 

Purple Warriors is a membership organisation and as such we will always have fluctuations in our membership.  This is no different to any other membership organisation and any other DragonBoat club who always go through peaks and troughs in membership levels.  This year has been a tough year, with many clubs losing members and the BDA membership is down overall. As we want to support as many people as we can maintaining our membership and how we can help people who are members is critical. 

## **Fundraising** 

Charities have been hit very hard over the past two years.  Fundraising is always a constant challenge for any charity, and we are very lucky that we have support already and a healthy bank balance that has been built up over the past 4 years and with limited expenses as a charity. However, this is something that needs to be continued and ideas.   We do have access to a Give As You Live system where we can use graphics and links for people to use to donate money and we are also looking at setting up Purple Warriors as a charity on Facebook so that we can have donations sent that way. 

As we know, Purple Warriors members are very resilient, and we have yet again got through another difficult year with our core members and due in part to the bond and strong relationships created as a team. 

In closing I would like to thank all of you, the members, associate members, management committee for their excellent work in this very difficult year and I am very excited and looking forward to what the future holds and the exciting possibility of training, racing and adventures as Purple Warriors. 

## **5. Treasurer’s Report** 

Treasurer’s Report – Financial year April 2020 to March 2021 

## **Background** 

It’s difficult not to mention covid and lockdown when reviewing Purple Warriors activities for the last financial year. 

The first lockdown legally came into force on 26 March.  On 16 April, the government announced that lockdown would be extended for at least 3 weeks until the peaks passed.  On 10 May, the lockdown easing plan was announced, although conditions were attached, such as working from home, or not using public transport. 



As a Committee, we met several times during the year to review the situation.  During lockdown, it was of course, illegal to meet (allegedly).  When lockdown started to ease, we assessed the risks associated with running events that required physically meeting up and decided that it would be too risky to meet in person.  A number of the Purple Warriors family are clinically vulnerable, and we had to think about the possible outcomes for them if they attended sessions and subsequently contracted covid. 

Therefore, Linda, Tash and others ran alternative sessions to try to minimise the effects of feeling of isolation resulting from lockdown.  Purple Warriors is, after all a family, albeit one that is spread across the country, and the ability and need to connect, is strong. 

We should thank Linda, Tash and others for their efforts during what was a difficult time for the Purple Warriors family. 

The events situation for 2021 – 2022 is thankfully, turning around, with several meets already having taken place.  Hopefully we have many more to come for the remainder of the 2022.  We look forward to seeing all of you this year. 

## **Finances** 

As a result of not being able to meet, our finances remained stable.  We started the financial year on 5 April 2020 with £19,753 and ended the year with £21,527. 

The main reason for the increase in our funds is due to the timing of the receipts from Dyer’s Hall charity, where we received £1000 at the beginning of the financial year and another £1000 just before the year ended. 

Jenni also negotiated a refund from the BDA of £441 to cover some of our expenditure for the European Club Crew Championship, which obviously was cancelled due to covid. 

Our expenditure for the year was minimal, being mainly the usual monthly accountant’s fee (£20 per month) and the Capsule CRM fee (£30 per month). 

Aims audited our accounts in September and signed them off with no issues raised.  The final accounts are shown below for review and sign off by the Trustees.

6. Election of Trustees. 

Two trustees have volunteered to step down being Jennifer Henderson & Brad Collings

Jenni Henderson thanked the members and congratulated the Trustees and thanked them for their hard work. 

Every year we give out some Charity Awards to people who have helped and supported the charity.  This has been difficult as we have not managed to meet in person or do anything.  This year the awards have been awarded based on support and help for the Charity. 

## 7. Outstanding Contribution Awards 

- a. This year there are two outstanding contribution awards to Sutton Yeung and Linda Tucker. Sutton has been supporting as a Treasurer and has been instrumental in helping with some grants and funds for the charity.  Linda has been a key member of the Committee and has been helping with all the activities offline.  Congratulations to them both. 

## 8. Chairman’s Award 

- a. The Chairman’s award this year is dedicated to the Partners and supporters of Members. Without these people supporting us and being at training sessions and following us around the country to events the Charity would not be the same.  We would like to dedicate the Chairman’s Award to all of them. 

As of next years, AGM there will be a new award for our Associate Members as we want to recognise them moving forwards.
