Ferndown & Parley Rotary Charitable Incorporated Organisation # **FERNDOWN & PARLEY ROTARY CHARITABLE INCORPORATED ORGANISATION** ## **REGISTERED CHARITY NUMBER 1168075** ## **TRUSTEES REPORT FOR THE YEAR ENDED 30[TH] JUNE 2025** ## **GOVERNING DOCUMENT** Ferndown & Parley Rotary Charitable Incorporated Organisation was established on 10[th] July 2019, following the merger of the Rotary Club of Ferndown with the Rotary Club of Parley. The objects of the CIO are: The relief of the poor and needy in Ferndown & Parley, any other part of the United Kingdom or elsewhere in the world, or such other charitable purpose, institution, or object as the members of the CIO shall in duly constituted meeting direct. ## **TRUSTEES** The trustees of the CIO are the President, the President Elect, the Secretary and the Treasurer of the Rotary Club of Ferndown & Parley. Their term of office is 1[st] July to 30[th] June the following year. The following were trustees for the year ended 30[th] June 2025. Jim Sanders, President Keith Adams, President Elect Charles Pellatt, Secretary Martin Brierley, Treasurer ## **MEMBERSHIP and PARTNERSHIP** The CIO finished the year with a membership of 35, an increase of 3 on the prior year. Current indications are that membership will continue at around this level with a little turnover each year. Unfortunately, we experienced a drop off in support from Community Partners, this year contributing a total of £400 to support the direct costs of running the CIO (e.g. website costs), a reduction of £250 on the prior year. In the short term, this is disappointing but not threatening to our activities but we will have to focus our efforts on building further support. Strong support from local business is evident in the sponsorship of our major fundraising events throughout the year, Ferndown & Parley Rotary Charitable Incorporated Organisation We recognise that these levels are not to be taken for granted and that we must sustain our efforts to gain and retain members, partners and sponsors. This, we feel, is best served by increasing our visibility within the local community through our key community events (e.g. Fete on the Field), closer ties and joint ventures with Ferndown Town Council and local charities, and increased distribution of our quarterly newsletter. ## **FINANCIAL RESULTS AND ACTIVITIES** Gross income for the year was £50,573.65 (prior year - £53,431.35 was bolstered by a £10,000 legacy). Some £35,413.05 (prior year - £27,606.10) was applied to good causes with a further £2000.00 pledged and reserved in the accounts. Taking account of costs, our funds on deposit have reduced by £6003.72 over the year, largely due to the increase in support to good causes. As with other years our ‘marquee’ fundraising events provided most of our funding: - Parley Scramble Golf Day (4[th] September 2024) - Christmas in Ferndown (30[th] November 2024) - Charity Golf Day (16[th] May 2025) - Fete on the Field (21[st] June 2025) Additionally, we raised ca. £2530 in total via direct fundraising collections outside local supermarkets and a quiz evening. Our volunteer support to the annual Ellingham country show resulted in a £500 donation from the show organisers that contributed to our central funds. The Club’s weekly raffle was organised specifically for donations to Rotary Foundation UK. Main beneficiaries of the CIO this year, each receiving £500 or more, were (in alphabetical order): - Amelia’s Rainbow - Bournemouth hospital BEACH project - Ferndown ATC squadron - High Mead Farm - King George V Playing Fields Charity - Lewis Manning hospice - Life Education Wessex - Macmillan Caring Locally - Mytime Christmas Bags appeal - Plants and Minds - Rotary Club of Vinnytsia Ferndown & Parley Rotary Charitable Incorporated Organisation - Rotary Foundation - Shelterbox - The CRUMBS Project - The Friends of Dolphin boat appeal ## **FINANCIAL GOVERNANCE** The work of the CIO continues to be organised through committees that recommend proposed activities or projects to the CIO’s Council. Proposals adopted by the Council are put forward to the membership and Trustees of the CIO for their support and agreement. The majority of donations are now accounted for under “Central”, but occasionally funds are transferred to a specific ‘project’ line in the accounts for visibility and reporting purposes (e.g. Kids Out, Shelterbox). The two-way transfer of funds between Projects and Central funds is reflected in the high level of movements (‘Other’) in the CIO accounts. Restricted funds remain attributed to their source project or nominated cause. Inward donations from Community Partners are used to support our direct costs, such as website licensing and support. These funds are held separately and released at the discretion of the CIO Council. Foundation funds are all Restricted, destined solely for the Rotary Foundation UK, and are therefore held separately. The President nominates a charity or charities that benefit from the proceeds of various Rotary Club of Ferndown and Parley events throughout the year and from any CIO events run specifically for that purpose. This may be supplemented from additional unrestricted funds at the CIO Council and members discretion. All financial transactions are managed in accordance with the CIO Financial Control Policy. CIO Accounts Reports are produced at the end of each calendar month, circulated to all CIO Council members, and made accessible to all CIO members. The CIO Accounts for the 2024-25 year have been subject to independent external examination and were signed off accordingly on 2[nd] October 2025. The Independent Examiners Report is appended to this report. Ferndown & Parley Rotary Charitable Incorporated Organisation The trustees wish to report that during the period of Dec 2024 to Jan 2025 the CIO was the subject of a Barclays Bank “Know Your Customer” (KYC) Review. The KYC review examined the reasons for and governance of a wide range of bank transactions processed in the 2 CIO bank accounts. One particular transaction gave rise to concern and increased examination – a donation made in response to an appeal for support by a Rotary Club in Ukraine. This payment was made directly to the Club, with the support of Barclays Bank staff. The concerns raised were mainly related to a lack of potential sanctions checks and clear sight of end use of the funds. Ultimately, we were able to provide sufficient assurances to the reviewer but, whilst we feel satisfied that we acted correctly and in good faith, the concerns raised led us to question the wisdom of us making any such donations in future. The Trustees have consequently made the decision that the CIO will only make donations for any overseas appeal if such appeal is being managed by a UK agency with the authority and experience of operating in the territory, and all payments are made to the UK agency.
